The Supplier View - Review Event Details

After selecting the event (RFP), the Checklist must be completed. 1. Review Event Details. 2.

Review and Accept Prerequisites. 3. Submit Response. Begin first by clicking on the Review

Prerequisites tab.

The Supplier View - Review Prerequisites

Only Section 1.0 of the RFP can be viewed at this time. Review the INTRODUCTION and the

requirements that must be met by the Supplier before access to the entire RFP is approved.

Read the INTRODUCTION in its entirety.5

Click on the dropdown next to REFERENCES for a list of documents. All three (3) documents

must be downloaded, signed, and saved on the Supplier’s device.

Next, the Supplier must accept the terms of this agreement. Click on “View Bidder’s

Agreement” for the Ariba terms if needed for review. Then click on OK.

The Supplier will not be able to move forward in the sourcing event if

the “I do not accept“ is selected.

Once accepted, there will be an error message that appears at the top of the page. That is

due to the fact the Supplier’s three (3) signed documents still need to be uploaded. Located to

the right of the Introduction section is now a “radio button” to attach your documents.

All three signed documents are required. 8

The Supplier View – Submit Response

After attachment, the Supplier can view the documents. Click on OK to Submit Response.

Grace will review the submitted documents. Upon approval, the entire RFP will open for viewing by the Supplier.

Grace may also reject or request more information, in which Supplier will be notified by email.

The following “icons” will now appear next to the References list in the INTRODUCTION

section.

Yield Sign – Pending status until Grace approves document submittal.

Open Door – Access Gate Restricts Participants from viewing the event information until cleared. If

submitted documents are correct, Grace will release entire RFP upon approval.

If Supplier tries to Accept Terms again on the RFP before Grace releases the entire RFP for

viewing, an error message will occur.

Until Grace approves the submitted documents, only the RFP INTRODUCTION can be viewed.

The Supplier View - Select Lots

Once Grace approves the required documents, the Supplier will receive an Ariba email to

access the RFP once again. As the Prerequisites have been met, the entire RFP is now

viewable. A new tab for Select Lots is shown.

The Lots available for bidding are listed, and Supplier can select one or more Lots to bid on.

Supplier must select Lots first and then all lines will fully open to be able to respond and

attach proposals as required.

Review all sections and line items. Content in sections may contain a question requiring a

Yes/No answer. Other content may require a more detailed response. One section will

contain reference documents to download to utilize in the Supplier’s proposal that is required

to be attached to this same line. The last line item requires the Supplier to enter their lump

sum price bid.

Once Supplier has completed the RFP requirements, Click on OK to Submit Response. Once

the response has been submitted, a confirmation prompt will display to confirm the intent to

submit the agreement selected in the previous step.



The Supplier View

After the bid has been submitted, SAP Ariba displays the message ‘Your response had been

submitted successfully. Thank you for participating in this event.’ The Supplier can revise the

response if needed until the time remaining expires.
