1. Performance & Goal Management By Kasia Kapustka, SuccessFactors Consultant, ROC Not a packed quarter for Performance & Goal Management (PMGM) but there are few things to point out. First of all, one more reminder from SAP about the end of maintenance and end of life for PM v11, PM v12 (Q2 2018; Q2 2019) and GM UI v11 (Q1 2018; 2nd half of 2018) as well as Goals Execution (end of 2018; 2nd half of 2019). If you’re still using the previous versions it’s important to plan the update and test new versions before going live to production environments. Data Protection & Privacy All data protection enhancements are due to General Data Protection Regulation (GDPR) of European Parliament adopted in April 2016, which becomes enforceable from May 2018. The regulation focuses mainly on unifying data protection rules across EU and ensuring individuals have greater control over their personal information. Whereas most of features will be enabled in Q1 2018 release, a couple of Data Privacy features are being made available in Beta during 1711. Remember that Information Reporting will be available only on your Preview instance, not Production environment. Here are the main concepts in regards to PMGM functionalities:

1. Information Reporting supports the right to access and portability. System will allow an employee to request any/all personal data within the module(s). Permissioned users (Data Protection Officers) will be able to access any personal data within performance/360 forms, as well as Goal Plans and generate the report for particular Data Subject using Data Subject Information tool.

2. Data Purge supports the right to erasure under the regulation. System will allow Data Protection Officers to effectively purge personal data associated with subject user. Data Time Retention Management tool (under Manage Data) has been redesigned and now allows the creation of different purge rules for any country in your organisation in regards to Performance Reviews/360 forms as well as objectives in Goal Plans. In Q4 2017 data purge will not support deletion of data; however preview report can be generated for testing purposes.

Stay tuned, as many more features will be enabled in Q1 2018 release, also on production environments. Performance Management (PMv12 Acceleration) Not much to focus on in regards to Performance Management. SAP announced the improvement of Ad Hoc reporting concerning localised rating scales. If you are using those across your organisation you’ve probably been struggling with performance of those reports. In Q4, twenty (20) new columns have been added to the schema to display localised rating scales description for all rating scales! Great news, but remember, if you configured your reports using rating scale description columns post Q1 2017 (1702), you will have to reconfigure your reports.

Aside from reporting you may notice some slight UI changes in Add a New Goal on PM form, 360 history pop-up and PM history pop-up screens. Those are small but significant steps to unify the user experience across the whole solution.

Goal Management There are two minor enhancements in goals area. SAP is continuing to improve the user experience for right-to-left language speakers. Few new screens has been redesigned to support RTL languages including People Profile’s Goals Portlet, Initiatives, Print Preview dialog and Location/Department/Division data in „Select Recipients” page.

Some of you may have been waiting for this small, but much needed feature: SAP has added a confirmation message after successful goal cascading action is performed. Another feature recommended by the Customer Community!

Mobile Mobile app for Performance Management has been undergoing some serious improvements this year. Employees using both iOS and Android apps should already have been able to complete their Performance Reviews anytime, anywhere. However, there are still some features, especially in the Android app, that are still on the route map to make the mobile review process as comprehensive as it is on the web application. This quarter SAP has focused on 360 forms to finally close that gap. In December this year internal users will be able to participate in or decline 360 request on their mobile devices (both on iOS and Android), as well as view and provide item and section comments and ratings for Performance, Development Goals and Competency sections from their mobile devices. Viewing the calculated and adjusted ratings as well as providing overall rating and section comment in summary section is also now supported on your mobile devices.

Continuous Performance Management (CPM) If you were waiting for something huge this quarter, this would be it. SAP has introduced a completely new feature to CPM – Continuous Feedback. This replaces and extends the existing ‘Request feedback on achievements’ functionality and is available independently from other core CPM capabilities. Feedback is now enabled as a separate tab in your Continuous Performance Management section, which gives you one central place to manage feedback. It is now possible to request and give feedback not only in regards to achievements but also activities, as well as ad hoc feedback on a selected user that falls in your target permission group. Giving feedback feature also supports selecting multiple users at once, which gives a possibility to send group feedback at the same time.

A new tile is now available on homepage v3, where all your feedback requests are presented in a user-friendly and readable way. You don’t even have go to CPM tab to respond to a request – all of this is accessible directly from your home page! Customers that are still using the old version of home page can access feedback requests from their “To Do” List tile.

It’s important to note that feedback on achievement received prior to this (Q4 2017 - 1711) release will not be visible under the new Feedback tab, but will remain where they are under the relevant activities. SAP is planning to migrate and consolidate this feedback in Q1 2018 (1802). Also, as a part of architectural consolidation, the integration between feedback on achievements and goal plans and PM forms will be temporarily limited between Q4 2017 and Q1 2018. Aside from that, there are also some minor enhancements introduced to CPM. From this release, employees will be able to unlink activities and achievements from

performance and development goals, as well as view goal details of activity in captured meeting. The sorting of activity updates changed: now the newest updates will be shown at the bottom of the page. Last but not least: the page itself became more readable since the UI maximum container width has been set.

2. Calibration By Shane Williams, Consultant, ROC I’ll be starting off with taking a look at the latest updates in this Q4 (1711) release for Calibration, which includes the introduction of the GDPR (as seen across the suite) and increased development of the ‘Business Beyond Bias’ setup with the addition of alerts. GDPR I won’t discuss the GDPR in great detail as it’s been covered in our other blogs, but I will highlight some of the features that will be relevant for Calibration. Information Reporting An enhancement supporting the right to data portability as prescribed within GDPR, essentially allowing individuals to obtain and reuse their personal data in an open format for their own purposes across different services. This will support data portability and access dimensions with GDPR by allowing users to move, copy or transfer personal data easily from one environment to another in a safe and secure way.

Data Purge This enhancement supports the right to erasure or ‘right to be forgotten’ as prescribed within GDPR, allowing the GDPR DPO to effectively purge personal data associated with a subject user. To do this, there is a newly designed Data Retention Time Management tool available via Admin Center.

Business Beyond Bias – Calibration Alert The other major development for this release concerns three Alerts, which have been provided to inform decision makers in the Calibration process of unintentional blind spots and biases. These alerts are:

1. Lack of Promotion Scenario 2. LOA Impacting Scenario 3. Dramatic Performance Rating Reduction Scenario.

These alerts will help those in charge to make unbiased decisions during Calibration sessions.

As we can see from these screenshots, these alerts will provide clear and accurate information regarding the history of calibration users and empower calibration owners to make more informed decisions. These rules require business rules for setup and can be easily applied in calibration templates.

One Other Thing The SAP Fiori based UI is now generally available in production environments via the Upgrade Centre for all compatible areas and the legacy UI will be phased out, currently planned in Q3 2018 (“1808”).
