The City of Bunbury (the City) Christmas in the City Street Parade is open to all community groups, businesses, schools,

churches, commercial businesses, and individuals. It provides a wonderful opportunity to be part of a community-

wide celebration and to promote your group to the local community. To be a part of this growing and well-loved

event, applicants must complete and return the attached Expression of Interest (EOI) form via email to

[email protected] before a deadline of 5pm Friday 8 November 2019.

This is an interactive form and can be saved to your computer, completed digitally, and sent via email to [email protected]

TERMS AND CONDITIONS

The following Terms and Conditions have been developed by the City to ensure the safety of all attending the event.

The Terms and Conditions should be read carefully by the person responsible for this entry.

Participant Briefing

This year, the person completing the application form (or a suitable replacement) will be required to attend a

participant briefing in the weeks leading up to the Street Parade. This is to ensure that all participants are aware of

which roads are closed, how the assembly area can be accessed and during what times, and an opportunity to ask any

additional questions you may have.

This is mandatory for every group and one representative or more must attend in order to participate in the Street

Parade. The briefing will be held on Thursday 21 November 2019 at the City of Bunbury Council Function Room from

5.30pm to 6.30pm. If you are based outside of the Bunbury Geographe region, please advise and we will forward you a

copy of the presentation after the briefing.

Vehicle Entries

• Vehicle height is limited to 4.6m, individual vehicle length is limited to 12.5m

• Vehicle size is limited to 8 tonnes

• All vehicles must travel at a walking speed and in a safe manner

• All floats and vehicles must be substantially decorated in a Christmas or festive theme

• All entries will be assessed by the Street Parade MCs, and winners will be judged on the creativity, originality, and

overall impact of the float/vehicle. First prize will be awarded $1,000, and second prize will be awarded $500

• No float or group is to have a Santa Claus. One Santa Claus is permitted to appear in the Street Parade and will be

organised by the City

• There will be a maximum limit of ten commercial business floats, and these will be selected by the City with the

decision making process taking into account the intended decorations of the float/vehicle as detailed in the

application form

• The parade order will be established by the City’s Event Organisers

Arrival Times:

• Larger trucks and floats may arrive at Luciana Park from 3pm until 4pm

• Smaller vehicles, walkers and dancing groups may arrive from 4pm until 4.45pm

• All parade participants must be assembled by 4.45pm.

• All Parade vehicles and floats are to enter Blair Street from the Koombana Drive/Blair Street round-a-bout.

Other Vehicles

• Private vehicles will not be permitted in the parade assembly area (which includes the Blair Street / Foreshore Car

Park opposite the Bunbury Regional Entertainment Centre, and Lucianna Park) at any time.

• All private vehicles should be left in a nearby car park or parking bays.

• Parents/guardians dropping off Parade participants are to park their vehicles nearby and walk participants into the

Parade assembly area.

• If large musical instruments or props are required for the floats which are unable to be carried, these items must

be transported in on the floats, as vehicles not in the Parade will not be permitted into the assembly area.

• Excessive noise from Street Parade vehicles is prohibited

• Participants accept full responsibility for their own safety when taking part in the Street Parade and/or travelling in

moving vehicles. Please ensure you attach a current Public Liability Insurance certificate with this application.

Responsibility of Children Participating

• Children on floats, decorated trucks, trailers or other moving vehicles are to be supervised by adults at all times

• Children are not to leave, be removed from or placed onto a vehicle while that vehicle is moving

• Street Parade entrant coordinators are responsible for all children in their group until they are collected by a

parent or guardian. No child is to be left unattended at the finishing location.

• Ensure all parents are aware of where the drop off and pick up location is (Blair Street/Foreshore Car Park opposite

Grand Cinemas) and that they are unable to access the area by car.

• It is recommended that a minimum of one adult supervises every ten children participating in the parade.

Giving-Away Items

• Items must not be thrown from moving vehicles into the crowd.

• Items may be passed out in a safe manner from people walking within the parade group. Items that are permitted

to be handed out include flyers, wrapped lollies, stickers, and similar items (balloons are not permitted). If you’re

unsure, please check with the City’s Events team prior to the Street Parade.

• Participants are welcome to hand out items through the event area after the parade has concluded.

Failure to Comply

Event Marshalls, Security Guards and SES volunteers will be present at the assembly area. They will ensure the Terms

and Conditions are adhered to. Failure to comply with any of these conditions will result in the entrant being asked to

leave and possibly not accepted to participate at future events.

Street Parade Route

The Street Parade leaves the the Blair Street / Foreshore Car Park at 5.30pm onto Blair Street, turns left into Clifton

Street, left into Victoria Street, left into Prinsep Street, right at the roundabout into Haley Street and left into Blair

Street.

The Street Parade will finish at the Blair Street / Foreshore Car Park at approximately 6.45pm. Participants are

welcome to attend the Carols Concert at the Graham Bricknell Music Shell, which commences at 7pm. Parade

participants are to exit the Parade route via the roundabout on Koombana Drive.

It is the responsibility of the float/vehicle driver to ensure that the float/vehicle complies with the Traffic Regulations,

when leaving the Parade route. This includes, but is not limited to:

• ensuring all passengers on the vehicle are correctly seated and secured

• nothing will become dislodged from the vehicle

• all lights are working correctly and not obscured

To allow participants to disembark safely from floats/vehicles, all floats will be directed into the Blair Street /

Foreshore Car Park. If people wish to meet Parade participants at the conclusion of the Street Parade, they will be

required to wait in the designated area and follow any and all directions from Event Marshalls and Security Guards.

Decorated vehicles and trucks are encouraged to park at the Blair Street / Foreshore Car Park at the conclusion of the

Street Parade as this would be a great photo opportunity for event attendees.

Floats wishing to remove decorations from their vehicles can do so at the conclusion of the Street Parade at the Blair

Street / Foreshore Car Park and Lucianna Park.

Any vehicle caught conducting in a way that is not acceptable after this time will be liable.

SIMPLE STEPS TO MAKE YOUR FLOAT STAND OUT! • If your float utilises a trailer or truck, attach a skirting or fringing (this could be made with fabric or crepe

paper etc) around the sides/base of the trailer or truck. This will make your float look like it’s “floating” • Decorate the base of your trailer or truck with artificial grass or similar • Wrap large boxes to look like Christmas presents • Cut out snowman/gingerbread men/Christmas trees/gifts/candy canes/stockings etc from pieces of cardboard

and attach to sides of trucks or trailers • Use red foam noodles (pool noodles) and decorate as candy canes/lollipops/candy sticks • Use thin flexible piping that can be used to create an arch or several arches along the trailer or truck from side

to side and decorate with green foliage or tinsel • Wreaths, garland, tinsel and large bows can be used to decorate the sides or front of vehicles and floats to

give them a festive feel • Inflatable and outdoor style Christmas characters (excluding Santa) are easy to incorporate onto your float • Some float theme ideas could include (suggestion only to give ideas, not required):

o Winter Wonderland (think lots of white and silver with snowmen and snowflakes) o Traditional Christmas (lots of red and green with Christmas trees and gifts) o Candy Land (lots of bright colours with large candy decorations eg lollipops, candy canes etc) o Nativity (Characters such as Mary, Joseph, Baby Jesus, Shepherds, Angels and the Three Wise Men.

Props such as artificial grass or hay bales, cut out animals) o Gingerbread House (use brown cardboard or light weight woods to cut out gingerbread men and

women and create gingerbread style decorations with white icing and candy style decorations) o Christmas Movies (Polar Express, The Grinch, Frosty the Snowman, Elf, and the list goes on…)
