1 Program Guidelines

1.1 Schedule

The Arts Festival is scheduled on 1st (9.00 a.m. to 4.30 p.m.) & 3rd (1.00 p.m. to 4.30p.m.) October 2016 (Off Stage Events) and 27th & 28th October 2016 (On stage events).

1.2 Events

Only those events scheduled for Calicut University D-zone arts festival for the pre-vious year 2015-16 will be permitted.

1.3 Rules and regulations

Only those programs prescribed in the last Calicut University D-zone arts festival will beconducted. Candidates, organizing committee members, office bearers of student senateand others are strictly instructed to comply with the rules and regulations of this manual.Any violation will be dealt with seriously.

1.4 Mode of competition

1. Department wise competitions for Calicut University (CU) students.

2. Department wise competitions for APJ Abdul Kalam Technological University(KTU) students.

Note - 1 : The scores of both the universities will be added for eachdepartment and an overall trophy will be awarded to the department(s) whosecures maximum points.

Note - 2 : As the rules for the conduct of arts for KTU students is notavailable at the time of preparation of this manual, all the rules of CalicutUniversity are adopted to the students of both Universities.

1.5 Participation: Off-stage

1.5.1 CU and KTU

For each department the maximum number of participants allowed is twenty from CUand twenty from KTU for each individual event. The maximum number of teams allowedis two from Calicut and two from KTU for each group event from a Department. Astudent can participate in maximum of four events (including individual and group items)as per the fixed time schedule. The time schedule once published will not be altered atany circumstances. The students not reporting at the scheduled time will be consideredlate/absconded and lead to negative points as per clause 1.6.2.

1.5.2 Participation: On-stage

For each department the maximum number of participants allowed is two from CU andtwo from KTU for each individual event. The maximum number of teams allowed istwo from CU and two from KTU for each group event from a Department. However, fortime consuming events like Ganamela, Panchavadyam, Band Melam and Drama,the maximum number of team allowed is one from CU and one from KTU. In th on-stageevents, a student can participate in a maximum of four for the individual events. Thetime schedule once published will not be altered at any circumstances. The students notreporting at the scheduled time will be considered late/absconded and lead to negativepoints as per clause 1.6.2.

1.6 Evaluation

For CU/KTU, if the number of teams in a group event and the number of participants inan individual event are less than two and three respectively, the event will be evaluatedfor D Zone eligibility, but no points will be awarded.

If any team or participant has registered but fails to participate, that respective teamor participant will be awarded negative points as per clause 1.6.2.

1.6.1 Points Awarded :

a. Group Events

First Position : 10 Points

Second Position : 5 Points

Third Position : 3 Points

b. Individual Events

First Position : 5 Points

Second Position : 3 Points

Third Position : 1 Point

1.6.2 Negative Points

Negative points will be awarded to the respective departments under the following cir-cumstances.

I. Late withdrawal/Absconding

i. All teams/ participants are expected to report on time. It is the sole responsi-bility of participants to be present when they are called during onstage events.

ii. After collecting the chest numbers, the teams or individuals are expected to bephysically present in the venue.

iii. In case if any individual or team does not report within the allotted time(absconding), and as a result the number of teams or participants is less thanthe minimum number prescribed as per the clause 1.6, the department whoseteam which did not turn up will suffer a total deduction of 25 negative points.

iv. The withdrawal of event after the last date of cancellation mentioned in the artsmanual due to any reasons other than any technical difficulties of the organizingcommittee will attract negative points.

v. In case a late withdrawal after the last date for cancellation occurs, andthe number of teams or participants after the late withdrawal is less than theminimum number prescribed as per the clause 1.6, then also the correspondingdepartment will have to suffer a total deduction of 25 negative points.

vi. If after a late withdrawal, the number of participants or teams is greater than orequal to the minimum number prescribed as per the clause 1.6, the respectivedepartment which withdrew will suffer a loss of 10 points in case of groupevents and 1 point in case of individual event.

vii. Cancellation of negative marks once awarded, will not be consideredeven under medical grounds.

II. Discipline related

i. In case of any disciplinary issue, the Senate Advisory Committeehas the authority to deduct points. The number of points to bededucted will be decided in consultation with the College Disci-plinary Committee.

ii. Attempt of communicating with judges in any manner will also beconsidered as a disciplinary issue.

NOTE : These clauses will be applicable for both onstage and offstageevents.

1.7 Result

The results of the events will be announced within 15 minutes after getting the result atresult committee office. The result will be announced at all venues.

The overall available points will be displayed/announced at auditorium only two timesin 1st day (1.00 p.m. & 4.30 p.m.) and 3 times in 2nd day (10.00 a.m., 2.00 p.m. &Completion of all events ).

The final overall result will be announced only after considering all the appeals by theappeal committee, if any are present.

1.8 Appeal

For appealing a result, an amount of Rs.500/- should be remitted. The scope of appealis just to review the score sheet and comments prepared by the judges. Only addingerrors will be considered. Amount will not be refunded under any circumstances.The appeal should reach the appeal committee within one hour of the announcementof results. Any interaction with the judges will invite negative points. The appealcommittee will require a minimum of two hours for verifying the appeal. Allthe appeals should come only through the department captain.

Decisions taken by VAST Students Senate Advisory Committee regardingAdvika 2016 - 17 will be final.

However, the participants may file an appeal before the Higher AppellateAuthority constituting the following members.

This will be governed by the following rules.

i. Each complaint must be accompanied by a non-refundable deposit of Rs.1000/-.

ii. The complaint and non-refundable deposit should be submitted to the staff advisorwithin 1 hour from the provisional declaration of result.

iii. The timeframe for taking decisions will be decided by the higher appellateauthority on a case by case basis.

iv. If any appeals are filed before the higher appellate authority, the points for therespective item will not be added to the claim of the corresponding department, atthe time of the declaration of provisional result.

1.9 Captain

A Captain who is nominated by the Department Senate Faculty with the consent of Headof the Department, for each department (he should be preferably having background inarts and not a member of the current senate). The captains will be solely responsible forthe registration, cancellation, etc. of the events and any other communication with theorganizing committee. The captain of the department should be a student of S8 B.Tech/ S5 MCA.

1.10 Practice time

Students will not be allowed to practice for arts competitions during the regular classhours, that is during 9.00 a.m. − 4.30 p.m. However students are permitted to practiceduring the period 4.30 p.m. − 6.30 p.m. after getting prior permission from the respectiveHead of Department and Principal in writing in the standard format attached in thismanual. Staying back after 6.30 p.m in the college campus will not be allowed under anycircumstances.

If any student is found practicing for an event during regular college hourswhich will lead to the violation of this rule, he/she will not be permitted tocompete in that event.

1.11 Discipline

i. The college disciplinary committee, in association with the Senate Advisory commit-tee, will be monitoring all the disciplinary related issues in connection with the ArtsFestival 2016.

ii. A separate venue committee will be constituted for each venue to co-ordinate theevents in that venue under the guidance of a senior faculty member.

iii. All staff members including the security staff have the right to confiscate the identitycards of the students who involve in any violation of the rules and regulations andreport to the disciplinary committee at the earliest. Based on the reports from thesquads, appropriate action will be taken by the discipline committee.

iv. Any communication between the organizing committee and the departments shouldbe only through the department captains.

v. All the students are strictly prohibited from using mobile phones. Under specialconsideration, the students senate office bearers and department captains may usetheir mobile phones without using their mobile phone cameras during arts festival.

vi. The students are exempted from wearing the college uniforms on the days of the onstage events. The students are expected to come to the college as per the dress codeapplicable to Fridays.

vii. All students must wear and display their identity cards.

viii. In case of any untoward incident(s) being reported, the overall result will be declaredonly after all the procedures of the disciplinary committee are over.

Note - 1 : Any suggestions / grievances should be reported to the SenateAdvisory Committee through the department captain and it should be in theformat prescribed in the manual.Note - 2 : On the days of the arts festival college buses will start from thecollege, as per instruction of the principal.

The Late registrations will not be considered further.

Rules and Regulations for Off Stage and On Stage events

OFF STAGE EVENTS

1. Essay Writing

• For Literary items subjects will be announced only 5 minutes before the com-mencement of the competition.

• The paper required will be supplied by the senate.

• The participants should bring other articles like pen, ink, brush, paint etc.

2. Story Writing

• For Literary items subjects will be announced only 5 minutes before the com-mencement of the competition.

• The paper required will be supplied by the senate.

• The participants should bring other articles like pen, ink, brush, paint etc.

3. Versification

• For Literary items subjects will be announced only 5 minutes before the com-mencement of the competition.

• The paper required will be supplied by the senate.

• The participants should bring other articles like pen, ink, brush, paint etc.

4. Extempore

• Duration : 5 minutes.

• Topic will be given only 5 minutes before the commencement of the competition.

5. Quiz

• For quiz the specific rules regarding evaluation procedure, time to reply a par-ticular answer and the type of round will be given before the actual start of thecompetition.

• The decision of the quizmaster will be final and binding on the participants.

6. Debate

• Duration : 5 minutes.

• Medium of communication should be in english.

• Topic will be given only 5 minutes before the commencement of the competition.

7. Aksharaslokam

• For Literary items subjects will be announced only 5 minutes before the com-mencement of the competition.

8. Kavyakeli

• For Literary items subjects will be announced only 5 minutes before the com-mencement of the competition.

9. Water Colour

• Theme will be given only 5 minutes before the commencement of the competition.

• Theme will be given only 5 minutes before the commencement of the competition.

• Collage will be conducted on the spot.

• Participants are requested to bring their own scissors and other materials re-quired.

• Cloth will be provided by senate.

• The participants should bring their own embroidery thread and needle etc.

16. Poster Making

• Each group will be represented by one participant.

• Item will be conducted on the spot on the given topic/subject. Sheet size 15” x22”.

• Duration will not be more than 2hours 30 minutes.

• Topics/size and other specific rules shall be announced on the spot.

17. Rangoli

• Duration will not be more than 2 hours 30 minutes.

• Participants shall bring their own material. The medium and form of expressioncan be free hand, pictorial and descriptive.

• Only one medium shall be used - Posters Colours or Sawdust or Pulses or Ricewithout pasting.

• The participants shall have to prepare a rangoli within the space provided by theorganizers.

18. Spot Photography

• The participants has to bring his/her own digital camera.

• The digital camera (Max 14Mega pixel) should have a memory card, which willbe formatted by the judges before the commencement of the contest.

• The time limit will be 2.30 hours.

• The participant has to capture 5 photographs on the theme announced on thespot by the judges.

• No mixing, matching or morphing of photographs will be permitted. Softwaresuch as Photoshop etc. for enhancing images not permitted.

• The organizers will have all rights for the use of these pictures as and when theydeem fit. Digital images are evaluated on the basis of (i) Impact, (ii) Composition,(iii) Technical quality, (iv) Suitability of the specific theme.

• The additional instructions will be announced on the spot.

19. Pookalam

• Only flowers shall be used, Leaves, twigs, powders etc. are not allowed.

• The pookalam may be both figurative and abstract.

• Duration should be not more than 2 hours

• Judgement will be based on the qualities like composition of rhythm, co-ordinationand general impression.

27. Vocal - Folk (Group)

• The group can consist of all boys or girls or combined.

• Duration of the performance will be a minimum of 8 and a maximum of 10 min-utes; this does not include setting time which shall not be more than 5 minutes.

• Maximum three accompanists are allowed who should be in different dress fromthe student participants so that they could be easily identified.

• They shall sit/stand separately from the participants and shall not lead the team.

• The team may present preferably those folk tunes which are recognized as folktune.

• For item Skit, use of makeup, drapery and background music is allowed.

• No personal remarks, aspersions, character assassination etc is allowed.

• Participating team should submit three copies of the synopsis of the same skit,along and general impression.

• Vulgarity or bitter insinuations in presentation should be avoided. Only innocentsatire or humour is expected.
