Use of FacilitiesApproval process
Group/organization submits completed form to the school for approval
School staff checks for availability of requested area(s)
1) CCPS events have first priority
2) Department of Recreation, Parks & Tourism have second priority
School sends approved or denied request to the Office of the Assistant Superintendent of Supporting Services for final approval
1) verifies insurance information
2) collects fees if applicable
Group/organization and the school are notified of final approval or denial
Limitations for Use
The sale or use of tobacco is prohibited in school buildings at all times and is prohibited on school grounds
Consumption, sale, or display of alcoholic beverages is prohibited
Parties, celebrations, and activities that are essentially private in nature, including birthdays, weddings, anniversaries, showers, wakes, and other similar activities
Animal shows, to include horse and dog shows, etc.
Carnivals, circuses or similar programs
Fundraising activities for political groups
Car washes (unless sponsored by the PTO or PTSO)
Use of schools for overnight activities (unless a school is designated as an emergency shelter through the Office of Emergency Services)
Firearms, weapons, or ammunition

Use of Facilities – New Buildings
The Interagency Commission on School Construction (IAC) in the administrative procedures guide defines
cooperative use space as “up to 3,000 square feet of co-located or shared space within an school that
supports LEA or community initiatives to serve school children and the general community, and which is
funded in part by the State”. As part of a request in the Capital Improvement Program, the IAC can approve
cooperative use space in a new building, replacement school or renovation. The IAC allows for funding up
to 3,000 square feet of additional space as cooperative use space when the spaces are in addition and
distinct from the spaces typically provided in these type of projects. Letters of support are required to be
submitted from the partner organizations as part of the CIP request.

Building Service
CCPS building service employees work 1000’s of hours each year to support various outside organizations utilizing our facilities.Building service staff serve as a point of contact and provide any assistance that might be needed during these events.
While in the buildings on weekends, staff utilizes this time to work on and complete projects that they may not have time to addressduring the course of their regular workday. Tasks may include top scrubbing, recoating VCT floors and extracting carpet in areas of thebuilding not being used by the outside organization.
