Student Dashboard Select a student from the Student Search or Student Roster to reach the Student Dashboard. The Student Dashboard page serves as the “homepage” for a given student.

To create a new Educational Plan (EP), click on the Plans tab, click the Add button and click the Education Plan (EP) link. To access an existing EP, select the EP from the list under the Plans Tab.

Create a New EP After clicking Educational Plan from menu, you will be asked to confirm that you want to create a new EP. Once an EP is created it cannot be deleted.

Click the “Create EP” button to continue.

Plan Dashboard After you create the EP you will be taken to the Plan Dashboard. At this point the EP is open, in draft status and can be edited. An “open” EP can be: § Viewed as a draft § Edited § Locked The first page of the EP is Plan Information.

Plan Information Plan Information is the required first step to creating a services plan for a student.

Required Fields:

§ Meeting Date § Initiation Date § Duration Date Click the Save Data button, or the data will be lost when you move to another screen. Note: An EP must be in effect at the beginning of each school year; meetings shall be held to develop and revise the EP at least every 3 years for students in grades K-8 and at least every 4 years for students in grades 9-12.

Present Levels of Performance The Present Levels of Performance page gives you the opportunity to discuss any relevant factors, the parent’s concern, the student’s interests and the student’s strengths.

Discuss special considerations like English proficiency, visual or hearing impairments and medical needs. Scroll all the way down the screen to view all areas that need to be discussed. Click the Save Data button, or the data will be lost when you move to another screen.

Goals and Objectives The Goals and Objectives page allows you input measurable goals and short-term objectives and/or benchmarks.

To create a goal, click the “Add New Goal” button.

Add New Goal You must input a goal in the Measurable Goal text box. At least two objectives or benchmarks are required.

Add New Goal You must indicate your assessment procedure and how progress will be reported to the parent. Click “Save Data” to save the Goals and Short Term Objectives/Benchmarks main screen.

Goals and Objectives Goals stack on the main Goals and Objectives page as you create them. Click the “Edit” button to edit a goal and click the “Delete” button to delete a goal.

You may click the “Get Help Writing Measurable Goals” link to get information about writing measurable goals from the Quality IEP manual.

Specially Designed Instruction At least one description of specially designed instruction is required, including initiation and duration dates, frequency, and location (I/D/F/L).

Click the “Save Data” button to save a description.

Services stack at the bottom of the page as you add them.

Related Services The Related Services page provides documentation of the team’s consideration of factors relative to related services like therapy, transportation and other services, including I/D/F/L. Click the “Save Data” button to save a description.

Services entered and saved generate a running list at bottom of page.

Meeting Participants The Meeting Participants page documents the members of the EP team who participated in person or via phone or tele-conference.

Meeting Participants After you click the “Save Data” button at the bottom of the Meeting Participants page, a separate document for signatures may be printed by selecting “Print Report” at the bottom of the page.

You must also indicate how the parent received a copy of the EP.

Meeting Participants Form The printed page is signed by all participants and may be retained by the district as an auditable document.

Access and Implementation The team must indicate that all required personnel have access to the EP and are aware of their responsibilities.

Conference Notes Conference notes may be used to document the team’s decision-making process, to supplement any other information included in the EP, or to record any other information the team chooses to retain in the record.

The conference notes print out as part of the EP.

EP Compliance Check The Compliance Check page checks the EP, scanning for missing required fields. All sections must be passed prior to finalizing or “locking” the EP.

Failed sections are shown with a red “X.”

Click on “Fix It” to jump to the corresponding page for editing.

EP Compliance Check Once all items have a green check indicating they passed, the plan can be finalized (locked) by clicking the “Finalize Plan” button.

A draft of the EP can also be created before locking by clicking the “Print Draft Document” button.

Draft EP The draft version of the EP has draft at the top of each page.

Finalize an EP After clicking the “Finalize Plan” button, you will need to confirm that you want to lock the EP. Once the plan is locked, it cannot be edited. It can only be amended. Click the “Finalize” button to finalize the EP.

Plan Dashboard After finalizing the EP you will be taken to the Plan Dashboard of the EP. The Status is now Locked. A “locked” EP can be: § viewed as a final document § converted into an Excel file § amended

On or after the initiation date of the EP, you may create a progress report. This is accessed from the Student Dashboard.

Final EP Click the “View PDF” button next to Final EP on the locked Plan Dashboard to view the IEP.

Convert the EP to an Excel File Selecting the “Download Read-Only Version (Excel Format)” button transfers the EP to an Excel workbook. This feature allows you to pull the text from an existing, locked EP if there are large amounts of text that you want to copy and paste into a new EP. Note: This version of the EP is not meant to be printed out. Its purpose is to allow you to cut text from the EP to be pasted into another document.

EP Amendment Selecting the “Amend” button prompts you to confirm that you want to amend the EP. After this point a new EP will be created and cannot be deleted. Amending an EP will direct the you to the Plan Dashboard page of a new EP amendment.

EP Amendment The EP amendment is in open, draft form.

EP Amendment The EP amendment is identical to the regular EP and is completed the same way except: § an Amendment Date is

required on the Plan Information page.

§ the meeting date (pulled from the original EP) cannot be edited.

Data from the original EP is pulled into the EP amendment.

EP Amendment The amended EP indicates the date that the plan was amended. An EP amendment may also be amended after it is locked. If a plan has been amended multiple times, the “Previously Amended” field will display the dates the plan was amended.
