Booth Set Up Exhibitor contracted demo booth space is raw space. Exhibitor is responsible for providing all booth items

including but not limited to, tent or canopy, flooring, chairs, tables, and electricity (via generator). Please refer to

the vendor listing in this kit to place orders for the above-mentioned items.

Due to the weather (heavy wind), please secure your tent or canopy with weights or stakes. If your booth is in

the sand you can stake down your tent, but if you are located on concrete or elsewhere you must use weights

(sand, water, etc).

Directions The demo is located at Chatfield State Park, Swim Beach in Littleton, CO. Please click here for electronic

directions. Chatfield State Park is about a 40 min drive from The Colorado Convention Center.

Electrical If you require electrical in your booth, you will need to order a generator through Sunbelt Rentals. They will

reserve a generator for you over the phone, but you will need to visit their store (here) when you arrive to pay

via credit card. Deliveries to / from the demo is $200. Reference the Sunbelt Rentals Order Information form

within this kit for steps to placing your order.

Exhibitor Parking Exhibitor parking will be available onsite, in the Swim Beach parking lot. If you have a rig, trailer or vehicle larger than a sprinter van please refer to the Rig / Trailer Parking portion of this kit for additional information.

Rules:

• No vehicles are allowed in the demo area or unloading area after 8:15 a.m. on demo day. All vehicles must be parked in the parking lot after this time, until move out begins.

Food & Beverage Food trucks will be located in the Swim Beach parking lot of the Demo Experience, selling drinks and food during

the event. Exhibitors are permitted to bring in their own food, however if you plan to do any cooking or food prep

inside of your booth space, please refer to the Food Safety Guidelines sheet within this kit for instructions.

Beer and hard cider are permitted inside of your booth space. NO GLASS CONTAINERS ALLOWED. Hard

alcohol is not permitted without Show Management approval. Holding or drinking alcoholic beverages on

product being tested (watercraft, bike, etc) by exhibitors and attendees is STRICTLY PROHIBITED. Law

enforcement will be onsite to monitor and enforce but exhibitors are also responsible for enforcing with their

booth staff and attendees using their product.

THE SHIPPING LABELS WITHIN THIS MANUAL TO ENSURE THAT YOUR FREIGHT IS DELIVERED TO

DEMO EXPERIENCE.* Be sure to list your Demo Experience booth number on your freight.

Move-In /Move-Out Move-In will begin at 9:00p.m. on Sunday, June 16, once the park is cleared of day use individuals.

Move-Out will begin at 4:01p.m. on Monday, June 17, and continue until 8:00 p.m.

• Rigs/Trailers – If you have a rig/trailer, please fill out the form within this kit to coordinate move in / out.

• Unload Quickly – Please unload your freight quickly, move your vehicles to an available parking spot and

then return to set up your booth. We need vehicles removed as quickly as possible from the demo area to

facilitate move-in for all exhibitors.

• Freight – Mark your freight clearly for the demo. Use the attached shipping labels or clearly indicate that your

shipment is for the Demo and not the Convention Center. Please put your Demo booth number on your

freight.

• It is windy and hot! Please secure your items, wear sunscreen and bring a large quantity of water.

Insurance Outdoor Retailer does not provide any type of insurance coverage for the property and/or personnel of exhibiting

companies (see Booth Space Contract item #9). Exhibitors must maintain insurance that meets the requirements

outlined in this manual and on your booth space contract, and send proof to Outdoor Retailer prior to the show.

Promotional Distribution & Use of Common Spaces Distribution of any printed materials, samples or other articles shall be restricted to the confines of the exhibitor’s

own exhibit space. Signs or advertising devices shall not be displayed outside of each exhibitor’s own space.

Strolling entertainment or moving advertisements outside of the exhibit space is strictly prohibited. If you have

any questions or would like information on outside advertising, please contact Show Management.

Rig / Trailer Parking If you have a rig, trailer or any vehicle larger than a sprinter van, please fill out the Rig / Trailer Parking Form

within this kit and return to Kirsten Khoury ([email protected]) before the show. If you do not fill

this form out, parking will not be guaranteed onsite or overnight during the event.

Registration All exhibitors and attendees attending the Demo Experience will be required to sign a waiver and wear a

wristband throughout the event. Please make sure to pick up your exhibitor badges before the show at

registration in either The Colorado Convention Center or the registration tent at the Demo Experience.

Restrooms Permanent restrooms are available within the event area, right off the Swim Beach.

Safety Rules and Regulations

All watercraft being tested during the event is REQUIRED to have a life vest or preserver on board. Those using

the watercraft do not need to wear it, but it must be present in case of emergency. Exhibitors are responsible for

providing life vests or preservers for each of their watercraft products.

Note: No alcoholic beverages are permitted on the water. Any exhibitor or attendee found inebriated or

drinking while on or operating a watercraft will be removed from the water. Law enforcement and park rangers

will be onsite to monitor and enforce, but exhibitors are also responsible for enforcing with their booth staff and

attendees using their products.

Security As the Demo Experience is held outside in the elements, extra care must be taken to secure your product.

Show Management makes every effort to provide protection for exhibitors’ merchandise and displays. Show

Management will provide perimeter guard service on a 24-hour basis to include move-in, show day and move-

out. While Show Management will implement security measures to safeguard your property, neither Show

Management, Chatfield State Park, security contractor, decorator, nor any of their officers, agents or

employees assumes any responsibility for such property, loss or theft. Each exhibitor is responsible for their

own products. Please make sure that all items are locked up and secured overnight. To order additional booth

security, such as an overnight security guard, see the security page within this manual.

Selling

The at-show sale of exhibit product or samples by cash, check or credit card is prohibited. This in no way

interferes or prohibits the placing of orders by retailers.

Sound Exhibitors must regulate the level of sound in their booths so as not to inhibit the ability of neighboring exhibitors

to do business within their booth space. Show Management reserves the right to request sound adjustments or

removal if it interferes with the event and ability for exhibitors to do business.

Transportation There will be FREE shuttle service to and from the Demo Experience. Exhibitors are encouraged to take the

shuttle if it accommodates his or her schedule. If not, exhibitors are encouraged to carpool to the event to help

minimize car traffic.

Trash Show Management will provide 2 dumpsters onsite for exhibitor use. From move-in through move-out exhibitors

are responsible for disposing of their own trash. During event hours, Show Management will provide trash cans

in booth aisles for use of small trash. Do not put large boxes or items in these cans, please take your items to

the dumpsters. Any boxes or items left behind after move-out will be deemed trash and thrown away.

Outdoor Retailer Show Management makes every effort to provide protection for exhibitors’ merchandise and

displays. Show Management will provide 24-hour perimeter guard service the night before the demo. While

Show Management will implement security measures to safeguard your property, neither Show Management,

Chatfield State Park, security contractor, decorator, nor any of their officers, agents or employees assumes any

responsibility for such property, loss or theft.

As the Demo Experience is held outside in the elements, extra care must be taken to secure your

product. Please make sure that all items are locked up and secured overnight.

We will be supplying retailers and media with “Demo Equipment” tickets to help exhibitors manage their check

out/in process for products being demoed.

Each exhibitor is responsible for implementing their own check-out system. This allows you the flexibility to loan

products to whomever you want, whether retailer, press or industry affiliate. It also allows you to take the

appropriate collateral from attendees, based on the value of your product. DO NOT TAKE BADGES AS

COLLATERAL!

Outdoor Retailer’s recommendations for securing product at the demo are as follows:

• Use the “Demo Equipment” tickets to ensure you have the customers information.

• Check their ID to ensure that the person checking out the product matches the information on the

badge/ticket.

• For extra security, we recommend taking collateral, i.e. ID’s, credit cards, etc.

• For individuals you want to demo product to that do not have tickets, we recommend using the “product

release form” on the adjacent page to gather the individual’s information.

Tips to Help Protect Your Product and Booth

• Monitor your booth during set-up.

• Hire a security guard to watch your booth overnight by filling out the form within this kit.

• Do not list the contents on the outside of your shipping crates/boxes. Use a code to indicate contents.

• Lock your items up and store out of reach.

• Do not leave valuable exhibit materials or proprietary information under tables or behind displays when the

demo is closed or your booth is unattended. Once the demo has closed, do not leave your display unattended.

• Have a staff member present until all of our booth is packed up.

• Always staff your booth during demo hours. Staff your booth until your product and the demo area

are cleared out during move-out.

Exhibitors must maintain insurance that meets the requirements below and provide proof to the Demo prior to the show.

You must submit your required insurance documents. Email a copy of your insurance to Kirsten Khoury at

[email protected] . Be sure the name of the attachment reflects the name of the insured exhibiting

company.

Property Insurance – Contact your insurance broker or carrier to obtain a policy to cover the value of your booth,

equipment, product and supplies. If you already have property insurance, confirm that it will extend to your property

during shipping and at the show. Many insurance policies only cover property at a listed location or within 1000 feet of

that location. If you use an independent contractor for installation or dismantling, review the agreement carefully to

determine what insurance may be available if damage occurs as a result of their negligence.

Comprehensive General Liability Insurance – Confirm that you have adequate coverage to protect your interests from

potential claims arising from the injury to a person other than an employee at your booth.

Workers Compensation Insurance – Exhibiting companies must have a Workers Compensation policy as required by

law to insure your employees in the event of a work-related injury.

Automobile Liability Insurance – Confirm that an automobile liability policy is in place for any company owned vehicles

used in connection with the show. Confirm that insurance is provided for any non-owned and/or hired vehicles used in

connection with the show, including utility vehicles for loading and unloading.

Reporting – In the event of damage or loss of property, or an accident or injury, it is your responsibility to contact your

insurance broker or carrier immediately.

Insurance Requirements – As stated in your Exhibitor Space Contract, an exhibitor shall, at their own expense, secure

and maintain through the term of this contract, including move-in and move-out days, the insurance listed below. All such

insurance shall be primary of any other valid and collectible insurance of the exhibitor and shall be written on an

occurrence basis. Claims made policies are not acceptable and do not constitute compliance with exhibitor’s obligations

under this paragraph.

• Required: Workers’ Compensation insurance, unless you are the sole proprietor. Sole proprietor is a business

entity that is owned and run by one individual. If you have even one other person in the booth working with you,

you will need workers compensation coverage.

• Required: Comprehensive General Liability insurance with limits not less than $1,000,000 each occurrence,

$2,000,000 aggregate, combined single limit for bodily injury and property damage, including coverage for

personal injury, contractual, and operation of mobile equipment, products and liquor liability (if applicable);

• Required: Automobile Liability insurance with limits not less than $500,000 each occurrence combined single

limit for bodily injury and property damage, including coverage for owned, non-owned and hired vehicles,

including loading and unloading operators. Auto coverage is only required if there is a vehicle in your booth or if

you are using a designated loading/unloading area i.e. POV area.

Comprehensive general liability and automobile liability insurance policies shall name as additional insured Emerald

Expositions and each of its subsidiaries. If requested, copies of additional insured endorsements, primary coverage

endorsements and complete copies of policies satisfactory to Emerald Expositions, shall be furnished to Emerald

Expositions sixty (60) days before the first day of the Event. Certified copies of the Certificates of Insurance or policies

shall provide that they may not be cancelled without 30 days advance written notice to Emerald Expositions.

Exhibitor Insurance Program

EXHIBITOR GENERAL LIABILITY INSURANCE (REQUIRED)

Emerald Expositions requires that all exhibitors carry Commercial General Liability with minimum limits of $1,000,000 per occurrence, $5,000,000 aggregate. Emerald Expositions and the Venue shall be named as Additional Insured. The insurance will be in force during the lease dates of the event/show. If you wish to combine coverage for both the demo and the building in your COI; please include the demo dates in your coverage (i.e.: 8/1-8/7).

• Provides exhibitors who do not have Commercial General Liability Insurance or who do not want to use corporate insurance.

• Protects foreign exhibitors whose insurance will not pay claims brought in the U.S. Courts

• Cost is $65.00 USD per exhibiting company – regardless of booth size.

Each booth staff member attending the Demo Experience will need to be registered for a badge. Outdoor Retailer WILL NOT mail badges before the show. Register before you get to the show to make badge pick up quick and easy. When picking up a badge, each booth staff member will be required to sign a waiver form. Wristbands will be handed out during this process, and are required to be worn through the duration of the event. To pre-register for your staff badges click here.

Once you register you will receive an email confirmation. We will be able to scan the confirmation on your

Smartphone onsite. But if you would rather, we strongly recommend you print your confirmation email with

barcode BEFORE leaving for the show to help expedite the process.

Food Safety Guidelinesfor Temporary Events

PreparationUse a simple menu. Use a simple menu; they are safer and easier to prepare. Only use food from approved sources. Food must be prepared and stored in a commercial commissary kitchen.

Cool all foods at the commissary. Foods cooked at the commissary and then cooled must be rapidly cooled from 135ºF to 70ºF within 2 hours, then to 41ºF within an additional 4 hours. Food prepared at room temperature must be cooled to 41ºF within 4 hours in a 2-4”deep container uncovered in refrigeration; in an ice bath (stirring often), in an ice bath with an ice paddle; or in refrigeration.

Pre-wash all produce. All produce must be washed at an approvedcommissary in a food prep sink or be received pre-washed (i.e., lemons forlemonade, potatoes for fries, or apples for caramel apples).

Keep foods cold during transport. Cold foods must be transported andheld in approved units capable of maintaining foods at less than 41ºF. Onlysmooth, easily cleanable, non-absorbent ice coolers or approved food-gradecontainers may be used for the storage of food, ice or drinks. Containers orcoolers made from Styrofoam may not be used.

Store all food, utensils and equipment away from contamination. Food, utensils, equipment, and single-use items must be protected from dust, insects, customers, and other contamination while being transported,stored, used and/or served.

Clean UpUse sanitizer solution. Wiping cloths must be used with sanitizer solutionand must be stored in the sanitizer between uses. Test kits must be providedand used. Sanitizer concentration requirements are as follows: Chlorine(bleach): 50-200 ppm / Quaternary ammonium: 200 ppm or as per label.

Do not wash dishes on-site. On-site washing in tubs/basins or3-compartment sinks is not allowed. Extra serving utensils must be providedso that soiled utensils can be changed every four (4) hours.

Store and dispose of wastewater properly. All liquid waste, except drainage from clean potable ice, must be stored in a properly sized retention tank and be discharged into an approved wastewater disposal system.

Collect and dispose of garbage properly. Any solid waste, such as fooddebris or waste paper, must be collected and disposed of at an approvedcommercial establishment. A clean trash receptacle must be provided in thefood booth.

Food ServiceCheck cooking temperatures. Use a digital food thermometer to checkcooking temperatures. Measure the temperature in the thickest part of the food. Cook hamburgers and ground beef to at least 155ºF, chicken or other poultry to 165ºF and pork to 145ºF. After the food is cooked, it must be kept hot at 135ºF or more until it is served. If you’re serving potentially hazardous foods you must have an accurate, probe-type, digital food thermometer onsite at all times during the event.

Reheat to165ºF. Any foods being reheated must reach 165ºF within 30minutes. Do not attempt to reheat any food in a crock-pot, chafing dish, or other hot-holding device; they take too long to reheat food, giving bacteria a chance to grow.

Keep cool foods at 41ºF or less. Cold perishable foods must be kept at 41ºF or less at all times.

Wash hands in running water. Handwashing facilities with running potable water, liquid soap and paper towels must be provided. You may use a portable water source that allows both hands to be placed in a stream of water simultaneously, such as a container with a pullout waterspout or a Cambro-type container and a catch basin for the dirty water.

Use disposable gloves, tongs, napkins or other tools to handle food. Keep food covered at all times to protect it from insects, dust, etc. Condiments must be served from pre-approved covered containers. Animals are not allowed inside the booth.

Send sick workers home. Only healthy workers may prepare food. Anyone showing signs of illness, such as coughing, sneezing, diarrhea, vomiting, fever, etc. is not allowed in the booth. Workers must wear clean clothes. No smoking is allowed in the booth.

Use potable water only. Potable water must be available and used. A foodgrade hose must be used when connecting to a potable water supply.

Rental Policies & Procedures

Event Rents is here to serve you. We will do our best to make your event a success. Call one of our event specialists today to plan your next special event.

Rental Rates are based on a one day period. For extended periods of use, special arrangements can be made. Equipment returned after the due date will be charged the daily rate until the equipment is returned. All charges are for time out, not time used.

Payment of all fees should be made prior to the rental period. Deposits are required in advance to reserve equipment. Credit will be extended to pre-approved accounts only.

Reservations should be made in advance to ensure the availability of equipment. Reservations make it possible for us to have your order checked, packaged and ready for delivery or pickup.

Delivery service is available throughout Colorado. Delivery charges are based on distance traveled, labor and zip code.

Delivery quotes are available upon request. Quotes are for first floor deliveries, to your door, dock or easily accessible areas. For deliveries to any other areas, there will be an additional charge.

Delivery quotes do not include setup or breakdown. This service is also available for an additional charge.

Our counts on all items must be accepted unless we are notified IMMEDIATELY. Please notify us at once if you receive any broken or damaged equipment.

Pickup: All china, silver, glassware, utensils, etc. should be rinsed food free and re-packaged in transport containers prior to pickup. A charge will be assessed for all transport containers damaged or not returned.

All breakage and loss charges are in addition to rental fees. China, glassware, etc., will be considered broken if returned chipped.

If the equipment is not available for pickup at the agreed upon pickup time, additional charges may be incurred.

Holiday and after hour pickups are available for an additional charge. This must be arranged prior to delivery.

Cancellations and Changes: Please give us at least 48 hours notice for cancellations or changes to orders. We will make additions to your order if possible. A cancellation fee may be assessed on high demand or seasonal items.

For those exhibitors who are participating in the Demo Experience at Chatfield State Park, Freeman is offering the following complete material handling services at the advance warehouse:

• Receive and store your freight beginning MAY 15, 2019• Deliver your freight to Littleton, Colorado

These services include receiving your crated, skidded or boxed materials at the advance warehouse, delivering those materials to your space at the Demo Experience, removing empty cartons or skids, and loading your materials on your designated carrier at Chatfield State Park - Swim Beach.

Freeman can also return materials to your booth space at the Colorado Convention Center, with those charges appearing on your invoice. Please note that Freeman will not receive any uncrated materials for the Demo Experience at the advance warehouse, and no inbound freight services will be offered at the park.

For your convenience, we have enclosed a special Demo Experience shipping label. Please do not combine your booth shipments for the Colorado Convention Center with your shipment for the Demo Experience event as additional charges may be incurred to separate the shipments. Freeman will assume no responsibility for materials not shipped or marked properly leading to missing or wrong materials at the Demo Experience. Material handling charges will be applied to your booth space at the Colorado Convention Center.

All freight must arrive at the warehouse by JUNE 7, 2019. Freight received after the deadline will incur a late to warehouse charge.
