YEARS AGO, we used large samples of carpet sealed in plastic bags to preserve evidence of pet odor and carpet stains of all kinds. The method used was bulky, time consuming and required at least two or three witnesses to appear in court in contested cases. If the bags were opened in court, they usually caused quite a stir with the courtroom personnel.
Cindy Valdes, a property manager at Volunteer Properties’ Piccadilly Apartments, streamlined a method of preserving carpet damage for court. She now “can’t wait to go to court with this!” After talking with Cindy about this problem, Cindy sent an email describing her process: • Take a large picture of the entire soiled or damaged area (see photo A). In Cindy’s test case, she took a picture of the back side of the carpet. The
stains are usually more visible from the back side. • Mark the stained areas with letters A, B, C, etc. (just like CSI) and
take another picture of the damaged area (see photo B). • Cut out the stained areas and place each of them in quart-size ziplock
bags (see photo C). • Use the same method to take samples from all damaged rooms and
areas. • Put the bagged and tagged samples from each room in gallon ziplock
bags (see photo D). • After returning to the office, save the pictures on your computer and
attach the saved pictures to your computer file, if applicable. • As an additional safety measure, print out copies to preserve the evi-
dence and store them separately.
As a service to all of us, Cindy timed this process and found that it took about 25 minutes. Having saved the pictures and bagging and tagging the physical evidence herself, coupled with her knowledge of the cost of carpet replacement, it is only necessary for one witness to appear in court. This process has come a long way to increase recovery of excessive carpet damage if a court action becomes necessary. This is a good step-by-step process for preserving of the physical evi-dence, but it is equally important to maintain a record of previous carpet invoices in order to establish the age of the carpet and costs of prior installation. Remember: If you have a large damage claim, take similar steps to preserve the evidence and recover the cost of damages. As Cindy said, “I can’t wait to go to court with this!”

RESIDENT RETENTION – what does it look like? We can find ourselves overwhelmed with a variety of opinions and ideas on how to instill loyalty and new-fangled ideas, from luxury pet lounges to the latest in cutting edge Wi-Fi connectivity, to make our residents feel valued and appreciated. Effective resident retention begins on day one with three key components: Integ-rity, Sense of Community and Customer Service. We all know residents want courtesy and professionalism; promptness of responsiveness; and follow-up on completed service requests. There’s no rocket science behind it, and it doesn’t cost any more to provide exceptional customer service than mediocre service, as part of your retention plan. Personally delivering newspapers, updating unit interiors, handing out coffee as residents leave for work, or simply greeting tenants with a friendly “How are you today?” can all help in your campaign to hang on to those valu-able residents and craft your resident retention success story.
We spend our money with people we trust, right? So do what you say you are going to do! It’s essential our residents know we are people of integrity and that they feel valued and respected. When all is said and done, the smallest gestures may make or break a tenant’s deci-sion to renew. We follow up with each prospect, so why not with our residents? It is incumbent upon us to teach our residents that we are people of integrity and their residency is valued and appreciated. Cus-tomers enjoy businesses who know them, so follow up on those conversations and uniquely special life moments. Secondly, we’ve all heard the phrase “word of mouse spreads even faster than word of mouth.” It’s true – so use it to your advantage. Your online reputation is a valuable retention tool. When your team has received a word of thanks for a job well done, promptly ask that resident to share via a post or com-munity review on your preferred ratings/review website. “Asking your residents to participate in your success instills a sense of ownership and deepens their ties to your community” (Lisa Julien, Milestone Management). A few of my favorite ideas are timeless, classic and most importantly, cost effective! Connect with your larger community to build a stronger residential community. One idea: Reach out to your local businesses and associations and attend their networking events. You will meet local bankers, insurance companies and small business owners who would love to market to your “captive audience.” You can easily partner with any number of business(es) to sponsor your Welcome Home kits, Breakfast on the Go mornings, seasonal resident functions, Community Watch meetings, book clubs and fun pet-themed events (we can’t forget the “furry family members”). Our residents are less likely to move if they have strong bonds with neighbors, management staff and the greater community, so property managers should utilize the local associations, Chamber of Commerce, police department and local business owners to build value and deepen the sense of community. Residents regularly choose not to renew leases based on controllable reasons, so exceed their expecta-tions! Poor customer service, lack of responsiveness and dissatisfaction with maintenance requests can quickly lead to the receipt of a notice to vacate. Contrary to popular belief, lucrative property amenities don’t make up for consistently lackluster service. As we answer our phones, walk our properties and genu-inely interact with our residents, we are retaining them. The truth is, there is no one best way to boost customer retention because it all boils down to Great Customer Service. “My path to success is following policies set in place so that everyone is happy in the community, and treating every resident like a neigh-bor” (Regina Jones, Uptown Flats). That level of care is exactly what we deliver each day, with our service

request follow up, birthday and anniversary recognitions, our polite and professional service team interactions and delivering on every promise to our residents. The shiny new products, creative onsite events and interior amenities are nice, but the true value exists only if accompa-nied by genuine gratitude and exceptional service. “It’s all about treating that resident with respect and kindness” (Susan Franklin, Freeman Webb). We build value by building relation-ships. We build a strong community with genuine expressions of gratitude. The everyday actions of your onsite management team are the foundation to your retention success story!

THE OVERALL MULTIFAMILY INDUSTRY is at one of its high-est peaks ever. One of the main reasons for the rapid growth is because of the strong recovering national economy. With a declining unemploy-ment rate and an average 1.7 million jobs being added each year since the recession, more people can afford to rent again and the overall apart-ment market has seen that effect take place. The vacancy rate of 3.6 percent is at a 13-year low. We’ve also seen year-over-year rent growth bump up 3.5%, an eight-quarter-high. Home ownership has also been declining with 3.9 million households that should have been made this year but were not created due to the shift in consumer preference. This data proves when a recent Freddie Mac report said, “low supply and declining affordability of single-family homes factor into the multifam-ily market’s growth.” What’s even more interesting about this statistic is that of that 3.9 million households that were not formed, 75 percent of those pent-up households were between the ages 18-34. That is our growing millennial generation that since the recession has decided to
thwart the American dream of buying a home and continue renting.Of the many outstanding multifamily markets contributing to the national success, Nash-
ville shines as one of the most growing markets. We have seen tremendous rent growth, high occupancy rates, and high absorption rates, mainly because of our flourishing job market. The Nashville economy has been opening their doors to businesses from all over and by making it easy to start your business or carry your company over. The city has seen thousands of new jobs announced within the past year from HCA, GM, Healthspring, Windsor Health, and Medsolu-tions. With all these new jobs, Nashville has seen the largest year-over-year job growth in the nation of 4.4 percent. More jobs equal more people, which explains how our annual popula-tion growth of 4 percent is two times faster than the national average. More people equal more demand, and in return Nashville’s apartment industry has flourished with a 14 percent average rent growth from 2011 to 2014 and an 8 percent growth from 2013 to 2014 alone! Investors have caught wind of this trend and since 2010 the average price per unit sold according to RCA has increased immensely from $50,000 to $95,000 per unit, proving that Nashville is a hot mar-ket to be in right now.
With all this great news, there are still concerns that the large development pipeline will not meet net absorption. Nashville alone this year has had 1,090 deliveries, 7,153 speculative units, and 8,539 units under construction. With the supply possibly over-delivering, there is some con-cern that our rent and vacancy growth will take a slight dip. However, despite these concerns job growth projections remain strong across the MSA, and the appeal of Nashville to the millennial cohort is at an all-time high.
