Introducing contactless referral... for Best Practice via HealthLink

Now practitioners can send their imaging requests to I-MED Radiology electronically via HealthLink, direct from Best Practice.

Referrals sent via Best Practice have an authenticated electronic signature, meaning it is not necessary for the referring practitioner to sign the referral. It is fast, efficient and safe.

Prerequisites for referring practice:

• Best Practice Premier Version 1.8.8 and above

• HealthLink secure messaging

• Administrative permissions to server to edit the HealthLink Client Software

• Administrative permissions for Best Practice to update Contact, Radiology Provider and template if necessary

HealthLink configuration

If your practice already has HealthLink installed, please follow the next steps for HealthLink configuration.

If your practice does not yet hIf your practice does not yet have HealthLink secure messaging, please contact HealthLink on 1800 125 036. Please note - there is no cost to the practice for the HealthLink messaging service.

HealthLink setup

The HealthLink Client requires a custom message processor to be setup.

This needs to match the service provider EDI account ID (eg: IMEDORDR)1. Open HealthLink Client

2. Navigate to: Advanced Options>Configuration>User Settings>Message Types TAB

3.3. Add IMEDORDR as a new Message Type

4. Select Processor TAB and add imedordr as the single recipient

5. Save all changes and close Advanced options

Best Practice setup

In Best Practice > View > Contacts (F11) locate the contact. e.g. I-MED Radiology

Select [Setup E-Ordering] to designate the file path to the new outgoing IMEDORDR HealthLink folder. This folder path only needs to be setup once for the Contact.

Send a test patient e-order (e-Referral)

GP workflow remains the same.

1. Open a test patient record from the BP main menu (F2).

2. Select the Imaging Request button (Shift+F6).

3. Under the provider dropdown, select I-MED Radiology.

4. 4. Add your phone number and your email in the Patient Record section.

5. Add the words TEST ONLY in the clinical details.

6. Click on ‘Print & Send’.

Location of e-order(e-Referral) file

Once the e-order (e-Referral) has been completed a HL7 ORM file is created and exported to the new IMEDORDR folder. The e-order (e-Referral) file is now ready to be picked up by the HealthLink application.

HealthLink encrypts and securely transports to the selected service provider (IMEDORDR).

TTo confirm that the test e-order (e-Referral) has been placed in the correct location:

• Navigate to \\SERVERNAME\HLINK_order_out\IMEDORDR\

• Locate the ORM file

• Once the file has been sent, it will no longer appear in the IMEDORDR folder and will be located in the archi archive folder

Best Practice software

Patient RecordIn the Patient Record in Best Practice it is important that, at a minimum, the mobile phone number of the patient is entered.

An email address is also recommended. This will streamline the appointment booking This will streamline the appointment booking process.

If these details are not populated the electronic referral will still be received, but the booking process may be delayed as the patient cannot be as easily contacted.

Closing the loop

Once we receive your patient’s referral, we send an SMS or email to the patient, inviting them to book online. We’ll include a link so they can download a copy of their e-Referral.

If the patient does not respond to the SMS, we’ll contact them within a few hours to make an appointment.

(No(Note: not all regions currently support online bookings. In these regions, patients will receive a text message/email saying that we will contact them to book their appointment.)

Radiology/imaging request forms and templates in BP

The template for referring to I-MED Radiology will already be configured. However, there may be multiple versions of the referral for I-MED. This will be the perfect time to delete out-of-date versions and consolidate to a single I-MED version.

GPs can also set I-MED as their Preferred Imaging Provider – a setting which can be found in User Preference.
