Risk & Issue Management

Any risks to the project can be identied on the system and will notify relevant users of ppreventative or corrective actions that need to be taken. All project issues can be managed through the system and monitored to ensure they are resolved in a timely manner.

Scheduling

CCreate schedules through the system or inte-grate with Primavera or MS Project to ensure up to date schedule information is available to all parties at all times. Keep up to date with the progress of all the milestones and activities dened in the scheduling section so that you can identify your project is on schedule at any timetime through real-time reports and dashboards.

Document Control

The system has in built templates created by our experienced team, covering all aspects of the project including; submittals of material, documents, shop drawings and manufacturers. Submittals can be created on the system and tracked through to approval or rejection. All documents are stored online for easy access at any time from any location.

Health & Safety

Health & Safety observations can be logged in the system with details and photographs and tracked until resolved. PMCC On Demand can then produce detailed reports on health & safety incidents so that this can be safely managed throughout a project.

Permissions

Meetings

Arrange meetings through the system which will send notications out to all invitees. Add meeting minutes to produce documentation of the meetings and upload signed minutes to the system which can be stored and accessed from any location.

Inspections

NWC CASE STUDYThe National Water Company in Saudi Arabia required a full PMO solution that required full transparency between the contractor and consultant. The system needed to align with the NWC workflow pro-cesses and have a seamless integration on to 4 reservoir construction projects totalling 160,000,000 SAR. All NWC forms had to be auto-mated through the system and work alongside the traditional paper system. Submittals were of keen interest to NWC and thy wanted a custom reporting solution to report on these.

Delivery

The team at PMCC met up with the contractors, consultants and client NWC to agree what forms would be used on the project and what processes would need to be followed through the system. The experienced PMCC team consists of experienced construction and IT professionals so are quickly able to identify what processes need to be followed on each project and are able to suggest improvements and workow through the system.

OnOnce the processes and form were agreed between the contractor, consultant and client PMCC were then able to set up the system and customise to the requirements of NWC. The submittals (Sub-contractor, Material, Shop Drawings, and Documents) and inspection (material and work) forms were provided by NWC and the system was customised to automatically produce the forms when added by the contractor. As the system processes aligned with that of NWC implementation of the system was straightforward as no complex new workow needed to be learned in order to understand the PMCC system. All forms produced through the system were styled to match that of the NWC forms including colours, logos, layout .E.Etc.

The PMCC team then worked at both site and the project offices of the contractor and consultant to train their staff and ensure correct process was being followed. For a smooth implementation and to ensure the data was accurate PMCC were on hand to help with any data capture and questions from anyone involved in the project.

The system has a number of reports already included within the system including daily/monthly reports, submittals & inspections registers and health & safety statistics. As well as the pre-built reports On Demand is able to produce custom reports to the requirements of the project. Submittals were of particu-lar interest to the NWC so PMCC were able to produce a morning report that was emailed out to all relevant parties informing what submittals needed approving urgently, what submittals had been recently approved/rejected and what submittals were late being approved/rejected.

IMPLMENTATION PLANKick off meeting

At the start of the project there will be a kick off meeting between PMCC Client, Contractor and Consultant. PMCC will provide the proposed forms and workow for the following through the system.

All relevant parties will agree on what changes if any will be needed to be made to these. The per-missions of all users will also be discussed and agreed upon in this meeting. The implementation deliverables will be dened alongside an agreed date.

Customization

Once all forms and workow have been agreed PMCC will set up the system and make any requested changes.

Training

OnOnce the system has been set up the PMCC team can then begin training all users and ensuring correct process is being followed. PMCC will work between site/project offices as well as head offices of the contractor, consultant and client to ensure all users and using the system correctly and to identify any issues that may have been overlooked.

Implementation Review

DDependant on the size of the project PMCC will agree a future meeting in which to review the implementation process. This will be a chance for all parties to review the system, how successful the implementation has been and any changes that need to made to the system.

Progress & Support

AAfter the implementation review has been approved the project will then go into the progress & support phase. PMCC will be available to provide remote support for the project via email/skype. Frequent site meeting can be agreed on a weekly/monthly/quarterly or annual basis depending on the project requirements.
