Introduction

The Translation People’s Translation Platform is a powerful online translation and review environment that enables real-time terminology and translation memory management. The Platform gives our clients the opportunity to actively participate in the translation process by providing direct online access to our translations for review. The user-friendly web-based Platform can be accessed using the secure log in details provided. Users simply log in, review and approve the translations online. It eliminates the need to e-mail amended translations to their project manager. At the same time, any amendments to the translations are saved automatically and in real-time to the Translation Memory. Clients can also access the online Termbase, review terminology and amend terms. Previous translation jobs are saved within the Translation Platform and are accessible round the clock.

1. Key Advantages

Our Translation Platform is an online translation environment which is used by project managers, translators and reviewers alike. Access is provided free of charge by The Translation People.

All translations from the translator and subsequent amendments from the reviewer are saved instantly to our Translation Memories, ensuring that they always contain the latest approved translations and eliminating the need to manually e-mail amendments to the project manager.

All project files are stored centrally online giving reviewers easy access to correct files. In addition, all work is saved in real-time which means that no work is ever lost if a translator or reviewer falls ill for example.

The Translation Platform is very user-friendly and intuitive. Reviewers can download the approved translation at their convenience without having to

contact the project manager.

2. Getting started as a reviewer

2.1 Log in to the Translation Platform As soon as a translation is ready for review, you will receive an automatic e-mail from our project manager:

The e-mail will contain a link to the Translation Platform, clicking on it will take you to the log in screen where you will be prompted to enter the account details provided to you by The Translation People. The password will be displayed in the body of the e-mail.

We recommend that you use Mozilla Firefox or Google Chrome. Other browsers may be used but may not offer full functionality.

3. Reviewing translations in the Translation Platform

3.1 Viewing the translation and confirming the job By clicking on the link in the e-mail, the relevant project is opened automatically. If you sign in using the main log in screen, you’ll see an overview of all the projects that you are currently working on or that you have worked on in the past. Any pending jobs that you haven’t looked at yet can be found in the New tab (1). The Accepted tab (2) shows the job(s) that you are currently working on. The Completed tab (3) shows any finished projects.

Open the relevant project by clicking on its name. The latest projects will always appear at the top of the list.

Once the project is open, you can review all the details at the top of the screen. Here you’ll find the project manager’s name, the language combination and the project name:

If you would like to view the translation before you confirm your availability for the review, simply click on the file name

Your web browser will open the file in a new tab. You will see the English and the translation side by side.

If you want to confirm that you will be undertaking the job, please select Change Status (1) and then Accepted. This triggers an e-mail to our project manager.

3.2 Reviewing the translation Once you have opened the file for translation in the online Editor you can begin your review.

Once you have opened MemSource Editor, the review environment looks like this:

The source text is on the left hand side and the corresponding translation is on the right.

In the top right corner, you will matches from the Translation Memory. Those highlighted in green are 100% matches with a previous translation. The orange matches are similar but not identical to previously translated sentences. Relevant entries from the Termbase are shown in yellow.

If you would like to make any changes, you simply click on the translated text and overwrite it with your preferred translation.

All translations have to be signed off by the reviewer before being added to the Translation Memory. You can do this by clicking on the row that you’d like to sign off and then by clicking the tick circled in red above(shortcut: Ctrl+Return):

Once you have clicked on the tick, the black tick next to the translated sentence turns from black to green:

All lines need to be confirmed in the same way, so that they are saved to the Translation Memory. You can confirm multiple lines at the same time by highlighting the relevant section and then clicking on the tick. To highlight several lines at the same time, click on the number on the left of the first line you want to select, then hold down your left mouse button and move the mouse cursor up or down on the screen.

MemSource Web Editor has an inbuilt quality assurance function that enables the user to check for inconsistent punctuations, formatting problems, inconsistencies with the Translation Memory, etc. You can run this QA check by clicking on the QA tab at the bottom right of the screen and then clicking Run.

The error message “Terminology” means that there is an inconsistency with the terminology stored in the Termbase.

The error message “Inconsistent Translation” means that there is an inconsistency with the previous translation stored in the Translation Memory.

The error message “Not confirmed” means that you still need to confirm this particular sentence.

Clicking on an error message highlights the relevant line in the translation. You can then consider if you wish to make any further amendments.

You also have the option to add comments on the right hand side for our project manager:

There is no need to save the file, once you have ticked a segment it is automatically saved to the server.

3.3 Completing the reviewed file When you are finished with your review and have saved the file, you’ll need to change the status of the project from “Accepted” to “Completed”

The status of the project should be changed to Completed, as this triggers an e-mail to our project manager informing them that you have finished your review. There is no need to e-mail the translated file to the project manager. See 3.1 for further guidelines on how to change the status; changing the status takes place in the project overview screen.

If you want to view the translation in the final layout, go Download/Completed file. This will automatically produce a target file in the original file format. If you want to make any changes at this stage, you will need to re-open the file in MemSource Web Editor. Any changes made directly to the target file will not be saved to the Translation Memory.

4. Review of Termbase You can review and update your company’s Termbase at any time. Simply click on the Termbase link in the Translation Platform:

A list with the terms entered will be displayed. You can search both source and target language for terms. If you want to change a term or review the details, simply click on it:

In this screen, you can make the following changes: Change the term, mark the term as forbidden, case sensitive. You can add some context on how the term is used by adding notes, images or other reference material. The Term Details at the bottom of the screen shows which user modified the term last.

Click on the term you’d like

to change.

Click on New, if you’d like to add

a new term.
