2017 Conference Site Selection

• 2015 Annual Conference most successful– 1,500 attendees– 180 vendors (at least 27 on waiting list; unknown

how many gave up on applying)– Great presentations, panel discussions, first Job

Fair, Bar-BQ, expanded Meter Mania


• Glendale Renaissance contract expires after 2016 conference

• With recent growth, time to evaluate venues• Research

– Desert Ridge and Wigwam Resorts cannot accommodate growth

– Phoenix Convention Center is only venue that can accommodate future attendee and vendor growth


• Received proposal from and toured PCC South Building– Exhibit hall space to start with can accommodate up to

236 vendors (increase of 56 or 31%); space for an additional 186 available for future

– Ballroom can hold up to 1,700 in banquet seating– Convertible meeting space can be created with up to 10

meeting rooms (8 presentation; Career Center; Board/Committee meeting rooms)


• Costs– Initial proposal for space rental only with no negotiation

$41,472– Paid $19,000 at Glendale Renaissance– Added vendor space could help offset

• Options– Reduce all attendee sit down meals; go “a la carte” like at ACE

and WEFTEC– Would have to rethink venues for Keynote, AWWA & WEF

representative presentations, award presentations, Barbeque


• Changes/Challenges– Attendees will have to pay for parking currently at

$12.00/day, but can probably get discount– Light Rail, other public transportation available to

transport attendees


• Pros– Central, higher visibility location– Room to grow– Easier ingress and setup for vendors– Increase potential for other activities (e.g. expanded

Job Fair, Meter Mania, other operator competitions)– Downtown venues for other events (Arizona Science

Center; Heritage Square)


• Next steps– Doing cost comparison and evaluation– Preparing survey to inform membership (start

with Committee chairs), ask for ideas for a potential Phoenix Convention Center located Conference

– Due to necessary contract lead times, must make decision by end of calendar year

Having lunch included with my registration is important to me. If lunch was not apart of the ticket price, I would probably go out to eat during

that time I appreciate the lunch programs and find them informative If light rail was accessible, I would definitely use it Having to pay for parking would be a big concern I use the conference wifi If the conference were move to PHX convention center, would you be more

likely to attend the conference all 3 days
