Pitch event(s) will be multi-sport or sport specific events dependant on the age group and day your group is attending. The event(s) give children the opportunity to play on the hallowed turf at the iPro Stadium, home of the Rams! Some important things to consider… A teacher from each school must accompany each of their groups around the activities. This is for supervision purposes and because toilet breaks are to be taken as and when needed by the children rather than a specific break time being built into the day. There will be a member of SSP / Derby County staff and / or Young Leaders at each station to explain, demonstrate and oversee the activities. We also endeavour to have a Young Leader to assist teachers by accompanying each group as they go round the activities. Schools are responsible for ensuring pupils have sufficient refreshments with them on the day. An official photographer will be in attendance, so schools must ensure that they inform the SSP staff at registration of any issues regarding consent for photos of any children to be taken and used in media and promotional materials including web-based outlets such as the SSP website and Twitter / Facebook feeds. School staff are only permitted to take photos of children from their OWN school.

Cancellation and non-attendance policy Late cancellations and non-attendances at workshops, competitions and festivals have increased in recent years. In many cases this has meant that people or schools have missed out on apparently fully-booked events that ultimately had space to have accommodated them. Fixtures and arrangements for competitions and festivals made in advance have been rendered unusable by non-attendance and events have started late after waiting for schools that were not attending. This cancellation policy was recommended by schools to attempt to resolve this issue. ‘Engage’ Bookings – online booking of competitions, festivals and workshops This section applies to events booked as part of the ‘Engage’ programme. These should usually be booked online via www.derbycityssp.co.uk. Ordinarily, no charge is made for schools affiliated to Derby City School Sport Partnership for these bookings. Confirmation of bookings All bookings made via www.derbycityssp.co.uk should be confirmed by an automated email at the time of booking. If this does not happen please email [email protected] to check that the booking has been made. Confirmation of bookings and arrangements for the workshop, competition or event will also be sent by email not less than five working days before the event. This confirmation will be sent to the email address supplied online at the time of booking. A copy will also normally be sent to the admin@ email address for the school. A list of schools or people registered will be included within this email, along with details of how to cancel bookings. Cancellation of bookings All cancellations should be made in writing to [email protected] not less than two working days before the workshop, competition or festival is scheduled to take place. If later than two working days, please specify the reason for late cancellation. Charges for late cancellation/ non-attendance

• Cancellations later than two working days prior to the event will be charged £10 per booking cancelled.

• Non-attendance without prior explanation will be charged £25 per booking not taken up.

Money collected for cancellation and non-attendance charges will be donated to Derby County Community Trust’s “Rams’ Kenyan Adventure” charity supporting St Trizah’s School in Kenya. Non-payment of any charges may affect schools’ registrations for future events.

‘Enhance’ Bookings and ‘Professional Learning Days’ This section applies to bookings that fall outside of the ‘Engage’ package provided by the SSP. This includes any ‘Enhance’ bookings and ‘Professional Learning Days’, for which additional charges are made to cover attendance. Confirmation of booking Bookings will be confirmed in writing at the time of booking by SSP staff. This will include details of date(s), time and cost of the booking. If no response is received to this confirmation within 24 hours it will be assumed that the booking is confirmed by the school. Cancellation of bookings and charges for cancellation Any cancellation of confirmed bookings should be made as soon as possible and should be made in writing to [email protected] Where confirmed bookings are cancelled the following charges will apply:

• Cancellation more than two weeks prior to the event = 10% of the event cost • Cancellation two weeks – one week prior to the event = 50% of the event cost • Cancellation less than one week prior to the event = 75% of the event cost • Non-attendance = 100% of the event cost

Money collected for cancellation and non-attendance charges will be donated to Derby County Community Trust’s “Rams’ Kenyan Adventure” charity supporting St Trizah’s School in Kenya. Non-payment of any charges may affect schools’ registrations for future events.
