1. GENERAL REQUIREMENTS
1.1 INTRODUCTION
This guide is intended to assist Degree students in the preparation of their final
year project report. It is only focused on report format and some writing conventions.
The faculty welcomes queries from students on matters of report format specification.
1.2 LANGUAGE
The report should be written in Standard English. There should be a consistency in the use of the language throughout the report. The Roman alphabet should not be used unless otherwise required by the faculty.
1.3 SUBMISSION OF REPORT
Candidates intending to submit their report should comply with the following procedure:
i. A candidate shall hand in the report on time or before the due date to avoid any action taken.
ii. Student should hand in the draft report to their supervisor two weeks before the
due date. It is advisable to submit a draft copy of the report before submitting
the two final copies. This is to ensure that the proper format is followed before
the report is sent to the Department.
iii. Candidates shall submit to the Department two (2) copies of their final year report.

1.4 TECHNICAL SPECIFICATION
Typing should be done on word processor and printed on a letter quality or a laser printing. Candidates are advised to send a draft report for checking to avoid costly errors and delays.
1.4.1 Typeface and Font Size
The entire text of the report, including headings and page numbers must be using
the same font or typeface. The font size should be 12-point and should not be scripted or
italicized except for scientific names and terms in a different language. Bold print may
be used for headings. Footnotes and text in tables should not be less than 8 point.
Appropriate font for the report is Times New Roman.
1.4.2 Margins
The left margin should be 35 mm and the right; top and bottom margins are 25
mm. Margin specifications are meant to facilitate binding and trimming. All information
(text headings, footnotes and figures) including page numbers must be within the text
area. All texts should be justified.
1.4.3 Spacing
The report should be typed 1.5 spaced and one space between paragraphs and sections. The following however should be single-spaced:
i. Explanatory footnotes (if absolutely necessary);
ii. Quotations longer than three lines set in a block;
iii. Reference (except between entries);
iv. Multi-line captions (tables, figures);
v. Appendices, such as questionnaires, letters and;
vi. Headings or subheadings.

1.4.4 Pagination
All pages should be numbered at the right corner at the bottom margin. Only the original word-processed copy of a report or its good and clean photocopies will be accepted.
1.4.5 Paper
White paper (80g) or paper of equivalent quality should be used. Paper should be of A4 size (210 mm x 297 mm).
1.4.6 Binding
When the report has been completed and all necessary signatures obtained, the candidate should seek the service of a reliable binder. All copies should be checked carefully to ensure that all pages are in correct order.
The report should be bounded with hard cover. The standard color is Dark Green (Code : 2633). The binding should be lettered in gold block font from the head to the foot of the report spine, using 20-points fonts:
1. Title of report
2. Name of candidates
3. Program and course;
4. TATI University College (Refer to Appendix A)
1.4.7 Page Layout
The text should be written in Portrait layout. Landscape layout may be used
for Figures and Tables if necessary.

1.4.8 Units of Measure
Use internationally recognized units of measure, preferably SI, such as:
1 Ampere (1A)
1 kilo Ohms (1 k)
24 Volts (24 V)
470 micro Farads (470 F)
25 Watts (25 W)
5 bar (5 bar)
The numbers before the measurement units should not be spelt out, e.g. such as 5kg, not five kg even if they are below 10 (see section 3.2), unless they are the first word of sentence.
1.4.9 Numbers
All integers less than ten should be spelt out unless they are attached to units of
measure (e.g 5 kg, 10 ml). Use figures for numbers 10 or more than 10. If a sentence
begins with a number, write the number in words, e.g. “Three hundred and eighty-five
farmers were sample from the study area.”
Use numerals for a series of figures, for example:
i. In the room there were 4 chairs, 12 boxes, 13 books, 10 files, 9 umbrellas and 8 pairs of shoes.
ii. The number of taxi permits issued during, the past five years was 8, 52, 27, 38 and 90.
1.4.10 Elliptical Mark
Writers use the ellipsis mark to show an omission from quoted material. The ellipsis consists of three-spaced full stops (…). When an ellipsis follows a sentence, it

appears as for full stops (….). One full stop marks the end of the sentence and the other three signal the omission. For example:
Khatijah (1985:4) wrote about the conference:
The conference at Kuala Lumpur … agreed that the world educational crisis sketched in the document was real ….
1.4.11 Policy and Direct Quotations
Direct quotations must be minimized except in some fields such as literature (e.g. Quotations from Shakespeare).

2. FORMAT OF REPORT
A report generally consists of three main parts: the preliminary pages, the text or
main body, usually divided into chapters and sections; and the ending pages. The
preliminary part includes the title page, dedication, abstracts, acknowledgements,
approval sheets, declaration, and table of contents, list of tables, figures and
abbreviations. The ending pages consist of bibliography or references and appendices.
The following is an example of how various pages in a report, from preliminary to ending pages.
The contents of the report must be arranged according to the following:

2.1 TITLE PAGE
This page should include the following (see Appendix B):
i. Full title of report (in uppercase);
ii. Full name of author and Matric Number(in uppercase);
iii. Program /course; and
iv. Name of institution
v. Session.
The title should describe the content of the report accurately and concisely, normally
omitting words such as “An Investigation”, “An Analysis” or “ A Study” which are
redundant, all theses are investigations, analyses, studies of one kind or another. It
should be typed single-spaced.
2.2 ABSTRACT
The abstract is a digest of the entire report and should be given the same careful
attention as the main text. Reference to literature is not normally made in the abstract.
Abstract should not normally exceed one (1) page. It includes a brief statement of the
problem; a concise description of the research method and design; summary of major
findings, including the significance of lack of it; and conclusions.
2.3 ACKNOWLEDGEMENTS
Acknowledgements usually contain written expressions of appreciation for guidance and assistance from individuals and institutions.

2.4 DECLARATION FORM
The declaration form should be written as follows:-
“We hereby declare that all the materials presented in this report is our own and has not copied from any materials without reference.”

2.5 TABLE OF CONTENTS
The table of contents should be listed in sequence, with corresponding page numbers, all relevant subdivisions of the report (See Appendix E).
2.6 TEXT OF REPORT
The body of a report normally consists of the following sections. These can either be organized as separate chapters or be included as subheadings in a chapter or various chapters.
Introductions: The introductory chapter introduces the problem and indicates its importance validity. It states the background of the project as well as the objective.
Literature Review: It is a critical review of literature related to the topic of the report.
It must consist of citations of the same work done by other researchers. It is a
discussion of the theoretical part of the project being done, the expected outcome and
the application of the project commercially.

Methodology: This chapter or section describes the methods and techniques used. It may also contain validation of methods used.
Results and Discussion: This chapter or section presents a complete account of results and analyses of the study in the form of figures, tables or text. Basically, it is the outcome/finding of the project.
It discussed the results of the study in relation to the hypotheses. It highlights the main
findings, their significance and implications. Conclusion and recommendations may be
presented here or under a separate chapter. A separate chapter for Discussion may be
necessary to give an overall discussion of the findings leading to a conclusion.
Conclusion: Summary highlights the findings of the study upon which a conclusion is drawn in line with the objectives set. Benefit and justification from the finding and suggestion on improving the project should be included.
Minimum pages for the report are 50 pages excluding references and appendices. Report submitted less than the 40 pages would be automatically rejected.
2.6.2 Tables
Tables are numbered consecutively with Arabic numerals throughout the report (including text and appendices). The format of numbering schemes are:
Number them by chapter, e.g. Table 1.1, 1.2, 1.3, 2.1, 2.2 and so on.
Tables should be placed after their first mention in the text or placed at the end of
each chapter. Table number, title and caption are typed single-spaced and placed above
the table (See Appendix K). There should be a consistency in the style used. Table
sources and notes should be placed directly below the caption. Vertical lines are
permitted.

2.6.3 Figures
Figures are include maps, charts, graphs, diagrams, photographs, engineering drawings and printed images. Each of these categories is numbered consecutively or according to the chapter throughout the report, including those in appendices.
The figure number, title and caption should be typed single-spaced and placed
below the figure using Arabic numeral and lowercase, except for proper nouns and first
letters of principal words (See Appendix J). Figures should be inserted after their first
mention in the text or at the end of each chapter. Two types of placement for Tables and
Figures are recommended:
i. Tables and Figures are inserted immediately after they are mentioned in the text; or
ii. Tables and Figures are arranged at the end of a chapter in the following sequence: Text, Tables and Figures.
2.6.4 Chapter Layout
A chapter may be divided into Major Sections and Subsections. Major section
and subsection of a chapter may be identified by numbers. Major section is numbered
first level (e.g. 1, 2, 3) and subsection is level numbered (e.g. 1.1, 1.1.1, 1.2.3). This
should be consistent throughout the report and to be limited to 4 levels only.
2.6.5 Equations
All equations, mathematical and/or chemical are considered as text and numbered according to the chapter. Detailed derivation if suitable shall be placed in the appendix.
Equations are numbered consecutively according to the chapter. The format of equation schemes are:

2.6.6 Footnotes
Footnotes should be used sparingly in a report regardless of field of study. They
should be used only to clarify a certain term, to state conversion factors or exchange
rates and not to cite authority for specific statements or research findings. Citations of
authority are done in the text as described in the following section. Extensive footnoting
tends to distract the reader from the main argument of the text. If footnotes are
necessary, the indicators (the main reference numbers in the text) are usually superscript
(e.g. 1,2,3). The numbering of footnotes should begin with 1 and must be continuous
within each chapter or appendix, and not throughout the whole text.
2.6.7 References
Reference is a term taken to mean a list of works cited. Samples of commonly used reference styles are given in Appendix L.
Format of writing bibliography are as follows:
(i) Western Name
E.g.

(ii) Malay Name
Use the author’s name:
E.g.

Start with the surname followed by the author’s name. The surname for the
Chinese name is the first name. E.g.

Use surname or author’s name if there is no surname.
E.g. (Using Surname):

2.6.9 Appendices
An appendix or appendices, if any, are placed after the reference list. Details
of the appendices are listed by typing in the Table of Contents. Appendices include
original data, summary, side-line or preliminary tests, tabulations, tables that contain
data of lesser importance, very lengthy quotations, supporting decisions, forms and
documents, computer printouts, detailed engineering drawings and other pertinent
documents. Appendix materials should be grouped by type e.g. Appendix A:
Questionnaire, Appendix B: Original Data, Appendix C: Result Tables, Appendix D:
Data Sheet.
2.6.10 Header and Footer
The used of Header and Footer is not allowed.

Appendix F: Abstract
ABSTRACT

The design of an optical transceiver (transmitter and receiver) system to send audio signal using the
amplitude modulation method is described. He audio signal that having frequency of 300 – 3000Hz, is
modulated with 100kHz carrier frequency. The modulation is achieved by using transistor 2n3904, as JUSTIFYthe main component in the modulation circuit. The demodulation at the receiver is performed by using
a Schottky diode, as the main component in the demodulation circuit. The system integrates the
concepts of amplitude modulation, analog communication system and optical devices.

Appendix M: Sample of Equation
The standard depth of penetration, ( ) has been defined as the depth at which
the Eddy current density is about 37 % of the copper block thickness. The calculation
of copper block frequency as in Eq. (2.2)

Where, π is 3.14, is test frequency (Hz) for two different calibration block
thickness and μ is magnetic permeability (1.25664 x 10 H/mm). Thus, the
conductivity, σ (% IACS) can be calculated from the average value of the four sides
(A to D) and is illustrated in Table 2.4.
