WelcomeWe are pleased to invite you to the 12th Conference on
Asphalt Pavements for southern Africa (CAPSA 2019) that
will be held from 13 – 16 October at Sun City, South Africa.
Your support and exhibition at the conference is our key
to success, we look forward to the opportunity of working
with your company on this important event.
It is truly amazing to reflect that this will be the 50th
anniversary of CAPSA which was launched in Durban
in 1969 and grown into one of the most prestigious
conferences on road engineering both for the southern
African region and the broader international fraternity.
While the environment has changed dramatically since 1969 the aim of CAPSA remains unchanged, the
dissemination of knowledge and the exchange of ideas with an emphasis on road building and maintenance in
southern Africa. CAPSA will once again offer a broad spectrum of practitioners the opportunity to interact and
to share their professional skills with colleagues from the subcontinent and abroad.
Today our industry, is not immune to the disruption that is being experienced across markets and companies
due to the acceleration experienced in technology and the theme of CAPSA 2019, “Leadership and innovation to
preserve and enhance the value of the region’s roads within a rapidly changing world” is appropriate.

Conference Information
Introducing CAPSA’19The 12th Conference on Asphalt Pavements for southern Africa – CAPSA’19 – will be held from 13 – 16 October 2019 at Sun City,
South Africa. This prestigious conference, held in southern Africa since 1969, and acknowledged globally as a premier conference in
the fi eld of flexible pavement engineering, will once again offer practitioners the opportunity to interact and to share their professional
skills with colleagues from the subcontinent and abroad.
The provisional programme is structured to encourage full participation by delegates. Plenary sessions will provide time for questions
and debate and parallel workshop style sessions will further advance this goal while also offering opportunities for mentorship of
young professionals. Social events will provide further opportunities for networking.
The conference programme will be structured around the following themes and topics which will form the basis of paper content and
conference sessions.

Exhibition Information
1 x Exhibition Booth (Minimum of 9m2) Specifi cations and Benefi tsThe price for 1 Exhibition Booth is R32 700 incl VAT. This includes:
• A shell system with fascia board (and company name), one spotlight, one standard plug point, a table and two chairs.• 1 full delegate badge with access to all 4 functions• Cleaning of public areas and passages. • Removal of waste - Cleaning staff will not be allowed on stands, except to collect dust bins and other waste that are placed on the perimeter of the stand at the end of the day.• Listing as an exhibitor on the website prior to the conference with a link to the company website
Allocation of Exhibition SpaceSpace Allocation will be made on a “fi rst come, fi rst served” basis. A completed Application Form should be faxed / emailed to ensure reservation of a desired location. Upon receipt of the Form, space will be confi rmed and an invoice will be mailed. Please note that two alternative choices should be clearly indicated on the application form. Space allocations will be made in the order in which application forms with the deposit payment are received.
Exhibitor RegistrationAll exhibitor delegates are required to be registered and will receive a badge indicating their exhibitor status. One complimentary exhibitor badge will be given for the fi rst 9m2 booked.This delegate badge will have full delegate status and will have access to all the proceedings and all the social events.
Additional exhibitor badges can be purchased for a total fee of R6500 pp.Additional exhibitor badges will include the following:
• Exhibitor badge, lanyard, conference bag, programme• Invitation to all social events• Exhibitor registrations allow access to the exhibition area only and shall be used by company staff only.• A maximum of 2 additional exhibitor badges are allowed per exhibitor.
Exhibition ManualAn Exhibition Manual outlining all technical aspects of exhibiting will be circulated 2 months prior to the Conference. It will include the following:
• Technical details about the Venue• Final exhibition details and information• Contractor details• Services available to exhibitors and order forms

Terms & Conditions
These terms are the contractual agreement between the Organiser and the Exhibitor/s and Sponsor/s.No advertising on behalf of fi rms not exhibiting is permitted in any form whatsoever. Transfer or sub-letting of all or part of the allocated spaces is prohibited.
• All rates include 15% VAT. Should the VAT % changed, the total sponsorship/exhibitor amount will change accordingly.• After confi rmation of the sponsorship and/or exhibition booking an invoice for a 50% deposit of the agreed amount will be sent for immediate payment on receipt of invoice.• Payment of the remaining 50% will be payable by 9 April 2019. • Any new bookings received after 9 April 2019 will be liable for 100% of the invoice cost - immediately payable on receipt of invoice. • Arrangements with regards to the sponsorship package/exhibition logistics will only start once deposit payments have been made and cleared through the bank.• All payments are to be done in South African Rands. • Payments can be done via EFT, Bank Deposit or Credit Card.• Note should payment not be received by the due dates, the Conference Offi ce retains the right to release and resell the stand position or re-sell the sponsorship package.
Cancellation Policy• The sponsorship and exhibition deposit payment of 50% is non-refundable. • Cancellations of stands and sponsorships will still be accepted up to 9 April 2019.• Full sponsorship and exhibitor cancellation fees will be applicable from 9 April 2019 onwards. • Please forward all cancellations in writing to the conference organisers offi ce.
Liability InsuranceEquipment and all related display materials installed by Exhibitors / Supporters are not insured by the Organizer, and the Organizer under no circumstances will be liable for any loss, damage or destruction caused to equipment, goods or property belonging to Exhibitors / Supporters. The Exhibitor / Supporter agrees to be responsible for his/her property and person and for the property and persons of his employees and agents and for any third party who may visit his space. The Exhibitor/Supporter shall hold harmless the Organizer from any and all damages/claims including those usually covered by a fi re and extended – coverage policy. The Supporter/Exhibitor will purchase insurance policies for the above listed damages.
