Major Enhancements SpringCM has delivered the following featured enhancements for the October 2017

release.

Workflow Designer (General Release)

New Workflow Designer Format

SpringCM has been long at work providing a fresh and modern experience at creating

and managing workflow designs and this work is culminating in this release with the New Workflow Designer exiting the beta period. Thanks to all for the great feedback.

This includes extensive usability improvements such as:

● An easier way to create variables, as well as the ability to create variables on the fly while building out your workflow steps.

● Drag and drop variables into applicable step definition fields rather than typing the entire variable path.

● Chooser windows have been added to fields in step definitions so that it is easier to reference users, folders, documents, etc.

● Workflows can now be renamed and deleted.

● Mini-maps have been added so that it is easier to navigate large workflows.

● Filtering has been added to the Process Monitor so you can more easily locate

workflows.

When the October release is deployed, all new workflows will be built with the new workflow designer. Workflows built prior to this release will continue to be edited in the

legacy designer. In order to edit a legacy workflow, you must click Edit > Advanced Workflows and open it from the legacy designer. We plan on converting those

workflows to the new designer format in the December 2017 release.

The new designer format is turned on by default for all accounts starting with the October release.

Dashboard (Beta)

The next steps in the evolution of our new dashboard bring more ways to customize,

and more flexibility to access and monitor your workflows, documents and folders. The new Dashboard design is in its Beta release. Your administrator can turn it on for your

organization.

Page 5: SpringCM · o Login names can also be changed via the REST API and Bulk User Import. o Users receive an email with their new login names. When creating a new user, the label has been

Add/edit widgets

● Adding widgets to the dashboard is now even easier. You are no longer required to be an Administrator to add widgets to your dashboard.

● We added new Reporting widget. This widget only displays the new Workflow

Reports if the new Workflow reports (Closed Beta) are turned on in your account.

● Rather than enter “Edit” mode to configure your dashboard, now you simply click the Add button on the dashboard page and a panel slides up with all available widgets. Drag and drop the widget of your choice onto the dashboard.

● You can also rearrange and resize dashboard widgets without entering “Edit” mode, which saves you time and clicks. Click and drag a widget to resize it.

Grab a widget and drag it to another location on the dashboard to rearrange your view.

● You can access properties from the widget itself. Click the button on the

widget to open the properties window.

● More menu actions have been made available on the Folder widget: Upload,

History, Share Link and Search.

Dashboard Search

● Menu actions are now available from the “Search Documents” dashboard search. Once you search for a document, you can perform actions such as Upload/Download, Copy/Cut/Paste, Share Link, Send for External Review, etc.

directly from the search results screen.

● We implemented advanced searching options for the “Search Documents”

dashboard search. Once you search for a document, you can further narrow down results on the Refine panel.

● You can now save previous searches and access them again to more quickly

locate your documents.

Reports (Closed Beta)

We are proud to announce that two new Workflow reports are available. We are accepting a limited number of participants in this closed beta to ensure that we can

successfully work with you as these reports are enabled in your account and get your valuable feedback. We expect to open the beta program after this release to all customers.

The reports display workflow names, process names, steps and stages.

• Workflow name: The name of the workflow if there is no process name.

Otherwise, this column displays the process name.

Page 6: SpringCM · o Login names can also be changed via the REST API and Bulk User Import. o Users receive an email with their new login names. When creating a new user, the label has been

6

• Stage: The name of the stage if you have one entered. Otherwise, this column displays the step name.

The report groups multiple steps with the same stage name under their shared stage name. If you change a workflow detail, (e.g., a stage name), workflows either in the

process of executing or have already executed do not reflect the change. Both new Workflow reports can display on the new Dashboard using the Reports widget.

Workflow Aggregates Report (Closed Beta)

The workflow aggregates report allows users to get a high-level view into the workflow activity during a time window. The report in its current iteration of development

refreshes every Monday morning. A daily refresh will be available with the December 2017 release. Please note that workflow data prior to August 26, 2017 is

not available for use in the Aggregate report.

• During a specific range, users can see:

o Total number of workflows that ran

o Total number of workflows that completed successfully

▪ Average number of days to completion

o Percentage of successfully completed workflows out of the total

o Total number of workflows that were still executing at the end

▪ Most common executing stage - the stage most executing workflows are currently on

▪ Most common executing stage % - the percent of executing workflows in the most common executing stage

o Total number of workflows that failed

▪ Most common failed stage - the stage most failed workflows stopped

▪ Most common failed stage % - the percent of failed workflows in the

most common executing stage

o Total number of workflows that were aborted

▪ Most common aborted stage - the stage most aborted workflows

stopped

▪ Most common aborted stage % - the percent of aborted workflows in

the most common executing stage

o For the workflows that finished (successful, failed, aborted)

▪ Longest stage duration

▪ Longest stage name

• You can filter the Workflow Aggregates report by Workflow Name and Date Range.

• You can save the report and add it as a widget to the dashboard (the saved report reflects the state of filters and columns when you saved it)

Workflow Details Report (Closed Beta)

The Workflow Details report allows users to see all the individual workflows that were active during a specific range. The report currently refreshes every 15 minutes.

• During a specific range, users can see:

o All the workflows that were active

o When did they start

o When did they complete, if applicable. This column may not display any data if the workflow has not yet completed.

o Who initiated them

o To whom are they currently assigned, if applicable. This column may not display any data if the workflow has not yet completed.

o The documents in play. This can be a name of a single document or a number if multiple documents are in play for the same workflow.

o The current stage, if applicable. This column may not display any data if the

workflow has not yet completed.

o How long did it take for them to complete, if applicable. This column may not

display any data if the workflow has not yet completed.

o Time in current stage, if applicable. This column may not display any data if the workflow has not yet completed.

• Drilling into a specific workflow, users can see:

o A list of documents in play

o A list of all the stages taken by the workflow, from inception to the current stage, their duration and who completed them

• You can filter the Workflow Details report by

o Workflow name

o Date range

o Initiated by

o Status (Executing, Completed, Failed, Aborted)

o Currently assigned to (setting is enabled for only when selecting Status = Executing in the Status picker)

• You can save the report and add it as a widget to the dashboard (the saved report reflects the state of filters and columns when you saved it).

File It 4.80 Upgrade

File It 4.80 will be released in conjunction with the October Release. This release includes a set of minor fixes as well as supports our new data centers in Europe.

SpringCM wants to ensure that Salesforce users can take advantage of new features

Page 8: SpringCM · o Login names can also be changed via the REST API and Bulk User Import. o Users receive an email with their new login names. When creating a new user, the label has been

and enhancements. We ask that all customers upgrade to File It version 4.80 or greater by February 16, 2018.

Any Salesforce organization that has not been upgraded to this version of the package by this date will be automatically updated via Salesforce push update processes. This

upgrade only affects our Salesforce package with the SpringCMEos namespace. You can validate which package you have installed by checking the Installed Packages in App Setup. If you have the File It package with the SpringCM2SF namespace, then this

upgrade is not applicable.

Minor Enhancements SpringCM has made the following improvements in the October 2017 release.

Address Book

● User Admins and Super Admins can now search for users by their login names in the Address Book. Search results for login name will also return when searching with the API.

● User Administrators or Super Administrators can now change a user’s login name in the Address Book. Each login name must be unique, between 2-100

characters and can include special characters.

o Login names can also be changed via the REST API and Bulk User Import.

o Users receive an email with their new login names.

● When creating a new user, the label has been changed from “API User” to “API Only User”. API Only Users can only access SpringCM through the API. These

users do not have a login name or password.

● SpringCM has improved error messaging that display when you create new users.

● The login page also includes a “Remind Me” option if you forget your login name. If your email address matches at least one account where the login exists,

SpringCM sends you an email. You get one email per account.

Doc Launcher

● When editing a Doc Launcher Form, performance has been optimized to better

manage scrolling through a form with a large number of fields and sections.

● Additional date formats have been added to Doc Launcher Forms to support more international date standards:

o DD MMMM YYYY (25 August 2017) o DD day of MMMM YYYY (25 day of August 2017)

Page 9: SpringCM · o Login names can also be changed via the REST API and Bulk User Import. o Users receive an email with their new login names. When creating a new user, the label has been

9

● Text areas in Doc Launcher Forms now can produce output in rich text format. Doc Launcher Form Fields that were built prior to this release will still utilize

plain text. The merge tag reflects the rich text output. This is not retroactive; text created prior to this release does not have this ability. Additionally, if you

want a Rich Text field from Salesforce, then you must use a Text area.

● SpringCM has made visual improvements to the Doc Launcher Term interface to make it easier to build your document: the text toolbar will not display if the

content is not editable; text will not display as faded if the content is not editable; text displays in its entirety in the Term fields you add.

● Doc Launcher URLs that are used in Salesforce can be configured to not include the Folder Name and Folder Path. Administrators can opt in to use this feature with Salesforce; however, folders are not created automatically in Salesforce if

you use this setting. You either must create the folder in advance or create it via File It. You can make this change in the Preferences> Doc Launcher > Settings

tab.

● Merge Tags can now be edited in a Doc Launcher Form. This allows the Administrator to optimize the merge output structure for their use case. Please

note that this relaxes the rules ensuring uniqueness of the merge output which can result in inaccurate data merge into your generated document.

Please note that this improvement does not yet pertain to tables or dropdowns linked to Salesforce objects.

Documents

● The Manage > Security page for folders has been optimized to return only the

first 1,000 user records while you search. This prevents the page from timing

out while it loads the list of results.

● SpringCM has improved messaging to clarify that when a document is checked out for External Review, you cannot add comments to it.

● Pinpoints created by users who have been deleted from SpringCM now display

the deleted user’s email address.

● Super Admins can delete pinpoints created by other users.

Document Preview (Beta)

● The new Document Preview remains in its Beta release. Your administrator can

turn it on for your organization.

● You can download a document as a PDF from the Document Preview toolbar.

Page 10: SpringCM · o Login names can also be changed via the REST API and Bulk User Import. o Users receive an email with their new login names. When creating a new user, the label has been

Preferences

● A SAML Logout URL field has been added to the Preferences > Account

Preferences > SAML SSO page. Orphaned or idle users can be logged out from the identity provider via this setting.

● Validation of email address uniqueness has been further improved for AdobeSign users.

Two-Step Verification

● As an administrator, you can manage two-step user authentication for accounts. This gives your organization more control over the level of security you want to wrap around your instance of SpringCM.

o Administrators can turn on two-factor authentication for the entire account.

o If your account has two-factor authentication turned off, you can turn it

on for your individual user.

● You can now save a Doc Launcher configuration if the only change you made was to turn on/off Debug Mode.

Reports

● The User Report now reports that if a user has logged in, whether he or she

uses either Salesforce single sign on or SAML single sign on.

REST API

● The API no longer returns 500 – Internal Server Error if a GET calls a workitems

document from a workflow initiated with an eForm document.

Salesforce User Sync

● The last Super Administrator can no longer be deleted from the account if all users have been disabled.

Workflow

● Workflows that fail at the Merge PDF Step can be resumed.

Known Issues The following section lists known issues in SpringCM as of the October 2017 release.

● Editing and saving an Excel XLSX document via SpringCM WebDAV may result in an error from Microsoft when you try to open it. XLS (Excel 97-2003) versions

do not result in an error and can be opened.

● A user cannot edit a document with the legacy Salesforce package with the SpringCM Edit application.

● Building a search with attributes in the new dashboards does not allow you to pick a dropdown field.

● Configuring a Reject button with a long label for the Review and Send for External workflow may not be handled gracefully in the user interface.

● A user cannot log out of SpringCM Scan and reauthorize to another account.

● When loading Doc Launcher Configurations, the default tab that opens is Form Field Libraries.

● The left-hand panel of the public share page for a folder cannot be resized.

Feature Deprecations

SpringCM Track It

● Due to declining customer demand, the SpringCM Track It for Salesforce application will be deprecated at the end of 2017. At the end of the year, the

application will be removed from the Salesforce AppExchange. Customers may choose to continue using the current version of the application if installed in

their Salesforce org; however, SpringCM will not enhance or bug fix the SpringCM Track It application.

Customized Actions No Longer Support External Icon URLs

● Coinciding with the December 2017 release, customizing actions in SpringCM will no longer support external URLs for icons. SpringCM is adding additional

icons that can be used as replacements.

SpringCM Scan

● Due to changing market conditions, the SpringCM Scan will be deprecated at the end of 2017. At the end of the year, the application will be removed from the SpringCM download site. Customers may choose to continue using the current

version of the application if installed on their Windows workstations; however, SpringCM will not enhance or provide any updates or fixes to SpringCM Scan in

the future.

SOAP API Deprecations

• As of October 2018, SpringCM will be retiring support for legacy versions of the

SOAP API. This includes versions v2,v3,v4,v5,v6,v7,v8,v9,v10,v11,v12, and v201305.

Customers who want to continue to use the SOAP API must upgrade to version v201308 or consider moving to the REST API. For more information on converting

from the SOAP API to REST, please see https://developer.springcm.com/guides/migrating-soap-api-rest-api.

Additional Announcements

Alpha-Trust support

SpringCM had added support for AlphaTrust for electronic signatures. Additional configuration options are required in Preferences to use AlphaTrust e-signature.

E-Signature Changes

Adobe Sign is no longer allowing wet/physical signatures to be returned via fax in their

new signing experience. Adobe is making this change because fax solutions add noise and the resulting document often has significant fidelity loss. When this feature is retired in the fourth quarter of 2017, signers will need to download the document,

print out, sign, scan the document, and then upload back to Adobe Sign. Adobe Sign will guide users through this process. Please click here for more information from

Adobe.

Workflow will be replaced with Tasks

In conjunction with the January 2018 SpringCM Release, you will now access Workflows from the Task Menu in the Go To Menu. Workflow will be relabeled Tasks and this will take the user to their Inbox.

Microsoft Office Clause Library Add-In Update Pending

We made several improvements to the SpringCM Clause Library Add-in for MS Word

and Excel, including:

● Making the add-in more tightly integrated with MS Office; once the add-in has been installed, a new "Clause Library" button with the SpringCM logo will appear in the

"Insert" ribbon, enabling single-click access to your SpringCM clause library. ● Ability to browse your clause library prior to searching.

● Improving the experience for first-time users, including a demo video on the add-in landing page.

● Ability to login to Production and UAT environments from the same add-in

We will be submitting the add-in to the Office Store and expect Microsoft's review process to take one to two weeks. Once approved, our add-in will be available for

users to install directly from the Office Store.
