    This easy-to-use guide explains how to install and use yourSecurity Asset Manager (SAM), the KeyKeeper by KeySystemssoftware, and how to make the two communicate.

    The KeyKeeper by KeySystems CD has extensive Help files toguide you in setting up your database. The files show you howto create panels and access levels, how to create locations andadd users, and how to use KeyPoller by KeySystems, the communi-cations program within KeyKeeper by KeySystems.

    These easy to follow software instructions, together with thisbasic users guide for setting up your SAM, will have you con-trolling your assets, and your environment, in no time at all.

  • 5The controller holds the brains that operate the keybox. Thebrain is made up of software, firmware and electronics, andtakes the form and function of a keypad built into the locker.The keypad is programmed to recognize and respond to a seriesof instructions from KeyKeeper by KeySystems that dictates how thekeybox is to be used, and by whom. The keybox knowswhich key or asset to release, and for what period of time,based on the identity of the user opening its door. The usersidentity is conveyed in one of four ways: through a unique PINcode or card swipe, a hand print, or an iris scan. (The card andbiometric readers are optional devices.)

  • Before Wall Mounting Your SAM:

    1. Remove the key panel by first disconnecting the 10-pin ribbon cable and the 4-wire Molex connector.

    2. Have an electrician hard wire your SAM. Use a dedicated line from your SAM to the fuse box. Verify that your SAM is the only thing on the line. It is also recommended to use aUPS (Uninterruptible Power Supply) device with your SAM.

    WARNING: Having more than one device on this line couldvoid the warranty on your SAM.

    3. Use a standard phone line to communicate over a modem. Use a CAT 5 LAN cable to plug into SAMs network device for communicating over the network. Use 4-wire twisted pair if you are connecting directly to your PC.

    4. A SAM full of keys (or other assets) can weigh anywhere between 100 and 300 pounds. Make sure its securely fastened to the wall. Use at least four heavy-duty mounting bolts.

    5. If you need to drill more holes into your SAM for mounting purposes, make sure you cover the circuit boards first to prevent the metal shavings from damaging the circuitry.

    6. Put your SAM on the wall where people can reach the keypad and open its door all the way.

    Once Your SAM is on the Wall:

    7. Replace the key panel by reattaching the 10-pin ribbon cable and the 4-wire Molex connector.

    8. Reattach the panel strap.9. Turn the AC power on; the LCD should light up.10. Plug in the green terminal block connector in the bottom

    right inside corner of the SAM. From now on, to shut off power to the box, just disconnect this green terminal connector.

    11. Type 9999 on the keypad to check SAMs power status,and to release its keys.12. If you have interchangeable cores, put them in now.

    Installing Your SAM on a Desktop:

    Follow steps 1, 2, 3, and 7 through 12.

    These key boxes areheavy. Be very careful.

    Caution: If the LCDdoes not light up, haveyour electrician checkthe AC source and all ofthe connections in yourSAM.

    Note:If there is insufficient space on the hard drive,or if the Windows system directory is write-protected,KeyKeeper by KeySystems will not install properly.

    Software Note:When creating a panel in KeyKeeper by KeySystems for the olderSecurity Key Dispensers, you must select a specific modeltype. The model type for all of our new Security AssetManagers is KMAX.

    Whats the difference between a security level and an access level?Security levels dictate how a user moves around in the soft-ware. Access levels dictate who is allowed to remove keys andother physical assets from the locker.

    Whats a Slot Number?

    A slot number is the order in which users are added to a box;it is NOT the actual key position in the box. Slot numberassignments have nothing to do with seniority or preference.Its first come, first position!A slot number is also another way of identifying the user sothe software and the keybox see him as the same person, eventhough they communicate with him differently: the softwarerefers to the user by name, the keybox uses numbers to refer-ence the user.The slot number field appears in the UnauthorizedUsers/Authorized Users window as part of the AssigningUsers to Panels from the Panel Window function.

    KeyKeeper by Key Systems: An Overview...

    KeyKeeper by KeySystems is really two programs: a databaseprogram and a communications program.

    The database stores two types of information: the user andpanel information entered up front for creating your database,and the transaction history coming from your SAM, i.e. whotook what, when, and for how long.

    The program that allows the software and your SAM to com-municate is called KeyPoller by KeySystems. It acts like a phone linebetween the two, sending information back and forth on thestatus of your SAM. This information is also stored in the data-base.

    KeyKeeper by Key Systems Requirements:

    Installing KeyKeeper by Key Systems:

    Note:For detailed instructions on creating your database (i.e. users,panels, access levels, etc.), refer to the Help files on theKeyKeeper by KeySystems CD.

    1. Close all open programs.2. Insert the KeyKeeper by KeySystems CD; follow the instructions

    to install KeyKeeper by KeySystems.*3. Reboot your computer.4. Click on the software icon. If you dont see an icon, go to

    your program files and select the software from there.5. To log in for the first time, type Master into the User ID

    Certain operating sys-tems require that you bean administrator toinstall applications. Anexample of that would beWindows NT.

  • Rebooting Your SAM

    Sometimes rebooting your SAM will restore communications:1. Open SAMs front door all the way.2. Let down inside panel (unlock panel key, remove

    screws, washers.)3. Unplug green terminal connector from the power supply

    circuit board in the bottom right corner of the box. This will disconnect DC and AC power.

    4. After a few seconds, plug back in green terminal connector.5. Close the panel. Replace washers, screws, turn key to lock.6. Close SAMs door.7. Hit the Escape key a couple of times.8. If in violation, type in your Master Code and press Reset,

    the far left arrow key.

    Important operating tips

    1. Your Security Asset Manager settings must coincide with your KeyKeeper by KeySystems panel settings.

    2. When creating a panel in KeyKeeper by KeySystems for the older, beige-colored Security Key Dispensers, you must select a specific model type. With our new charcoal-coloredseries of SAMs, the model type is always KMAX.

    3. To log into KeyKeeper by KeySystems for the first time, typein Master for your user ID, and Master for your password.On the second time logging in, create your own user ID and password for increased security.

    4. Your Security Asset Manager default master code is 654321. Once your system is up and running, change thismaster code to something of your own creation, and then be sure to remember it!

    5. Any time you see the words Master Lock in the keybox dis-play, hit the Save key until you see Select Key and then hit Escape. You are now Master Authorized, which means you can now enter your programming codes. Perform step 6 to keep this display message from appearing again.

    6. To disable the Master Lock at your SAM, punch in your Master Code and 61. Press the middle arrow key until you see User Master NL in the display. Press Save.

    Be careful! The panel isheavy. Lower it slowly.Put something under thetop of the panel to balance the unit.

    !When creating a panel inKeyKeeper by KeySystemsfor the older SecurityKey Dispensers, youmust select a specificmodel type. The modeltype for all of our newSecurity Asset Managersis KMAX.

    Making SAM and KeyPoller by KeySystems Talk

    To program your SAM so it can talk to KeyPoller by KeySystems:1. Type in default Master Code (654321) and the number 80. 2. Type in the same number you assigned your SAM in the

    panel ID field in KeyKeeper by KeySystems. Use the four-digit format. For example, 12 would be typed like so: 0012.

    3. Click the SAVE button.4. Type in the number 81. This is where you make your

    communications choice: direct, modem or no communications. Use the center arrow to scroll through different options.

    5. Press the NEXT button.6. Click on SAVE. 7. Type in the number 82. Verifies your four-digit password (it

    should be the same number you plugged in the password field in KeyKeeper by KeySystems. If not, create a new one and hit SAVE.)

    8. Type in the number 63. Verifies 9600 as the baud rate and N81 as the port setting.

    9. Hit SAVE.10. Hit ESCAPE.

    Testing the Connection

    Now lets poll SAM to make sure its talking to KeyPoller by Key Systems. In KeyKeeper by KeySystems:1. Go to the KeyKeeper by KeySystems default screen by closing out

    all windows in KeyKeeper by KeySystems.2. Select the File menu, and choose Run KeyPoller.3. In KeyPoller by KeySystems select the Polling menu and

    select Panel.4. Highlight the panel you wish to poll.6. Click on OK.

    A flashing green light at the bottom left corner of the screenmeans its polling successfully. The other sign of a successfulconnection is the scrolling white text in the black bottom partof the screen. If communications are interrupted, the scrolling will stop and

    a steady red light will appear where the green light was flash-ing. Youll see one of two messages: Connect failed or aPanel Password No Reply. Go to the Troubleshooting sectionof this user manual to address these conditions.

    This scrolling white textis not meant to be reador deciphered. Its just avisual of the languagethat KeyPoller byKeySystems and the keybox use to communicate.You can ignore it.

  • Note:You will be locked out and reset back to the Master Lock posi-tion if you choose to do a complete download. If that happens,go back to Step 5 and proceed from there.

    7. Make sure the battery is plugged in. (Its a good idea to leave it plugged in so it maintains a charge; that charge helps to drive the solenoids and provides emergency back up should the power fail.) The battery is not optional. Dont unplug it unless youre working on the Security Asset Manager.

    8. Make sure KeyPoller by KeySystems has been closed and shutdown first before you turn off your computer! Otherwise,you will corrupt your data!

    9. The left arrow on SAMs key pad is always the Reset button. To reset your box after an alarm enter the master code and hit reset.

    10. Any change you make in the software will not take effect until you have polled the box.

    11. Every so often lubricate the side latch on the key box. We recommend you use either 3-in-One oil or WD40 for the best results.

    Troubleshooting

    I cant poll. Check to see if the box is in violation. Check to see if you have any time zones set. Make sure the panel ID and the password match in

    KeyKeeper by KeySystems and at the key box. Open the back panel to your key box to check the physical

    connections between it and the computer. If youre using the network, check the network device to

    make sure it has the proper IP address and other network settings.

    I cant get my keys. Make sure the battery in the Security Asset Manager is

    plugged in and charged to at least 12 volts 7ah. Have your electrician check for this.

    Make sure your access level has keys assigned to it.

  • My PIN doesnt work. Make sure the PIN has been assigned to an authorized user. Punch in Master Code and 61. Proper Setting Default should

    read User Master NL. In the panel window, click the blue user button. This willgive you the Unauthorized/Authorized window. Make sure the user is listed under the Authorized area.

    Make sure the user has not been given a time zone thatwould

    prohibit access at this time.

    My door doesnt open. Lift up on slide latch before pulling on door. Make sure youre typing in an authorized PIN. Make sure the Security Asset Manager recognizes you as an

    authorized user.

    My master code doesnt work. Make sure the master code hasnt been changed. If it has

    been, try the default master code, 654321.

    I cant get reports. Check the Short Date Style setting, under Regional

    Settings, in the control panel for Microsoft Windows. The format should read like this: mm/dd/yyyy.

    Check date at SAM. If youre viewing archived reports, open the Reporting

    Facilities window and click the database menu at top of screen. Then select whichever archive file you wish to view.

    I cant print reports out on paper. Open the Reporting Facilities window and then click the

    options window at the top of the screen. You will then see your printing options.

    My card reader or hand reader doesnt work. Check the physical connections between your reader and the

    Security Asset Manager. Make sure the reader has power. Punch in Master Code and 118 to test the display. The word

    When filling out the access level section, it's important to remem-ber that keys are assigned to access levels, not to users; a userremoves and returns keys according to the conditions in the accesslevel he or she has been assigned to.

    You identify an access level by giving it a name that bestdescribes the function and/or characteristics of that access level. It canbe labeled using a department name, a location, a job title, a function,a number, a building name, whatever label you're comfortable usingto help you organize and control a group of users' access into one ormore Security Asset Managers.

    Every manual includes planning sheets for up to a 96-key SAM.Make copies of as many planning sheets as you'll need, dependingupon the total number of postions you are using in however manySAMs you have. Use a pencil to describe your key positions, set yourtime limits, name and assign your access levels, and select thoseoptions you'll want to customize your access levels.

    We strongly encourage you to make full use of these planningsheets before trying to set up your access levels in the software. Itwill save you time because you won't have to do any re-programminglater on, and it will allow you to become more familiar with the fea-tures in the software so that you can design a system that's completelysecure and that leaves nothing to chance right from the start.

    You can set time limits onthe use of your keys inSections A and C. Thetime constraint in SectionA applies to the key tags.The time restriction inSection C applies to theaccess level under whichthe key has been assigned.

    A 0 in either setting inthe software allows a keyto be out indefinitely.

    Planning Sheets

    These access level planning sheets are meant to help you organize youraccess levels on paper first before trying to set them up in the software.Figuring out beforehand who gets what key, when, for how long, andunder what conditions will help to simplify the process of setting upyour access levels in KeyKeeper by KeySystems once you're ready to beginentering the data.

    As you can see from our example on the next page, each planning sheethas three sections:

    Section A for describing your key positionsSection B for identifying & assigning keys to access levelsSection C for customizing your access level options

    The example planning sheet is for a 16-position key box or SecurityAsset Manager (SAM). The customer is currently using only four ofthose 16 positions. In the first section, he has named each key positionand listed the serial numbers for each of the four key rings. He's alsoset time limits on how long each key can be out.

    The next section to the right, the access level section, is where youidentify access levels and assign keys to them. The columns in this sec-tion run the length of thepage. In our example, theuser has identified five sepa-rate access levels and madevarious key assignmentswithin those access levels.Those key assignments areindicated by check marks atthe top of the section.

    The bottom half of this same section shows another group of checkmarks. These checks correspond to the options listed in the third sectionof our planningsheet, the accesslevel options sec-tion. These 15options are usedto customize orset conditions onhow those keys orother assets are tobe used withinany given accesslevel.

    When filling out the accesslevel section, it's importantto remember that keys areassigned to access levels,not to users; a userremoves and returns keysaccording to the conditionsin the access level he orshe has been assigned to.
