Jim HaywoodProduct Manager for Statutory Returns
Position before importing Pupil Premium CSV Files
The new financial year based Pupil Premium functionality, will automatically update the Pupil Premium Indicator. In
this presentation, we will note the current status of the Pupil Premium
Indicator for a couple of pupils and then compare this with their status after importing a DPP (Deprivation Pupil
Premium) file.
3
Grenetta and Jimmy Abbey are two of the pupils included in our Pupil Premium CSV file,
so we will note their status before the file is imported.
4
5
We can see that Grenetta doesn’t have a Pupil Premium Indicator tick for 2013/14, but
we need to click the magnifying class to see if she
had any indicator ticks for previous years.
6
Now we can see that she doesn’t have any
indicator ticks for previous years either.
7
Jimmy doesn’t have a Pupil Premium Indicator tick for
2013/14 either, but we need to click the magnifying class to see if he had any indicator
ticks for previous years.
8
We can see that Jimmy is currently in a different
position to Grenetta as he has an indicator tick for
academic year 2012/2013.
9
10
Jimmy’s indicator tick will not show here as this tick box represents conditions for the current academic year - 2013/2014 and his indicator is for 2012/2013.
Import DPP (Deprivation Pupil Premium) CSV File
For 2013, the DfE made two files available to schools. One file for
DPP (Deprivation Pupil Premium) and one for SCP (Service Child
Premium). The LA supplied schools with information regarding LAP
(Looked After Premium
The demonstration below is for the import of a DPP file, but the
procedure is the same for an SCP file
12
We’ll start by opening the Import section of the new Pupil Premium
functionality
13
14
15
It is important to note that both DPP and the SCP files should be stored
in a secure folder when downloaded from the Key to Success website.
16
17
18
19
Clicking import will copy the information held on the DfE CSV file to a temporary table so that it can be viewed before being saved to a
permanent table.
20
21
22
The information displayed is exactly as found in the CSV file. The
software has not yet made any attempt to match this with SIMS
pupil data.
23
Clicking Save initiates the matching routine. UPN and DOB are the only items that are not subject to change,
so the matching restricts itself to these two fields.
24
The exception log will tell us if any pupils could not be matched and have not therefore had a Pupil
Premium record stored in SIMS.
25
In a real school we doubt there will be any pupils that aren’t matched,
but for the purposes of the demonstration we have created two
records in the file that can’t be matched
Please make a note of the Name, UPN and DOB for each record so
that we can find out why they haven’t been matched.
26
As you can see, Luke wasn’t matched because his DOB is the
04/08/1999 in SIMS but 05/08/1999 in the DPP file.
27
28
Paul Zeedan doesn’t exist in SIMS, so we can take it that the
match failed on UPN.
29
We can now go back to the Pupil Premium Import
30
31
32
The records are for the DfE financial year 2013/2014, which crosses academic
years 2012/13 and 2013/14. We have used this fact to
ensure that the pupils included have Pupil
Premium Indicator ticks for both 2012/13 and 2013/14.
We can check this by looking at the two pupils we noted the details of at the
start of presentation.
33
34
35
36
37
Grenetta had no ticks before the import, but now has ticks for 2012/13 and
2013/14.
38
39
40
Jimmy only had a tick for 2012/13 before the import,
but now has ticks for 2012/13 and 2013/14.
41
An important point to note is that the Pupil Premium Import will only ever add ticks and will never remove them. This
is important as some schools may choose not to import the files provided by the DfE, e.g. Their LA has already
provided them with the information they need, and others may be obtaining the information from a variety of sources.
42
43
Maintain Pupil Premium Information
We believe that the main use of Maintain Pupil Premium will be for
schools to supplement the DPP and SCP information with LAP (Looked After Premium) information provided by the LA. However, schools could also use the functionality to add DPP and SCP
information manually for their new intake pupils.
Maintain Pupil Premium displays the full picture of what has been stored via the import routine. The Ac Yr 1 and Ac Yr 2 columns show how we have divided the financial year information between the two academic years that it intersects.
This makes it possible for us to provide filters on academic years as well as
financial years
The display can be copied to an HTML report, which can then be
copied to spreadsheets for further analysis.
This information is also available in the reporting dictionary
48
The HTML report needs to be kept just as secure as the CSV files, so you might decide to use the same
folder as used those files.
49
50
51
We can copy the table to a spreadsheet for further
analysis.

We can improve the format and enter formulas for
calculation.
At the moment we only have DPP from the DfE CSV files in
the system, so it is easy to calculate the expected funding.
61
62
We can sum the FTEs
63
The full time funding is £900 at the moment
64
Multiply the FTE by the full time funding
and you get the expected funding
65
We can move the calculation to the top
of the worksheet
66
67
We can manually add records to the Maintain table. We will now add LAP
(Looked After Premium) records to
the table.
68
69
70
Once we’ve selected the pupil, we must enter the
financial year start and end date and the type of
premium Academic years will be populated when Save is
clicked

76
The academic years have been calculated
and stored
77
Melanie now has a record for DPP and LAP in the same financial year. I doubt
if such multiple Premiums will be common, but they are possible so we
have allowed for them

Thank you for your time
