Installation Prerequisites Checklist

Check the current Medtech Evolution installed version [Help!About Medtech Evolution] before attempting this upgrade. The practice must be on the following Medtech Evolution version:

• Version 1.5.3.11 or later

Check the current Medtech Service installed version [Control Panel > Medtech Service] before attempting this upgrade. The practice must be on the following Medtech Service Evolution version:

• Version 1.5.5.72 or later

3. It is required for users to be logged out of Medtech Evolution for this update to be run, because the main application is affected. £

4. Ensure you are logged onto Windows with Full Administrative rights when performing ANY installation, update, or maintenance tasks. £

New ManageMyHealth™ Message Forwarding

The ability to forward ManageMyHealth™ messages from one provider to another, either automatically or manually has been introduced.

Setup Automatic Forwarding of ManageMyHealth™ Messages

File �Option �Staff �Members �ManageMyHealth Tab

The ManageMyHealth™ tab in the View Staff Screen now has a Message Forwarding section where a date range can be specified to forward messages and the provider who should receive Inbox - ManageMyHealth™ messages during the specified date range. This enables setting future forwarding periods instead of being limited to turning the feature on/off as required. Complete the following steps to create a new forwarding rule:

Click the New icon to add a New Forwarding Rule icon

Specify when the forwarding rule should start

Specify when the forwarding rule should finish

Select the ‘Forward To’ Provider

Click on Ok to save the new rule

Validations that are applied when creating forwarding rules include:

Ø The start date must be todays date or some date in the future Ø The finish date must be on or after the start date. When the start date and end

date are the same forwarding will ONLY occur for the specified date Ø A forwarding rule cannot be created if the receiving provider also has

forwarding messages within the same period Ø Only new messages arriving in the Provider Inbox after the rule applies will be

automatically forwarded.

Manually Forwarding a ManageMyHealth™ Message to another Provider Providers can manually forward a ManageMyHealth™ message to another provider by the following steps:

Select the message to be forwarded

Click on the ‘Forward’ button

Select the ‘Forward To’ provider

Include a reason why it is being forwarded so that the recipient understands why the message was forwarded

Click on the Ok button to complete the forwarding task

Messages with the status of Read and Received can be forwarded. The forwarded message status will be displayed as Unread + Received in bold.

Note 1. The ManageMyHealth™ message cannot be forwarded if it has been partially or

fully actioned or filed. The following message will be displayed when a partially actioned or fully actioned message is forwarded. “Messages that have been actioned or partially actioned cannot be forwarded”

2. Forwarding Reason is mandatory 3. An audit record will be recorded for every message forwarded

Audit Information for Messages that have been Forwarded Forwarding audit information can be found by selecting the ManageMyHealth™ message to review and then using right-click Message Forward Audit menu option. This will show the forwarding reasons if the message has been forwarded from another Provider, see the example below:

New ManageMyHealth™ Screening Feature

Introduction

File !Options!Recall Screening!Screening Terms Medtech is pleased to announce the inclusion of a ManageMyHealth™ Screening module which allows the dissemination of screening information between Medtech Evolution and ManageMyHealth™. This will allow uploading of screenings to ManageMyHealth™ which can be viewed by patients and external healthcare providers via SEHR. Patients and external healthcare providers can also record screenings that will in turn be sent to Medtech Evolution to be reviewed within the provider / patient inbox. The screenings received from Patients and external healthcare providers will have #PAT and #EHP in the provider field to indicate the source of the information. The #EHP and #PAT will be automatically setup as providers in the staff setup as part of this upgrade. To use this feature the practice will be required to complete the following steps:

Ø Map screening terms defined in Medtech Evolution to those used in ManageMyHealth™, as detailed below.

Ø Choose which screening terms to upload to ManageMyHealth™ and which terms to download from ManageMyHealth™, as detailed below.

Mapping of Screening Terms

To enable ManageMyHealth™ to recognise and exchange screening terms with Medtech Evolution a common screening identifier is required using SNOMED-CT, an international clinical term coding system. SNOMED-CT codes for common screening terms have been included within Medtech Evolution, please refer to the table at the end of this section for a list of these terms. Follow the process below to associate a SNOMED-CT code with common screening terms:

Navigate to Screening Terms and Open the appropriate screening term

In the measurement tab, select the appropriate measurement and click the “View” button

From within the View Measurement Value screen select the relevant SNOMED-CT term available under the MMH Health Indicator Mapping section and Click on Ok to save the mapping update.

Note 1. Patients are only able to provide General Screenings which are sent to their

Provider for review and optionally saved to the Medtech Evolution patient record. 2. Each Measurement must have the Units of Measure field filled when they are

mapped to SNOMED-CT. 3. When mapping the SNOMED-CT code for Height please ensure that the Unit of

Measure is set to either centimetres or metres depending on which measurement is used by the practice.

Enable the Exchange of Screening Terms with ManageMyHealth™

File!Option! ManageMyHealth Setup!ManageMyHealth!Patient Default Setup! ManageMyHealth Export Defaults tab For Screening information to be exchanged between Medtech Evolution and ManageMyHealth™ the practice must enable this feature within the ManageMyHealth™ configuration page, as shown below:

1. Enable screening exchange with ManageMyHealth by ticking the screening item on the ManageMyHealth Export Defaults tab.

2. Click on Ok to save this setting to Medtech Evolution.

3. Once Screening is ticked then the Screenings Upload/Download tabs become active to allow the selection of which Screenings can be Uploaded and Downloaded.

Configuring Upload Screening Terms Rules

File!Option! ManageMyHealth Setup!ManageMyHealth!Patient Default Setup! Screenings Upload tab Once screening terms have been mapped to their SNOMED-CT counterparts the practice will be able to select which Screenings will be uploaded to ManageMyHealth™. The screen shown below allows the practice to define

Ø Which screening terms (with measurements) to upload

Ø The screening event date when screenings should be uploaded from (e.g. upload all Cholesterol events starting from the 1st January 2010, inclusive).

When the system is first configured the “Apply to All” checkbox will be available.

Once “Apply to All” is ticked and the “OK” button is clicked, the system will apply the screening configuration for the specific Screening Terms to all existing registered patients in ManageMyHealth™ patient portal.

This checkbox will be greyed out and made un-selectable following this action.

The “Applied From” column in each Screening Term will display the date on which the “Apply to All” checkbox was selected and the screening configuration was applied to all ManageMyHealth™ registered patients.

Once a SNOMED CT Mapping configuration for a screening term has been uploaded, any future changes to the SNOMED-CT mapping will be applicable ONLY to newly registered patients in ManageMyHealth™ patient portal.

Configuring Download Screening Terms Rules

File!Option! ManageMyHealth Setup!ManageMyHealth!Patient Default Setup! Screenings Download tab Once screening terms have been mapped to their SNOMED-CT counterparts the practice will be able to select which Screenings will be downloaded from ManageMyHealth™. The screen shown below defines:

Ø Which screening terms (with measurements) can be downloaded

Ø Whether these screening events should be automatically filed or whether the provider needs to manually file screening events as they are received

Ø The Applied From column will display the date from which the Screening term will be downloaded from ManageMyHealth™

Note: For the purpose of downloading, a ManageMyHealth™ screening measurement can only be associated with a single Medtech Evolution screening term. For example if the practice uses two Height Screenings terms (HT & HE) only one Screening term can receive downloads from ManageMyHealth™.

Configuring Screening Term Exchange Rules for Individual Patients

ManageMyHealth! Register Patient The exchange of screening terms can also be set at the patient level to provide the ability to override the practice configuration where required. Notes:

1. The process of specifying upload and download screening terms for individual patients follows the same process defined in the above two sections.

2. Once patient screening terms exchange rules have been setup, these rules can only be changed by suspending the patient’s registration temporarily.

3. Access the exchange settings for individual patients via the ManageMyHealth™ Patient Registration Screen shown below:

Restricting the Upload on Individual Screening Events

If an individual screening event is marked confidential it will not be uploaded to ManageMyHealth™.

Note

If a screening entry is marked confidential then they will not be selected for export via GP2GP and will be displayed in Red. Invalid screening entries which were previously displayed in red will be displayed in Maroon bold italics to be differentiated from the confidential ones.

Automatic Filing of Screenings Received from ManageMyHealth™

If a screening message is received from ManageMyHealth™ and the screening term has been configured for automatic filing then the screening records will be automatically filed into the Medtech Evolution Patient Inbox. To view these within the Provider Inbox the filter must be modified to view Filed Records only.

If a ManageMyHealth™ screening message is opened that was automatically filed, the following information will be displayed:

Manually File Screenings Received from ManageMyHealth™

If the screening message is received from ManageMyHealth™ and the screening term has been configured for manual filing then the provider is required to assess the message in the ManageMyHealth™ Message Inbox and save the appropriate screening events manually. Below is the inbox view of a message that needs to be manually filed.

Below is the screen for screening messages that need to be manually filed. The provider will need to assess all content in this screening message and manually file the appropriate screen events.

Note Any screening entries provided by patients into ManageMyHealth™ and downloaded into Medtech Evolution will NOT be displayed in the GP2GP Export window.

Medtech Evolution ManageMyHealth™ Recall Management

Medtech is pleased to announce an enhancement to Medtech Evolution to send recall reminders to patients via ManageMyHealth™. Patients can be sent a recall reminder email via the patient’s configured email channel. When the patient responds, the reminder response will be written to the Recall Contact list.

Revised Recall Contact List

Home !Recall Contact List A new button has been added to allow the sending of recall reminders to ManageMyHealth™ registered patients. The Recall contact list has also been enhanced to present more information and to allow the sending of recalls via ManageMyHealth™. The following new columns have been added:

ü Patient’s mobile number

ü MMH displays the ManageMyHealth™ template used if the recall was sent via ManageMyHealth™

ü MMH Reg, identifies if the patient is registered on ManageMyHealth™

ü Reminder Response displays the patient’s response

ü Response Date, the date the response was received from ManageMyHealth™

Columns that have changed:

ü The column # has been changed to R#. This column displays the number of times a recall was rescheduled.

ü Contacted has been renamed Last Contacted to provide clarity.

ü Contacted Date has been renamed Last Contacted Date to provide clarity.

Using ManageMyHealth™ to Send Recall Reminders

Home! Recall Contact List A new MMH icon has been added to allow the sending of recall reminders to ManageMyHealth™ registered patients. The recall contact list also displays recall responses received from the patient. When clicking the MMH icon, recall reminders will be generated for the following patients:

1. Patient Recalls where no contact has been made 2. Recalls for patients registered in ManageMyHealth™ 3. Recalls for where a Recall ManageMyHealth™ template exists

After the recall reminder list has been sent to ManageMyHealth™ the following information for processed recalls will be updated:

ü The patient recall will be marked as being contacted. ü The Last Contacted column will be updated as ‘MMH-email’ ü The Last Contacted Date with the current date

Activities that occur After Recall Reminders are Generated

The following activities will potentially occur as a result of a recall reminder being generated. Activities before the patient is contacted:

1. An entry in the patient outbox will be created for the recall reminder sent to ManageMyHealth™.

2. ManageMyHealth™ receives the Recall Reminder response from Medtech Evolution and then adds the additional details in the Reminder template.

Patient Activities:

1. ManageMyHealth™ sends a recall reminder message to the patient’s personal email to inform them that they have received a recall reminder in ManageMyHealth™.

2. The patients can log into ManageMyHealth™ and view the Recall Reminder.

3. The Recall Reminder message will have a link to create an appointment for the recall, if this feature has been activated by the practice.

Activities after the patient views the recall:

4. If the patient views the reminder but did not make an appointment then a status “Read” will be sent to Medtech Evolution.

5. If an appointment is booked a status of “Appointment Booked” will be sent to Medtech Evolution.

6. The Reminder Response column in Medtech Evolution will be updated with the response, either Appointment Booked or Read.

7. If the Reminder Response column has status of “Appointment Booked” or “Read” then the “Patient Contact” Checkbox if unticked will display the following warning message. “The selected Recall has been sent via MMH and a response has been received, therefore this recall cannot be resent again through MMH, SMS, and Letter & Phone”.

8. The recall can be resent via MMH, SMS, Phone & letter when the Reminder Response column has a status of Unread.

9. The Reminder Response Date will be updated with the date the Reminder

Response was received.

10. An Inbox entry will be created for the reminder response received from ManageMyHealth™ as shown below:

Auditing of Patient Recalls

Patient ! Recalls!View Patient Recall The patient Recalls module has been enhanced to included additional auditing information. The Audit Tab on the Patient’s recall screen now includes an Audit Log button. The fields listed below in the Recall Contact List and Patient Recalls screens will be recorded within the Audit Log.

The Audit information is also available in the Recall contact List in Medtech Evolution. To view the Audit information, right click on the record and choose the Audit option from the menu.

Note 1. If there have been no changes to a recall record, then “no information” will

appear on clicking the audit option. 2. The audit is saved only when the recall contact list screen is closed/or refreshed.

Configure Recalls Uploaded to ManageMyHealth™

In Medtech Evolution, each of the following screens have a checkbox (Do Not Upload Recalls to MMH checkbox / Do Not Upload to MMH checkbox) where it can be specified whether patient specific recalls should be sent to ManageMyHealth™ or not. By default ALL relevant patient recalls will be uploaded. To exclude a record or records from the upload it is necessary to tick this checkbox.

OSICS Support in SOTAP

Medtech is pleased to announce the introduction of The Orchard Sports Injury Classification System (OSICS) Version 10.1 support in SOTAP. OSICS is able to cater for all possible diagnosis encountered in a Sports injury where Physiotherapists can now link the OSICS codes in Medtech Evolution SOTAP consultation. Using OSCIS Codes in SOTAP Consultation

Patient!SOTAP Consultation The SOTAP Consultation screen has been enhanced to allow physiotherapists to link a maximum of 3 OSICS codes for each SOTAP Consultation. 3 new fields ‘OSICS Read 1’, ‘OSICS Read 2’ and ‘OSICS Read 3’ has been added to the SOTAP Consultation Screen in Medtech Evolution as shown below:

Use the following steps to associate the OSICS Code in SOTAP Consultation.

Click on the OSICS Read field ellipse button to open the ‘Find OSICS’ Search Window Search for the OSICS Code in the ‘Find OSICS’ screen and once found & selected Click OK to associate the OSICS Code in SOTAP Consultation.

Search features within the ‘Find OSCIS’ Screen

OSICS Codes can be search either by its Code or Description. Below are the different types of searches which can be performed:

Exact Search of OSICS using Code Search. # Symbol to be used as prefix for Code Search.

Description Search with One Word- will display the OSICS Descriptions which starts with the entered search value.

Description Search with One Word and Region filter - will display the OSICS Codes which starts with the entered search value and belongs to the region selected.

Description Search with Two Word - will display the OSICS Descriptions which starts with first word entered and OSICS Description Second Word which starts with the second word entered search value.

Wildcard Search – the “*” symbol can be used for wildcard searching where a blank search value will display all the OSICS codes.

Patient Search Enhancements

Home � Patient Search The Date of Birth in the Advanced Search tab is moved to the Quick Search tab to allow quicker access to the Date of Birth field as shown below:

Note In Quick Search staff can either use DOB or Name/Chart/NHI. Values in both these fields is not supported. Home � Patient Search � Advanced Search Patient Search Screen has been enhanced when searching a Patient with a Reference Number which now highlights the searched transaction. Searching with Reference Number now performs the following:  

Brings the patient on the palate.

A/c Holder window is displayed and

The corresponding Transaction which matches the Reference Number

is highlighted

Note If there is no access to the A/c holder screen for the logged in Staff, then this action only places the patient on the palette.

Patient Palette Enhancements

Patient Palette has been enhanced to display the Patient City on the Palette as shown below.  

 In addition, the Patient Palette has been enhanced to optionally display the Patient Insurer (from Patient Register Accounts tab) on the Palette as shown below. Patient Insurer will display in accordance with the configuration provider in Location Setting as shown below.

Note Insurer will be displayed on the Palette only when the ‘Show Insurer on Palette’ check box is ticked in File � Options � View Location Settings � Codes& Defaults.

Address Book Search Enhancements

Home � Search (Address Book) New Search fields have been introduced within the Address Book Search. The new fields added are as follows:

ü Street ü Suburb/City ü and Day/AH/Mobile Phone

All search fields can be used to minimise the returned list.

Banking Enhancements

Account � Banking Banking has been enhanced to display a Patient column to allow the identification of the patient who received the service should it be different to the A/C Holder as shown below:

Note The Active patient icon will bring only the A/C Holder on the palette.

Account � Banking �Banking Close-Off When performing a Banking Close-Off a Confirm popup message will now be displayed to help avoid running banking Close-off by mistake. Clicking Yes will Close-off the Banking and clicking ‘No’ will cancel the process.

Claims Utility Enhancement

The Claims Utility has been enhanced to remember the last selected look back range when it is re-opened.

These is applicable for the following Claims utilities:

Note If the Look Back is selected Greater than 3 Months, then it will be default to 3 Months to improve the performance of the utility.

Login Enhancement

Medtech Evolution Login Screen has been enhanced to remember the last login Database and Location on the computer.

Note Last Login Database & Location will be remember based on the computer not based on the Staff.
