Contact is a leading national contemporary arts organisation based in Manchester, with young people at the heart of everything we do. We work locally, nationally and internationally to provide life-changing opportunities for the next generation of creative leaders, artists and audiences, redefining theatre in the process. We produce and present a professional programme of outstanding performances, events and festivals in our building, surprising places and virtual spaces, for a young and diverse audience.

Live and touring audiences: 39,451

In 2018-19, over 8,000 people saw a Contact production, co-production or commission on tour.
We live streamed 3 events which were seen by over 900 people.
70% of our audience is under 35.
35% are from BAME backgrounds.
31% of audiences are from audience segments traditionally characterised as low engagement.

A major £6.5m refurbishment of Contact’s building is currently in progress. This next stage in the building’s evolution will see Contact open in 2020 with new and improved performance space; a purpose-built recording studio for young people’s music projects; an arts and health development space; new offices for artists and cultural organisations to hire and work alongside Contact staff; a new café/bar and many other exciting new features.

Our capital project will afford us the opportunity to develop a distinctive events & hires offer, entering the corporate hospitality sector and leasing office space, as well as hosting weddings and private functions. Additionally, we’re looking to expand our retail activity both in-venue and online.
As industry leaders across multiple aspects of governance and practice, we are also evolving our consultancy, training and facilitation services to create supplementary revenue streams.
We are looking for a driven, organised and resourceful coordinator to assist with event planning & delivery, business development, sales and administrative support as we develop an exceptional range of commercial services at Contact.
Title: Commercial Services Coordinator
Salary: £21,000 per annum
Main location: Based at The Millennium Powerhouse until December 2019 and thereafter based at Contact
Responsible to : Head of Commercial and Visitor Experience
Works with: All Departments
Hours: 35 hours per week, some weekend and evening working will be required
Status: Full time, Permanent
Event Planning & Delivery
Work with the Head of Commercial and Visitor Experience to progress commercial events from enquiry stage to delivery, providing exceptional client experience throughout
Be the first point of Contact for client liaison and reply to enquiries in a prompt and constructive manner
Ensure that events are correctly scheduled on Artifax
Collaborate cross-departmentally to coordinate event logistics, developing key relationships with the Customer Service, Production, Programming and Finance teams, and ensuring necessary staff and resources are allocated
Work closely with the Catering Operator to ensure all event hospitality requirements are met
Attend the weekly Operations meeting to provide regular event updates
Assist with the smooth on-the-day running of events, acting as a contact on site and dealing proactively and creatively with any problems which may arise
Business Development & Sales
Work with the Head of Commercial & Visitor Experience to identify and develop leads
Progress the commercial services sales process from enquiry stage through to conversion and contracting, updating the event status on Artifax throughout
Provide client quotes in accordance with agreed fees and margins to ensure profitability
Log all enquiries and progress statuses in a sales pipeline
Maintain and update a current client database on Spektrix
Attend key networking events with the Head of Commercial & Visitor Experience
Maintain a close working relationship with the Development team, sharing potential leads and assisting with the delivery of services and events for our corporate partners
Work with the Marketing & Communications team to develop promotional material and enhance the social media profile of the commercial offer

Administrative Support
Ensure purchase orders and sales invoices
are processed in a timely manner
Work closely with the Finance team on
credit control and reporting
Ensure that resource inventories are current
on Artifax
Collect and report relevant data in line with
company policy
Update and manage venue listings and
directories
Retail stock control
Be first point of Contact for hireable office
tenants
Maintain an effective working relationship
with Contact’s pool of freelance creatives
and consultants
Provide regular internal updates to staff
members regarding the development of the
commercial offer
GENERAL
Undertake any other duties that may be
reasonably required in connection with the
position
To advise and report regularly on activity as
required by the wider Senior Management
Team, Board and sub-boards, supplying any
data required to meet funder reporting
requirements
To provide mentoring and support to young
people and on occasions deliver training/
workshops in areas relevant to your job role
In line with Contact’s governance model,
pro-actively engage young people in
decision-making through consultations,
young people’s panels and other
mechanisms relevant to your job role
To manage all personal data in line with the
General Data Protection Regulations, using
the Spektrix database as directed

ESSENTIAL CRITERIA:
Demonstrable ability to communicate
clearly, both verbally and in writing
Experience of working in a customer-facing
role and an understanding of excellent
customer service
Demonstrable track record of event
planning & delivery
Experience of working in a sales-focussed
organisation
Meticulous attention to detail
Ability to work well in a team across
multiple departments
Ability to work under pressure with the
flexibility to adapt to varying workloads
Excellent planning and organisational skills
Good IT skills, particularly with Microsoft
Office
Willing to develop IT skills in relation to
other relevant software
Enthusiasm for working in a creative
organisation
Enthusiasm for and commitment to Equal
