Teacher and Student Host Informa4on and Event Guidelines Ni;y Fi;y Program
We are excited to grant your school a speaker from the Fes8val’s popular Ni<y Fi<y program and we’re asking for your help to make this event a huge success! Thanks to our generous Ni<y Fi<y speakers who donate their 8me to inspire and mo8vate students (yes, they do this for free!), we are able to offer this program to schools at no cost.
Please take this event very seriously and treat it as a special gi< for your students. We have a limited number of speakers and many school applicants are not granted the opportunity. We appreciate your efforts to help make this a successful Ni<y Fi<y event for your students and for your speaker.
As part of your school’s par4cipa4on, please assign the following individuals from your school to help facilitate the event:
1. A teacher or school representa8ve should be available for the dura8on of the Ni<y Fi<y event to act as the main point of contact.
2. A student to act as the Ni<y Fi<y Host for the dura8on of the event. Please see the informa8on and guidelines below for the Student Host role.
Important Note – For schools who have hosted Ni<y Fi<y speakers in the past: We will NOT be sending a Fes8val representa8ve to act as Host for the event. The two individuals from your school, as outlined above, will fill the Host role.
Student Host Guidelines Who to assign as Student Host? The Ni<y Fi<y Student Host role is an excellent opportunity for a student to build on leadership, organiza8onal and social skills. In addi8on, the Student Host will benefit from the unique opportunity to interact directly with your school’s assigned speaker. When selec8ng a student for this role, please consider the following characteris8cs:
-‐ Science or technology-‐focused student with genuine interest in speaker’s topic -‐ Responsible and dependable individual -‐ Outgoing and mature personality -‐ Higher performing and organized student
What will the Student Host be responsible for? The Student Host, in conjunc8on with the school staff member designated as the main point of contact for the day, will ensure the success of the event by:
-‐ ac8ng as the speaker’s main point of contact during the event; -‐ pos8ng a welcome sign for the speaker; -‐ gree8ng the speaker upon his/her arrival and showing him/her to the presenta8on area; -‐ dra<ing an introduc8on to welcome speaker to the stage; -‐ welcoming the audience and introducing the speaker to the stage (see sample script outline below); -‐ loca8ng technical staff as needed; -‐ providing boXled water for your speaker; -‐ promo8ng the USA Science & Engineering Fes8val by playing an opening video and displaying a Fes8val
PowerPoint slide before and a<er the speaker’s presenta8on (video and slide provided by the Fes8val); -‐ taking pictures during and a<er the presenta8on and sharing images with the Fes8val (if possible, we
love video as well!) -‐ Get crea8ve – brainstorm ideas to make speaker feel special and welcome!

Ni;y Fi;y Presenta4on Timeline
-‐ Ni<y Fi<y PowerPoint Slide on screen while aXendees take seats -‐ Student Host or Teacher starts talk with audience welcome and Fes8val video (script sample below) -‐ Student Host gives speaker introduc8on and welcomes speaker to stage -‐ Speaker Presenta8on (this is flexible depending on the speaker’s topic and preference):
30 minute talk 15 minutes Q&A
-‐ Op8onal: School hosts lunch or refreshments for speaker and small group of students
In advance of the event, the Student Host and School Representa4ve should: -‐ Familiarize yourself with the speaker’s photo and bio at:

here: hXps://www.youtube.com/watch?v=mFu-‐pQPBuYg -‐ Ensure that your schools audio/visual technician will be available on the day of the event
What you should bring to the Ni;y Fi;y talk: -‐ Camera phone or digital camera (charged and with free memory) -‐ Speaker bio and introduc8on -‐ Script for Fes8val Announcement (see sample below)
What to do on the day of the Ni;y Fi;y Talk:Before Talk Begins:
-‐ Greet speaker upon his or her arrival -‐ Text or phone Malini (201-‐207-‐0065) if the speaker has not arrived -‐ Assist speaker in selng up talk -‐ Set up Fes8val video to play during program opening -‐ Make sure the teacher has the Ni<y Fi<y Power Point Slide and is prepared to have it on screen as
students are being seated, during Q&A and a<er the talk. -‐ Make an announcement about the Fes8val (see script below) and show video
During the Talk: -‐ Troubleshoot any technical or other issues during talk -‐ Watch the talk and gauge the audience aXen8veness, reac8on, and take notes on how it is going -‐ Take note of the approximate number of students in the audience -‐ Take photographs and video of speaker during the presenta8on (see examples below)
A<er Talk Ends:
-‐ Take photographs of speaker with a group of students (See examples below). Ask students in photo to write down their names. Try to include the Ni<y Fi<y PowerPoint slide in the background!
-‐ Help speaker pack up a<er presenta8on -‐ If school is having lunch or refreshments for speaker and students following presenta8on, plan to
aXend. -‐ When the program is over, say goodbye and THANK the teacher and the speaker profusely.
Final Follow-‐up A;er Ni;y Fi;y Talk: 1. Email your five best hi-‐res photos and to [email protected]. If the files are too large, we will
provide instruc8ons on how to send the images Please name the images using this format: Speaker Name_School Name_Event Date_image #.
In the email, include a cap8on of who the speaker was and what school they par8cipated in and what was the topic of the discussion (include student names in close up pictures.)
Example : Ni<y Fi<y speaker Dr. Ivan Schuler presented the physics of superheroes to students at Walt Whitman High School.

Has anyone heard about the USA Science & Engineering Fes8val? (Hopefully some hands will raise) Has anyone aXended the Fes8val’s HUGE Expo weekend at the Washington DC Conven8on Center, also known as the Super Bowl of Science? (Pause)

I hope all of you plan to aXend the next big EXPO weekend this April featuring over 3000 fun, hands-‐on and interac8ve STEM ac8vi8es along with exci8ng stage shows and science celebri8es. Tell your friends and family to mark their calendars for April 7 & 8, 2018 and come on out for this fun and exci8ng – and FREE -‐ celebra8on at the 5th USA Science & Engineering Fes8val!
Talk to your teachers and parents about organizing a field trip to Sneak Peek Friday – a special EXPO day just for students -‐ on Friday April 6, or the X-‐STEM Symposium – the Fes8val’s special conference where top STEM role models speak to middle and high school students -‐ on April 5.
And, talk to your teachers about organizing an exhibit space for your school at the 2018 EXPO! There is a very special reduced rate for schools that par8cipate.
