ROLE STATEMENT Job Title: Executive Assistant Agency: Environment Protection Authority Classification: ASO3 Directorate: Operations Position Number: M19311 Reports to: Operations Director, Science Assessment and Planning Operations Director, Mining, Radiation and Regulatory Support Number of Direct Reports: 0 Primary Purpose of the Role: The Executive Assistant provides a high-level, confidential secretarial support to the Operation Director, Science, Assessment and Planning and Operation Director, Mining, Radiation and Regulatory Support including delivering timely, efficient, effective and confidential office administration and information co-ordination, and by providing a liaison with division Managers and staff. Key Relationships/Interactions: The Executive Assistant reports to the Operation Directors, and supervises the Divisional Administration Officer. Works closely with: Branch Managers Office of the Chief Executive and staff Executive Assistants in other Divisions EPA staff Broad Range of Stakeholders from private and public sectors Members of the public Key Challenges: Understanding the priorities of the Operation Directors, to enable effective management of his time and diary. Manage conflicting and tight timelines to organise Director, diary Making effective decisions on screening callers, visitors and meeting requests with limited or no direction, using initiative and experience. Establishing and maintaining appropriate administrative systems and procedures to support the effective operation of office of Operations Directors. Key Outcomes: 1. Provision of a high standard of administrative support and assistance to the Operations Directors, and Divisional Managers at all times 2. Meet the Operations Directors, daily needs; ensuring that the diary is well managed, emails controlled, relelvant documentation/information for meetings/commitments is co-ordinated and provided in a timely manner. 3. Information flow to and from the Operation Directors, office is timely and efficient, including producing quality documents and ensuring that records are appropriately managed. 4. High quality administration services are provided to the Divisions, in particular records’ management and good & services’ provision. 5. Work to ensure the office of the Operation Directors, operates in a well ordered, efficient and effective manner. 6. Provision of professional, helpful and quality customer service for all telephone, email and written enquiries. 7. Actively model the behaviours required under the Code of Ethics for SA Public Sector employees, including Work, Health and Safety, and the objectives, values, principles and standards in, or made under the Public Sector Act 2009. Selection Criteria: (Each applicant will be assessed against the following criteria) Sound experience in the provision of confidential, high level administrative and secretarial support services. High level administrative, communication and organisational skills. Ability to work both independently and co-operatively in a team environment. Highly developed capability in the Microsoft Suite of products, Basware, EMS and other on-line systems. Knowledge of and experience in office and records' management systems. Outstanding customer service focus.

Essential Qualifications: (must possess this for employment as a Professional Officer or Technical Grades Officer) Refer to Determination 5: Determination of the Commissioner for Public Sector Employment. Classification and Remuneration for Employees.

Desirable Qualifications and Selection Criteria: Knowledge of office and records' management systems. Experience using RecFind and eCourier. Previous experience working in a similar role at a senior level.

ROLE CONTEXTThe Purpose of EPA The Environment Protection Authority (EPA) is South Australia’s independent environment protection regulator. We protect, restore and improve the environment through the risk-based regulation of pollution, waste, noise andradiation. We work closely with industry, the community and government to protect our unique natural environment while supporting economic growth and improving wellbeing. The EPA is responsible for the administration of the Environment Protection Act 1993 (EP Act) and the RadiationProtection and Control Act 1982 (RPC Act) and also exercises responsibilities under other South Australian planning andenvironmental legislation.

Our Environmental Goals: Good quality land – Land is protected from the adverse impacts of pollution and waste.

Directorate

The Operations Directorate is responsible for the delivery of the EPA’s environment protection and improvement activities through the development and implementation of internationally recognised best practice processes. These processes are based on sound science and support the legislative and regulatory framework in place in South Australia.

The Directorate is responsible for the major operational activities of the EPA including: Regulation, Compliance and Investigating breaches of the EP Act and/or the RPC Act, monitoring, reporting and providing science based support and knowledge to inform regulatory and compliance work.

The Executive Assistant works within a confidential and collaborative team environment to provide high level secretarial and administrative support to the Operation Directors. The Executive Assistant is responsible for ensuring that the Operation Directors, days are well organised and informed, and that he has all briefs and information necessary to effectively discharge his duties as Operation Directors.
