Abstract:
A concise brochure providing an overview of the research carried out in the framework of the MSCA
EASITrain network, including the scope, goals and valorisation potentials. It will serve to share the
final results via a suitable e-publishing service to stakeholders and through a set of different
communication channels (social media campaign, newsletters and communication offices of the
consortium members) with the public.

1. EASITRAIN INTERACTIVE BROCHURE
1.1. GENERAL DESCRIPTION
The interactive brochure website enables to browse through the ESRs’ profiles, presents the scope and
valorisation potential of their research as well as the adopted methodology in their research.
Furthermore it showcases the skills obtained through EASITrain along with the outreach activities in
which they are involved throughout the project.
It will be used to present the work carried out in the framework of EASITrain with stakeholders and
through different communication channels (social media campaign, newsletters, and communication
offices of the consortium members) with the public.
1.2. DEVELOPMENT OF THE INTERACTIVE BROCHURE WEBSITE: CONTEXT AND OBJECTIVES
The goal of the new website is to improve the employability of the students at the end of the project
and feature their skills along with a description of the project. For this purpose one main entry page
with a brief description of the project and the associated technologies will be displayed together with
15 subpages for each Early Stage Researcher. These pages will feature the ESRs work using media-
rich contents and provide the possibility for updating the content as the project evolves.
The CERN’s Web infrastructures and Drupal are the optimum tools allowing the EASITrain PO to
easily update contents on the students profile pages. The interactive brochure is based on new layout
graphic charter that is consisted with CERN’s design guidelines and EASITRAIN’s graphic guide.
Since CERN hosted websites will be migrated to Drupal 8, the new website will use the CERN Drupal
8 themes and modules, guaranteeing continuous maintenance and support while avoiding additional
website development efforts and costs.
The target audience of the requested website include (in order of expected usage):
- The general public
- Industry
- Students and educators
- The scientific community
1.3. REQUIREMENTS FOR THE NEW EASITRAIN INTERACTIVE BROCHURE WEBSITE
The new website has to:
1. Be fully built in Drupal 8 using the theme and components developed by CERN. The
possibility of update and maintenance by the EASITrain PO and CERN web development team has to
be guaranteed by all means.
2. Be easily navigable by the general public, thus developing an accessible and intuitive
navigation menu. The graphic design has to stimulate wonder and curiosity and quickly give an
overview of their work in the EASITrain project and the acquired skills.

3. Be appealing for the general public, industrial partners and job hunters. The EASITrain
interactive brochure shall serve networking purposes for the ESRs with future employers from the
academia and industry.
2. SCOPE OF THE PROJECT
Following a tendering process in accordance with CERN’s Procurement Rules, the company Res Telae
has been selected to work on the design and develop the EASITrain Interactive Brochure following
the specifications mentioned above and further indications provided by the CERN IT service, the
CERN web development team and the EASITrain PO.
In particular, the contractor will provide:
- Three alternative design layout proposals from which one will be selected by the PO and WP7
leader;
- The implementation of this design using CERN’s Drupal 8 theme;
- The individual webpages for each ESR should be easily shared through social media and especially
professional networking platforms (i.e. LinkedIn, a.o);
- User-friendly navigation;
- Technical documentation on how to maintain and further populate the website;
- Use of SEO tools to ensure to increase the reach and visibility of the website.
2.1. DELIVERABLES INCLUDED IN THE PROJECT
The company Res Telae will produce a complete and coherent set of:
1. Art Direction and Design:
- Propose a design compatible with CERN’s Drupal 8 theme.
- Branding: implement EASITrain logo and produce branding elements which will enhance the visual
identity of EASITrain and in accordance with the main EASITrain website.
2. Technical development of website:
- Implement the proposed design.
- Populate one ESR profile with content provided by the client.
- Iterate with the client to reach proper implementation and that all present and future needs are
satisfied with the use of Drupal 8 as Content Management System (CMS).
3. Guidance and maintenance:
- At the moment of delivery of the brochure, provide technical training and advice to guarantee that
the EASITrain PO and the FCC study office at CERN will be able to update and maintain the website.
- Produce documentation with guidelines for further population of the website.

2.2. DATA GATHERING AND ORGANIZATION
In light of EC’s General Data Protection Regulation (GDPR) and the establishment of CERN’s Office
for Data Privacy Protection (ODPP) a number of measures and a certain workflow had to be
implemented to ensure appropriate treatment of ESRs personal data in accordance with the
organizations policy for Data Protection.
The establishment and approval of these procedures required extra coordination effort (between the
EASITrain PO, WP7 leader, CERN’s Data Protection Officer, Departmental Administrative Officer)
and slightly delayed the collection of data from the ESRs to ensure the establishment of the proper
procedures.
The type of data collected to meet the goals of this project fall in two main categories:
-Data for each student bio, previous work and any outreach experiments in which they have engaged
during the project (including text and photos). Consent should be obtained by CERN beforehand.
-Web analytics, which can rely on the Matomo (formerly named Piwik) installation provided by
CERN. The latter can be configured so that data are anonymized, then they no longer are considered
as personal data. Please note that only CERN controls the configuration of its Matomo instance. In
either way, all data will remain on CERN's infrastructure.

A record of Processing Operations has been created for the purpose of developing this website and all information collected will be used to create a Privacy
Notice that will make available to Data Subjects, in a transparent and easily accessible manner, what personal information is processed, what information is stored
and for how long; as well as who has access to it, and if it is shared with others. Here below a table for that purpose:

2.3. RECOMMENDED IMPROVEMENTS
This exercise offered a useful lesson regarding the requirements for ensuring compliance with GDPR.
The authors believe that the importance of ensuring data protection and privacy and compliance with
GDPR should be highlighted early in the lifetime of future projects perhaps linked with centralized
processes that will ensure compliance with existing regulations while establishing a functional
workflow.
3. TECHNICAL REQUIREMENTS
The website has to be developed using one of the new CERN Drupal 8 themes, whose template cannot
be changed, and modules. More details about the CERN Drupal 8 theme are provided in the following
subsections.
3.1. DESIGN RECOMMENDATIONS
The design recommendations, taken into account by the contractor, follow EASITrain’s design chart
(see Deliverable 7.1):

The EASITrain logo and the current public website (www.easitrain.web.cern.ch) serve as basic
reference for the development of the interactive media brochure.
3.2. ITEMS AND SERVICES PROVIDED BY CERN
The website include the following sections:
1. 1 main entry page where all the ESRs profiles are visible and links to the main EASITrain
website. Further items can be added in the top menu bar with links to other relevant sites if needed.
2. 15 subpages to present each Early Stage Researcher using media-rich content (infographics,
photos, embedded videos).
The contractor collaborated with the CERN IT service and CERN’s web team (mainly for the technical
aspects), as well as the EASITrain PO and WP7 leader.
During the full duration of the contract, the contractor is required to provide a dedicated and stable
web design team. The contractor assigned a sufficient number of qualified personnel for the provision
of the supply and related services. The contractor (both the designer and the software developer)
worked remotely but a number of video conference meetings helped to coordinate the efforts from
both sides and tackle any issues related both to technical restrictions by CERN’s current IT
infrastructure (i.e. limiting the use of certain libraries and tools for the web developer) but also to
review the proposed design layouts.

CERN provided the infrastructure for hosting the website and answer some technical questions
(regarding the development of specific modules within CERN’s computing environment).
3.3. CERN PROVIDED TECHNICAL SUPPORT
CERN Drupal themes and web infrastructure which will be used to build the new public website
include many useful tool and functionalities. Moreover, the ENTICE project at CERN brings together
stakeholders from the CERN community to develop web content management, integration and
exploitation solutions that could help tackle future needs of the interactive brochure if needed.
3.4. DRUPAL 8 THEMES
CERN Drupal 8 themes have many useful properties and functionalities. Among other advantages:
- The themes support and follow the latest web design methods and technological trends;
- The themes are compatible with all web browsers and responsive;
- The themes are easy to install in any Drupal website by only copying and enabling them;
- The themes are kept up to date in order to be compatible with future versions of Drupal.
3.5. MODULES & CONTENT TYPES
All the modules used and proposed to be used will be at least in released candidate (RC) state or
official version must be supported by Drupal security advisor policy. The project uses the Drupal 8
modules provided by CERN. The contractor developed two different main content types for the
website – one for general topics and one for the students’ profiles. The content type for the ESRs
allows to include different information (through forms) that are nicely displayed in the ESR webpage
while it offers some room for editing the current layout and adding new fields in case there is such a
need in the future. The possibility of maintenance of the modules by the CERN web development team
and the EASItrain PO is guaranteed.
3.6. ROLES AND PERMISSIONS
A small set of roles with different permission levels for access has been identified despite original
considerations to assign a broader range of roles. It was finally decided that the EASITrain PO and
WP7 leader could collect, do the necessary editing and upload the provided information.
The two types of roles assigned are:
- Administrator with full permissions;
- Contributor, with the possibility to modify the subpages but with no rights to change the structure
3.7. COLLABORATION WITH CERN IT TEAM
During the full contract duration, the contractor must be in close contact with the CERN IT web team
and refer to them for technical matters related to the CERN Drupal 8 theme and the integration of the
website in the CERN domain.

One of the issues during the development of the website was the request to use drush commands for
the development of the Drupal website. The suggested solution from CERN’s IT was to install and
run a linux or Windows machine on Openstack and installing docker on this machine – through which
drush commands can be executed.
The WP7 leader had to run through the following documentation for the Openstack service to set up
the machine and give the right permissions to the web developer.

3.8. SECURITY AND PRIVACY BY DESIGN
The supply will provide a high level of security of the data, following CERN's privacy rules.
Privacy by design
The website shall host personal data. In consequence, it shall be designed and implemented following
the privacy by design principles.
Appropriate technical and organizational measures needed to ensure that the processing of personal
data is performed in accordance with Operational Circular no. 11 are to be taken.
Detailed records of the privacy considerations that have been taken into account in the conception and
design of the Processing operations will be provided.
Best security practices and industry standards for ensuring data confidentiality, integrity and system
availability must be followed.
Data and servers will be hosted on the CERN site.
The supply must provide different levels of authorisations for users. The website administrators
must be able to configure roles/rights for different level of users.
Record all CERN user activity.
Disaster Recovery & Business Continuity Plan, which complies with industry standards.

3.9. QUALITY ASSURANCE
The contractor will plan, establish, implement and adhere to a documented quality assurance
programme that fulfils all the requirements described in this technical specification. The contractor
will comply with professional and/or CERN’s standards/codes in matters of document editing, design
reviews and approval, naming conventions and tagging, quality assurance/control.
Following the delivery of the beta version of the website the PO delivered detailed feedback that will
be implemented in a second iterative step.
3.10. INTELLECTUAL PROPERTY
In accordance with the general conditions of CERN contracts all intellectual property generated by the
contractor in the performance of the contract will be vested exclusively in CERN and the EASITrain
ITN network.
4. CURRENT STATUS

A small number of corrective actions have been asked to the external supplier following the evaluation
of the beta version (see Section 3.11)
The required material to populate the pages have been collected and edited by the PO in collaboration
with WP7’s leader and currently we collect few remaining missing items or ask for clarifications to
the students. This procedure will be completed before the mid of November and we will then be able
to upload all the content on the website. In the meantime the period from now to mid of November
will serve for the training of the PO.
