Squid Catch Data - Are the current formats and data flow-lines working? During the process of the squid vessel trip data reconciliation exercise a number of data and data flow logistic problems were identified. 1. Submission of Data forms - the possibility exists for confusion due to: In the 2007,2008 & 2009 Permit Conditions the address is different in each year. The address given on the Instruction page of the Squid Jigging logbook is different to all the addresses given in the above Permit Conditions. 2. Some vessels are still recording their trips in the "old" version books which do not have Trip start & end dates. MCM data team unable to distinguish between fishing trips. 3. No unique link between a set of Squid Jigging logbook forms for a trip and the associated Factory Landing form. The Factory Goods Receiving Voucher number (GRV) could be this link in future. 4. What constitutes the end of a fishing trip? Some industry members determine the end of a trip when they pay their crew and not every time the vessel docks or offloads product. In this manner there are many instances where there are 2 factory offloadings for a single trip (according to the skipper's understanding). 5. Skippers are not instructed to record activities outside of fishing effort e.g. when sheltering from bad weather or searching for fish. So 2 fishing sessions recorded next to each other may be 2 days apart. This does lead to confusion at the data capture point and is compounded when point 4 above is applied. 6. Current Squid Jigging logbooks do not have an example of a completed form for the skipper's reference. 7. Cape Town is too remote for the resolving of all problems experienced with the recording of data in the Squid Jigging logbooks. Proposed Solution: a. Squid Jigging logbook (Catch & Effort Form) Draft a less complex Catch & Effort form which excludes the economic fields but includes a field for the Factory Goods Receiving Voucher number (GRV). Draft detailed Instructions to accompany the Catch & Effort form. Include example of a Completed Form Propose a single book per trip NOT a tear out pages (as is currently) b. Data Flow-line Considering that the entire fishery lands 99% of the product at either Port Elizabeth or Port St Francis harbours and that currently (and in the foreseeable future) this sector does not have Monitored/Inspected offloadings, the distribution of Squid Jigging logbooks to vessels/Right Holders and the collation of completed Squid Jigging logbooks should be done at the Port Elizabeth MCM offices. To this end it is suggested that: A additional Marine Research Assistant be deployed at the PE office

• At the landing of product (the end ofthe trip) the factory GRV number isrecorded on front cover of the trip book and is used as the unique link to theweighed catch (factory landing).

• The trip books are to be handed in at the PE office where they will bereceipted and registered. No data to be posted to Cape Town by RightHolder/s.

• The pre-capture validation and resultant queries to be done immediately at thePE office.

One book per trip

The end of a trip is determined as "Whenever fish or product is landed".

Trip number starts at one (l) every year (Calendar Year) and must be sequentially updated per trip,e.g. if the boat does eleven trips per year, the trip numbers will range from 1 to 11.

More than one page can be used per trip, but then the sailing date, docking date and trip numbers mustbe the same

The skipper must fill out the form whilst at sea and record his name and surname, cell phone numberand signature
