Navigation Course - This course introduces navigational aspects of the Epicor application's user interface.Designed for a hands-on environment, general navigation principles and techniques available in two userinterface modes - Classic Menu and Modern Shell Menu. Workshops focus on each of these modes andguide you through each navigational principle introduced.

• Customer Relationship Management Course - This course describes the Customer Relationship Management(CRM) module and how it provides straightforward, effective tools for managing common sales and marketingprocesses. The CRM module provides the environment to track prospects and quickly convert those prospectsinto satisfied customers.

• Customers Course - This course introduces fundamental concepts pertaining to the creation of customerrecords. This course also covers various maintenance programs necessary to define a customer in the Epicorapplication.

Environment Setup

The environment setup steps and potential workshop constraints must be reviewed in order to successfullycomplete the workshops in this course.

Your Epicor training environment, in which the Epicor demonstration database is found, enables you to experienceEpicor functionality in action but does not affect data in your live, production environment.

The following steps must be taken to successfully complete the workshops in this course.

1. Verify the following or ask your system administrator to verify for you:

• Your Epicor training icon (or web address if you are using Epicor Web Access) points to yourEpicor training environment with the Epicor demonstration database installed. Do not completethe course workshops in your live, production environment.

Note  It is recommended that multiple Epicor demonstration databases are installed. ContactSupport or Systems Consulting for billable assistance.

• The Epicor demonstration database is at the same service pack and patch as the Epicorapplication. Epicor's education team updates the Epicor demonstration database for each service packand patch. If your system administrator upgrades your Epicor application to a new service pack or patch,he or she must also download the corresponding Epicor demonstration database from EPICweb > Support> Epicor > Downloads and install it. If this is not performed, unexpected results can occur when completingthe course workshops.

• Your system administrator restored (refreshed) the Epicor demonstration database prior tostarting this course. The Epicor demonstration database comes standard with parts, customers, salesorders, and so on, already defined. If the Epicor demonstration database is shared with multiple users(that is, the database is located on a server and users access the same data, much like your live, productionenvironment) and is not periodically refreshed, unexpected results can occur. For example, if a courseworkshop requires you to ship a sales order that came standard in the Epicor demonstration database,but a different user already completed this workshop and the Epicor demonstration database was notrestored (refreshed), then you will not be able to ship the sales order. Epicor's education team has writtenthe course workshops to minimize situations like this from occurring, but Epicor cannot prevent usersfrom manipulating the data in your installation of the Epicor demonstration database.

2. Log in to the training environment using the credentials manager/manager. If you are logged in to yourtraining environment as a different user, from the Options menu, select Change User.

3. From the Main menu, select the company Epicor Education (EPIC06).

4. From the Main menu, select the Main site.

Important  If your Customer Relationship Management (CRM) license is installed and functional, the EpicorApplication displays an alternate Main Menu than the one shown without CRM.

With the CRM license, the Sales Management module is referred to as Customer Relationship Management.Additionally, the functionalities that correspond to the Customer Relationship Management folder arefound under the Sales and Marketing Management folder.

Application Setup

This section of the course reviews the most common company configuration and maintenance program setupfactors applicable to the quote management process.

Company Configuration

Use Company Configuration to define options for companies in the Epicor application. These options allowyou to customize the application to best fit each company. This topic describes the settings pertaining to thequote management process.

The Modules > Sales > Quote sheet in Company Configuration contains settings that directly impact quoteprocessing in the Epicor application.

Key fields are described below.

DescriptionField

This field specifies the number to use for the first quote entered in Quote Entry. Ifyou do not enter a number, quotes begin with 1. The application always generatesquote numbers.

Starting Quote

Select this check box to indicate that you want quantities and related price breaksto display in Quote Entry.

Generate Quantities FromPrice Breaks

This field specifies the number of days your quotes are good for, by default. Thisdate is added to the quote date to calculate the default expire date for your quotes.

Expiration Days

This field specifies the number of days after a quote is generated that your sales

staff should wait before contacting the customer about that quote. This date isadded to the quote date to calculate the default follow up date for your quotes.

Follow Up Days

This field specifies the number of days after a quote is entered that it is due. Thisdate is added to the current date when you enter a quote to calculate the defaultdue date for that quote.

Days to Quote

Select this check box to indicate that users should not make changes to quotesmarked as Quoted. If this check box is selected and you mark a quote as Quoted,users can only change memos associated with the quote.

Prevent Changes

Select this check box to indicate that users are required to enter a brief descriptionwhenever they change a quote marked as Quoted. This option is only available ifthe Prevent Changes check box is selected.

Create Audit Log

This field is used for standard text that should display at the bottom of every quoteform you generate.

Maintenance Programs

This section describes the key maintenance programs that pertain to the quote management process. Some ofthe programs must be set up during implementation of other modules.

Customer Maintenance

Use Customer Maintenance to enter customer records. Customers are businesses to whom you sell productsand services. Customer records are primarily used to create quotes, sales orders, and accounts receivable (AR)invoices. You also use customer records during the Customer Relationship Management (CRM) process.

You can designate a customer as a Suspect, Prospect, or Customer. This allows you to create customer recordsfor companies that may do business with you in the future.

New customers are automatically placed on credit hold. You must clear the Credit Hold check box on the Billing> Credit> Credit Detail sheet to display transactions for this customer.

To set up a customer that has two or more divisions within a large company, use the Parent/Child functionality.Divisions are separate customers that link to the main parent company.

You can also specify a customer’s approved suppliers for materials, parts, and subcontract operations.

Customer records are crucial for capturing opportunities, creating sales orders, and generating accounts receivableinvoices.

Part Maintenance

Use Part Maintenance to enter or update part information. Parts are either purchased items you use for rawmaterials or subassemblies or manufactured items you use to fill sales orders.

Each part record contains crucial data you may need for purchase or production needs. A part record containsgeneral information such as part number, description, and search criteria. Also, a part record defines inventory

information, which includes unit of measure (UOM) options for sales, purchases, inventory, non-stock classifications,serial number tracking, and weight values. You also define warehouse and bin information for each part, includingMinimum, Maximum, and Safety Stock quantities. If this part is included in a sales kit, define these parametersas well.

When you set up a part, you can access it from each site within the company, and use it on jobs. You can alsoselect parts as materials on quote, job, or part methods of manufacturing. If you use the Engineering module,purchased or manufactured parts on a bill of material must have a record set up in Part Maintenance.

Tip  Most modules do not require parts to exist in Part Maintenance, but it is recommended that you enterparts in this program, as each record requires little data and can save you data entry time later.

Daily Quote Processing

This section of the course explains the quote management tasks that take place during a typical work day.

The quote entry process has three main steps. These steps are as follows:

• Create the quote header.

• Create quote lines.

• Confirm and print the quote.

Note  Additional options are available in the Quote Management module, but this course reviews how tocreate a simple quote. Throughout the rest of this course, you use different features in the Epicor applicationto create several quotes. The Specialized Quote Processing section briefly reviews additional quotemanagement functionality. For more information, refer to the Application Help.

Opportunity/Quote Entry

Use Opportunity/Quote Entry to enter and maintain leads, opportunities, or quotes in the Epicor application.This program is valuable when you want to enter and track communications with a potential customer.

A quote is a document you use to track price quotations for manufactured parts. You send these documents tothe customer or prospect, and retain them for follow-up. You can copy quotes to sales orders and jobs, tominimize data entry if you receive an order.

Quotes consist of heading information and one or more line items that contain the parts and quantities to quote.You enter manufacturing details for each line to calculate the estimated material, subcontract, labor, and burdencost required to make the part. You can also enter miscellaneous costs and commission expenses.

You enter and maintain quotes through Opportunity/Quote Entry.

Quote Entry

The basic quote entry process walks you through how to use the Summary sheet to create a quick quote. TheSummary sheet contains all the information required to enter a quote in the Epicor application.

Quote Header

To create a quote, the first step is to enter the quote header information. The header defines who the quote isbilled to and shipped to, payment terms, ship via options, and so on.

Once you enter the bill-to customer on the quote header, details from this customer record default in fromCustomer Maintenance.

When you enter a new quote, the quote's status field automatically defaults to a quote status. If the CustomerRelationship Management (CRM) module is not licensed, this status does not change.

Search for and select an existing ship-to address in Customer Maintenance to override the ship-to address.Right-click the Ship To field and select Customer Ship To Entry to change the ship-to customer. Once youenter and save the ship-to customer, return to the quote, browse to the Ship-To ID created, and select it.

As lines are added to the quote, the Gross Value, Discount Amount, and Miscellaneous Charges fields automaticallycalculate, as well as populate with the appropriate dollar amounts.

The Territory, Terms, and Ship Via fields default from the customer record but can be overridden on the quoteif desired.

Quote Lines

The quote lines define what is being quoted, the quantity requested, the unit price, and expected delivery dates.To add a new line to a quote, from the New menu, select New Line.

Summary Lines

The Summary > Lines sheet allows you to enter line items into the quote through the grid. The grid contains all

required fields to save a line item on the quote. When you enter a part number with a standard price and quantity,the summary header information calculates the quote total when the line is saved.

The part number is the only required field on the line item. You can tab through the other fields in the grid,allowing the line to be saved. Entering a quantity on the line allows the Epicor application to calculate the quotetotal from the unit price on the part, if one exists.

Quote Confirmation and Printing

Once a quote is created, select the Quoted check box to confirm or establish the quote. You can then print thequote and send it to the customer for approval.

Workshop - Enter a Quote

In this workshop, create a basic quote for a make-to-stock item. The part quoted is a stocked item and has astandard price.

Create the Quote Header

Navigate to Opportunity/Quote Entry.

Menu Path: Sales Management > Quote Management > General Operations > Opportunity / Quote

Tip  The CRM menu path is: Customer Relationship Management > Quote Management > GeneralOperations > Opportunity / Quote

1. From the New menu, select New Quote.

2. In the Customer field, enter DALTON and press Tab.

3. Verify the Ship To is Plant1 and the Ship Via is UPS Ground.

4. Navigate to the Tasks > Tree sheet.

5. In the Task Set field, review the default information and click Save.

Quick Quote-Existing Customers displays.

Create a Quote Line

1. From the New menu, select New Line.

2. Navigate to the Summary > Lines sheet that is located at hte bottom of the Summary sheet.

3. In the Part field, enter 00C1.

4. In the Expected Quantity field, enter 1.

5. On the Summary sheet, select the Quoted check box.

6. Record the quote number________________.

7. Click Save.

Preview the Quote

1. From the Actions menu, select Print Form.

The Print Quote Form window displays.

2. Accept all defaults for the report.

3. Click Print Preview.

The Quote Form window displays.

4. Review the quote.

5. Exit the Quote Form and the Print Quote Form window.

6. Exit Opportunity/Quote Entry.

Quote Entry for a Sales Kit

Sales kits facilitate the use of phantom-type items. Phantom items do not exist within a warehouse but exist asa part on a price list and display on sales quotes and sales orders as single line items.

For example, a customer orders a new computer; one part number represents the monitor, keyboard, and CPU.

Part Maintenance Settings

Define items as kit items in Part Maintenance by selecting Sales Kit as the Part Type. A sales kit includes theability to change components during quote entry and to change base pricing on the parent price or on the totalof the component prices. When a part is recognized as a kit item, additional parameters are enabled that allow

you to configure how the kit is processed. The additional parameters are available on the Part Maintenance >sites > Sales Kits sheet.

Opportunity/Quote Entry Settings

Opportunity/Quote Entry identifies a part as a sales kit. The recently approved revision of the sales kit's bill ofmaterials displays. Each of the kit components creates a quote line and is associated with the original parent lineby the Display Sequence. For example, if Kit A, with components B and C, is entered as line one on the quote,then Kit A is line one, Component B is line two, and Component C is line three. Respectively, the related DisplaySequence numbers are 1.000, 1.001, and 1.002.

Depending on the pricing method selected, the price is obtained from the sales price list for the kit parent itemor from the rolled prices of the individual component sales prices.

Workshop - Enter a Quote for a Sales Kit

In this workshop, create a quote for a sales kit. The kit components are changed for the sales kit on the quote.

Important  This workshop can be performed only once in each instance of a restored (refreshed) database.

Set Up a Sales Kit

Navigate to Part Maintenance.

Menu Path: Sales Management > Order Management > Setup > Part

Tip  The CRM menu path is: Customer Relationship Management > Order Management > Setup > Part

1. In the Part field, enter SHLF-C100 and press Tab.

Create a Quote

Navigate to Opportunity/Quote Entry.

2. Select the first line with a part that ends in 48.

3. Click Delete.

4. To the Delete this Record message, click Yes.

5. Delete the remaining parts that end in 48.

You can select each line individually to delete it or hold down the Ctrl key and select multiple lines at once.

Make-to-Order Quotes

In a make-to-order scenario, goods are manufactured after an order is placed. In this scenario, a method alreadyexists for the part quoted. The method is pulled into the quote from the part. This allows quoters to analyzecurrent labor and burden costs for the part and to determine a selling price based on a profit or markup percentage.

Workshop - Enter a Make-to-Order Quote

In this workshop, enter a quote for a part that is a make-to-order item. Enter information, include comments,

and create a ship-to contact for the customer.

Create the Quote Header

Manufacturing Details

The manufacturing details, also known as the method of manufacturing, or the method, include all the informationrequired to build a part. It includes all purchased and manufactured parts necessary, as well as the sequence ofsteps required to build the final product. The list of materials is known as the bill of materials (BOM), and the listof operations is known as the routing or bill of operations (BOO).

Opportunity/Quote Entry allows you to bring a method in from a part revision, another quote selected as atemplate, or another job selected as a template. Once you add a method to a quote, you can modify it inOpportunity/Quote Entry. You can also build a method from scratch during quote entry. The ability to bring themanufacturing details of a part into a quote allows you to calculate a selling price from the current costs definedin the item's method.

When the Supplier Relationship Management module is licensed, you can select the RFQ Needed check box ona purchase direct material requirement or a subcontract operation. This creates an entry in the Buyer Workbenchto initiate a request for quote.

Workshop - Get Manufacturing Details

In this workshop, get the manufacturing details on the make-to-order quote created in the Workshop - Entera Make-to-Order Quote.

1. Verify the Summary sheet displays.

The Quote Worksheet and Quote Markups

The Quote Worksheet allows you to review material, labor, and burden costs associated with a part based onthe manufacturing details on the quote. In addition, the worksheet allows you to determine the selling pricebased on a profit or markup percentage.

You can apply markups to a quote manually on the Quote Worksheet or automatically through Quote MarkupMaintenance.

Line > Worksheet > Worksheet Sheet

Use the Line > Worksheet > Worksheet sheet to review calculated costs for each quote line, based on theproduction details entered and the markup rates. You can review costs, change markup rates, and addmiscellaneous costs. Based on this input, enter the quote prices you want to send to the customer.

The worksheet is divided into sections that display the quantity breaks as entered on the quote line, as well assetup and production hours from the method. Use the Calculations section to enter markups, profit amounts,and totals.

Important  For each quantity break defined, the standard pricing defaults from the price list. If no pricelist exists, the selling unit price value in the part master file is used instead.

You can calculate the unit price based on a markup or a profit percentage. Once the selection is made and thepercentages are entered in the calculation's Markup/Profit column, the Epicor application calculates a unit price,with or without commission. You can accept or modify this price by entering the desired prices into the QuotedUnit Price field. Repeat these steps for each quantity break on the quote line.

The default Markup calculation uses the formula: Total Cost + (Total Cost * Markup %).

The Profit calculation uses the formula: Price = Total Cost / (100% - Markup %).

Line > Worksheet > Markups Sheet

Use the Line > Worksheet > Markups sheet to enter the material markup percentages to use when quoting anassociated part. Material markup percentages are assigned according to part class.

You can use these markup percentages during quote entry to determine what selling price is quoted. The markuppercentages are multiplied against a part’s cost categories to calculate the quoted selling price.

Once you create a quote markup, you can assign it to a specific customer in Customer Maintenance, to a

specific quote during quote entry, or set it up as the default markup used on all quotes.

You can enter separate rates for each cost category: material, material burden, subcontract, labor, burden, andmiscellaneous. Each markup record is a set of percentages defined for these cost categories. A couple markuprate examples are 5.00 (5%) and 6.5 (6-1/2%).

Important  Material markups are determined based on the part class of the materials in the manufacturingdetails and are not based on the part class of the finished goods.

If no markup defaults into the Quote Worksheet, you can select a standard markup from a list. You createstandard markups in Markup Maintenance. For more information, refer to the Markup Maintenance topics inthe Application Help.

same-as-except-for example is used, which is where a part is quoted almost exactly like an existing item. In thissituation, a quote is entered for a new part number, which is a part-on-the-fly. The method is pulled from theexisting part and changed to accommodate the differences.

Engineered

Use the Engineered check box on the Line > Detail sheet to select a line that has been engineered. This is onlyapplicable for lines with associated manufacturing details.

Once details are brought into a quote, you can change the line until it is marked as engineered. Once a line withdetails is engineered, the quoted selection is available on the quote header.

Autoload Engineering Data

The Autoload Engineering Data option allows you to automatically populate the Engineering section with datathat relates to parts, operations, capabilities, resource groups, and resources.

Copy Quote Lines

Use the Copy Lines command to quickly copy lines from an existing quote into the currently selected quote.This feature enables you to bypass the detailed entry required on the Line sheet, which is generally used to addlines to a quote. The Copy Lines command is only used when an existing quote has lines that are very similar tothe lines you want to add. Each quote line specifies a part and the quantity to be quoted. A quote can have an

indefinite number of lines.

Specialized Quote Processing

This section of the course gives an overview of special quote management capabilities of the Epicor application.All the features described below are accessible from Opportunity/Quote Entry.

Miscellaneous Charges

Miscellaneous charges are additional costs, such as expedite fees and freight charges which can be included onsales orders, quotes, and invoices. Once set up, you can add charges on these records. The charges can be specificto the line or quantity and can be applied to every shipment, the first shipment, or the last shipment.

Line Specific Charge

Line specific charges pertain to the part, regardless of order quantity. If the charges are for the line, from theNew menu, select New Line Specific Charge. In the Line Specific Charges section, enter information in theavailable fields.

Quantity Specific Charge

Quantity specific changes pertain only to a particular quantity of an item. If the charges are for a quantity, selectthe quantity break for the miscellaneous charge in the Quantity Specific Charges - Quantity Breaks section,and from the New menu, select New Qty Specific Charge. In the Quantity Specific Charges section, enterinformation in the available fields.

Co-Parts

If you have the Advanced Production module installed, you can define a method of manufacturing that canproduce multiple parts on a single job as co-parts. In Opportunity/Quote Entry, you can define a method forthe co-part on a quote line from the Line > Co Parts sheet.

You can establish both the yield per quantity of the co-parts, their costing ratios, and whether the co-parts areto be produced concurrently or sequentially. The Quote Worksheet costs display the correct costs for the partbeing quoted. The appropriate method is then created if the quote line is turned into an order and then a job.

Price Groups and Price Lists

Price groups and price lists allow you to define prices and discounts based on various criteria. These default intoOpportunity/Quote Entry from the customer ID or the line item part number.

Price Groups

Price groups allow you to establish quantity or dollar-based discounts based on the product groups identified oneach part in Part Maintenance.

Price Lists

Price lists allow you to assign a specific price or discount to a part or product group. Once created, a price listcan be assigned to a specific customer in Customer Maintenance and it defaults into quotes or orders for thatcustomer based on the part(s) on the line(s).

Reopen and Close Quote

A quote closes automatically when the expiration date passes. However, you can manually mark it as closed byselecting Quote > Close Quote from the Actions menu. When a quote is closed, the date populates in theClose field on the Summary > General sheet.

You can reopen a quote at any time. To do this, from the Actions menu, select Quote > Reopen Quote.

Duplicate QuoteUse the Duplicate Quote option to copy a quote. From the Actions menu, select Quote > Duplicate Quote.When duplicating a quote, there are options to refresh the material, operation costs, and operation standards,in order to select which lines to include on the new quote.

Set Order Defaults

Use the Set Order Defaults option to set defaults for an order that results from this quote. You can use this optionprior to the Create Sales Order option to default in specific information to a sales order created from the quote.

Create Sales Order

When you mark a quote as quoted, it can be converted, or pushed, into a sales order. From the Actions menu,

select Quote > Create Sales Order to launch the Quote Order Wizard.

The Quote Order Wizard allows you to define key data fields on the order. It also allows you to select individualquote lines to default into an order line. A sales kit parent item is available from the Quote Order Wizard but notfrom the individual components. When the sales order or line is created for the kit, it also creates the individualcomponent items as sales order lines with the same line or display sequence numbering convention, discussedearlier in this course.

Once a quote is converted into a sales order, the quote number and order number are written to each record.The quote number is visible on the sales order line item in Sales Order Entry. You can launch the Part Advisorfrom either Opportunity/Quote Entry or Order Entry. The Part Advisor answers basic questions about a particularpart. For example:

What-If Scheduling

The What-If Scheduling option calculates the completion date of a part based on a user-defined start date, aswell as the quantity entered, and optionally applies Finite Scheduling. This tool helps identify accuratemanufacturing lead times and provides realistic delivery expectations to customers.

Change Log

The Change Log viewer is available from Opportunity/Quote Entry to review every change made to a quote. TheDetail sheet displays the user who made the change, the time, and the field information that changed.

Memos

Memos provide an area to attach miscellaneous comments or notes to a quote line. You can assign memocategories to organize memos for reporting purposes. Memos are available in many programs throughout theapplication.

Audit Log

Use the Audit Log to require comment entry when any changes are made to the quote. To use the Audit Logfeature, you must enable it in Company Configuration for the Quote Management module. Once enabled, theAudit Log option in Opportunity/Quote Entry displays a list of all the comments entered when changes weremade to the selected quote.

Comments

Comments are available on both the Header and the Line sheets. Quote header comments print on the quoteform just above the line items. Comments entered at the line item level print on the quote line and the salesorder when a sales order is created from Opportunity/Quote Entry.

Use the Order Job Wizard to optionally duplicate quote and order line comments on a job created from the quote.
