What is APSEDii?

APSEDii stands for ‘Australian Public Service Employment Database internet interface’. The latest interface is an interactive dashboard style presentation of workforce characteristics of the Australian Public Service.

Where does the data come from?

The main data source is the APS Employment Database (APSED) which contains data provided by Agencies from their Human Resources (HR) systems to the Australian Public Service Commission (the Commission) on employee movements such as engagements, promotions and separations. From time to time data from sources other than APSED may be added to the dashboard.

The APSED data component of the dashboard only relates to employees covered by the Public Service Act 1999 (the PS Act). Employees in Commonwealth-owned companies, statutory authorities, the Australian Defence Force and government business enterprises who are not employed under the PS Act are not included. State and local government employees are also not included.

Are there any specific requirements for using the dashboard?

The only requirement is a computer and an up-to-date web browser.Minimum browser requirements are: Microsoft Internet Explorer 9 or later, Google Chrome version 15 or later, Firefox version 6 or later. Future versions of the dashboard will be configured to run on Android and Apple tablets.

How do I use the dashboard?

The dashboard opens with a series of tabs across the top (Figure 1). Click on tabs to open a page of the report.

Click on a tab to view the selected workforce information page. For example clicking on the 'Workforce profile’ tab opens the page in Figure 2.

All pages of the dashboard report work best when viewed in full-screen mode – use your browser toolbar to enable full-screen mode. For example in Microsoft Internet Explorer, when the browser is not full-screen you can click on the small rectangular icon in the top right-hand corner to enable full-screen mode (Figure 3).

What are the dashboard’s interactive features?

The current dashboard has several interactive features which assist in reviewing the data:

drop-down filters floating the mouse pointer over chart objects to view extra details click on column titles in a table to sort the data more interactive features such as data drill-down coming in future releases

Drop-down filtersDrop-down filters are mostly displayed along the top of the report page. After you have finished using a drop down filter you should select the ‘Clear filter’ option to ensure that the filter doesn’t interfere with subsequent data interpretation (see Figure 4).

If tick boxes have been selected to filter data it is important to clear a selection after use - see Figure 5.

Mouse floatFloating the mouse pointer over chart objects can reveal additional information; for example Figure 6 shows the result of floating the mouse pointer over the bar shows head count.

Click on column titles to sort dataRight clicking in most column titles will open a menu to allow sorting (Figure 7)

Some items on the dashboard have buttons underneath – what are these?

Buttons below a dashboard object will typically display another object such as a chart or table in place of the initial object. Figure 8 shows a bar chart with buttons that display a table underneath.

Sometimes I get a login screen when the application has timed out, what should I do?

If the dashboard remains inactive for a long time you may see a screen that looks like Figure 10.

If you attempt to use the ‘Return to Application’ button to get back to the dashboard you will get a logon screen (see Figure 11)

Unless you are an authorised agency user with a requested logon you will not be able to logon using this screen (see ‘How can I get a logon’ below).To get back to the dashboard use the dashboard link on the APSED page

How can I get a logon?

Only authorised agency users have permission to obtain a logon. Agency users are employees of an Australian Public Service agency whose agency submits data to APSED. The users must have permission to view unit record personnel data.To request a logon please email [email protected] You will need to state that you have permission from your supervisor to view unit record personnel data and supply your phone number and your supervisor’s phone number.

For example, a typical request would look like this:

Hi,This is a request for an agency logon to the APSEDii dashboard. I have permission to view unit record personnel data for my agency.

My phone number is: 12345678My supervisor’s name is: Anne BrownHer phone number is: 910111213

I understand that I must notify the APSEDii administrator by email at [email protected] if I move to another agency, change jobs, or if for any other reason I am no longer permitted to view unit record personnel data.
