1. Purpose and Introduction

This document describes the basics of navigating in the BHSDSTAR SBIRT module including log in, finding and registering individuals, conducting screening assessments, and submitting client services.

2. Log In, Account Settings, and Notifications

2.1 To Log in:

1. From the desktop double-click your internet browser to launch. (For best results we recommend Goggle Chrome but other browser can also be used.)

2. Enter bhsdstar.org/ in the browser window and press the Enter key.

3. Click the SBIRT Login button.

4. Click in the Username field and enter user name.5. Press the Tab key or click in the Password field and enter user password.6. Click the Login button.

7. The Home screen will display listing Tracking Items such as Unsubmitted DCIs, Reassessment DCIs, Deactivation, and Service Updates as well as graphs of Screens conducted in the Current Fiscal Year, Screen Classifications, Project Target Total and status, and Reassessment Rates.

Tip: This screen can be viewed at any time by clicking Home in the upper right corner of the screen.

Tip: Items requiring action are displayed with an Icon listing the # of items for each Tracking Item and the Take Action button is displayed.

2.2 To edit Profile Settings:

1. Click on your logged in Name in the upper right corner.2. Click Profile Settings.

3. Click the field you want to edit and enter new information.4. Click Save.

2.3 To edit Password:

1. Click on your logged in Name in the upper right corner.2. Click Profile Settings.3. Click change password.4. Enter last password.5. Enter a new password.6. Re-enter the new password.7. Click Save.

2.4 To contact BHSD Support via Email:

Tip: Never send a client’s name in the free text section of the email-refer to them by their ID number.

2.5 To Logout:

1. Click on your logged in Name in the upper right corner.2. Click Logout.

2.6 To View and Acknowledge Notifications:

Tip: Notifications shared with you from the Management Team will be in the form of information only, or will require your acknowledgement. If acknowledgement is required, you must read and acknowledge before being able to proceed with any other action in STAR.

From the Home screen:

1. Click View More to expand the Notifications section.2. Read the Notifications.3. Click Acknowledge.4. Click Hide to collapse the Notifications section.

3. Registration

3.1 To Register a New Individual:

From the Home screen:

1. Click Register.2. Click the First Name field and enter name.3. Click the Middle Initial field and enter initial.4. Click the Last Name field and enter name.5. Click the Date of Birth Field and enter DOB.6. Click Check Records.7. Click the Add New Individual if the individual is not found.

8. Click the SSN field and enter SSN or click the No SSN checkbox.9. Click the Primary Phone Number field and enter number.10. Click the Message can be left checkbox if applicable.11. Click the Primary Language Spoken in the Home and click language.12. Click the Medical Record Number field and enter MRN or click Medical Record Unknown checkbox.13. Click Medicaid Recipient Yes or No. If Yes, click the Medicaid Number field and enter number or click

Unknown.14. Click Submit Individual.15. The Client Dashboard is displayed.

3.2 To Select an Existing Individual:

From the Home screen:

1. Click Register.2. Click the First Name field and enter name.3. Click the Middle Initial field and enter initial.4. Click the Last Name field and enter name.5. Click the Date of Birth Field and enter DOB.6. Click Check Records.7. Click the Client ID of the individual found on the list of possible matches.8. The Client Dashboard is displayed.

4. Find an Individual

From the Home screen:

1. Click Find.2. Click on any of the fields and enter the full or partial information.3. Click Go.

Tip: Click on A-Z to search for all individuals whose last names begin with those letters.

Tip: Click Create List Using criteria to find specific types of individuals.

4. Possible matches are displayed.5. Click the Client ID to see the Client Dashboard.

Tip: Revise Criteria to conduct the search again.

5. Add and Update Contact Information

From the Client Dashboard:

1. Click Contact Information.2. Click any of the fields and enter/edit the information.3. Click Update Information.

Tip: To cancel entry of the changes click Cancel.

4. Click Contact Information.5. Click any of the fields and enter the phone information.6. Click Update Information.

Tip: To cancel entry of the changes click Cancel.

7. Click Address Information.8. Click any of the fields and enter the information.9. Click Update Information.

Tip: To cancel entry of the changes click Cancel.

6. Client Dashboard and Survey Navigation

6.1 Completing Surveys

From the Client Dashboard:

1. Click Fill Out a New Survey.2. The HLQ Screen will display with questions.

Tip: Sections requiring completion are displayed on the right side of screen indicated with an Icon. You can click the section to navigate there.

3. Click the appropriate response for each survey question.4. Click Submit.

5. The completed Section Icon appears as an Icon.

6. Scores from the HLQ are calculated and displayed on the client dashboard for Alcohol, Drugs, PTSD, Depression, and Anxiety.

7. Additional Surveys to be completed are listed based on Positive scores.

Tip: A DCI (Data Collection Instrument) is federally required for every individual screened. Screen Classification (based on the HLQ) identified which areas of the DCI need to be collected:

Negative Screen=Record Management (collected as part of the HLQ) Brief Intervention (BI)=Record Management and Alcohol and Drug Use Brief Treatment and Referral to Treatment=All sections of the DCI.

8. Click DCI.9. Click Take Action.

10. The DCI Screen will display with questions.

Tip: Sections requiring completion are displayed on the right side of screen indicated with an Icon. You can click the section to navigate there. Not all sections are required for each individual.

11. Click the appropriate response for each survey question.12. Click Save.

13. The completed Section Icon appears as an Icon.14. Repeat for each Section.15. Click Submit.

Tip: Some of the information entered during registration will automatically appear on certain Record Management DCI responses such as Primary Language in the Home. Some responses will calculated and displayed based on responses in the HLQ.

Tip: For an individual to be counted towards your overall target a DCI must be submitted. The Discharge DCI will not Discharge the individual from services or impact the Reassessment. If an individual is flagged for Reassessment that survey should be submitted 5-7 months after Intake.

16. The Client Dashboard will display indicating whether the individual has been selected for Reassessment, the DCI Graph will display for Alcohol, Total Drugs, Heroin, Cocaine, and Marijuana, and additional surveys will be listed.

Tip: An individual who meets all of the following criteria will qualify for Reassessment: screens positive for SBIRT, chooses to participate in the SBIRT program, and the last 2 digits of their SSN are between 55 and 84.

17. Click the additional survey section.18. Click Fill Out a New Survey.19. Click the appropriate response for each survey question.20. Click Submit.21. Repeat for each Section.22. Scores for each survey will be calculated and displayed on the Client Dashboard.23. Scores for the selected survey will be plotted over time on the specific to survey selected graph.

6.2 Completing Reassessments DCIs:

From the Client Dashboard:

1. Click DCI section.2. Click Take Action under Reassessment.3. Click Yes for Was the interview conducted.4. Click the calendar and select interview date.5. Click the Administered By drop-down and select the person who conducted the interview.6. Click Submit/Lock.

Tip: Sections requiring completion are displayed on the right side of screen indicated with an Icon. You can click the section to navigate there. Not all sections are required for each individual.

7. Click the appropriate response for each survey question.8. Click Save.

9. The completed Section Icon appears as an Icon.10. Repeat for each Section.11. Click Submit.

6.3 Completing Deactivations:

(Client has not been seen in the last 30 days)

From the Home Screen:

1. Click Take Action under Deactivation.

2. Click a Client ID.3. Click Take Action under Deactivation.4. Click No to Was the interview conducted.5. Click the Deactivation Status Section.6. Click the Deactivation calendar and click date.7. Click the appropriate answer for client’s deactivation status.8. Click Submit/Lock.

Tip: Deactivation List Management-Client has been seen in the last 30 days.

1. Follow steps below to add a service and use a service date within the past 30 days.2. Follow the steps to add a new HLQ with an interview date within the past 30 days.3. Follow the steps to add another new Survey with an interview date within the past 30 days.

7. Client Services

From the Client Dashboard:

1. Click Client Services.2. Provider Services will display for the client.

Tip: As services are added the (0) on the tab will update.

7.1 To add a New Service:

1. Click Add a New Service.2. Click the Service Date calendar and click the date. (Future dates are not allowed)3. Transaction ID is automatically assigned by the system.4. Click the Service drop-down and select service.5. Click the additional required fields and click the appropriate responses.6. Click Save.

Tip: To cancel entry of the service click Cancel.

7. Click I Agree to confirmation for Electronic Signature.

8. The newly submitted Service is displayed in the Client Services table.

Tip: To edit a service click Edit, make the changes, click Save, and clck I Agree.

7.2 To delete a Service:

1. Click the Delete checkbox for the Service(s).2. Click Delete Checked Services. 3. Service is no longer displayed in the Client Services table.

8. Client Notes

From the Client Dashboard:

2. Current Notes for the client will display.
