Synod Day Director Checklist This is a checklist of the people and supplies that are needed in your ballroom. If anything is missing, contact your Property Manager. Please note: Any changes you have made to your worship or learning curriculum that involves additional supplies will not be included here. 9:00am – Arrival

Check in with Property Manager

Check Supplies You are Responsible for Bringing

! Laptop(s) ! PowerPoint for Learning Curriculum and Worship (Back up on a flash drive) ! Worship Binders/Script for leaders ! Instruments (if needed) ! Gathering Bible ! Cross (Synod’s choose if they want to provide a processional cross.)

Verify that all other supplies are in the ballroom

! Worship in a bucket ! Jesus Is Good News Boards are placed ! Butcher paper is placed ! Sound system and other requested equipment ! Screen(s) ! Material bags (Journals, Pens) ! Post-It Notes ! Chairs are set correctly ! Tattoo baggies are set ! Trash Cans

10:30 am – All Proclaim Story Synod Team Leaders Arrive

! Synod Team members ! Bishop/designee ! Assisting Ministers/Leaders ! Sacristans ! Communion Assistants ! Ushers ! Musicians (if applicable) ! Person to run PowerPoint ! Person to run Sound System (if needed) ! Persons directing participants to ballroom ! Others as each synod has designated

10:30 am – Complete the following

! Sacristans prepare sacristy • Set up for communion - bread, wine, grape juice, gluten free bread, Gathering communion ware for

altar; set all filled communion ware on sacristy tables • You have enough wine to use 1 bottle per 5 chalices. • Mark communion station locations with tape provided by the Property Manager • Confirm altar table is in place with parament on it • Confirm font is in place with water in it • Prep sacristy for cleanup of communion ware - empty bucket for wine/grape juice, Clorox wipe area,

paper towels. • Test drive computer and projector

11:00 am – Rehearsals

! Checking in • Take attendance and make sure everyone is present • Take time for brief introductions

! Divide up the worship leadership team, communion assistants and ushers for training.

! Worship Leadership • Practice the Confession & Forgiveness (Butcher paper process – do not tear butcher paper. ) • Run through the rest of the liturgy (readers, Great Thanksgiving, etc.)

o Clarify who is leading this rehearsal (Bishop? Worship Team Leader?)

! Ushers • Prepare Ushers for:

o hospitality as people enter, o distribution of materials (bags for every 50 participants (journal, pen), post-it notes o holding the “Jesus Is Good News” board for the Confession and Forgiveness o distribution for holy communion o distribution of tattoos

! Communion distribution • Communion Assistants are assigned stations

11:30 am – Sound Checks

! Computer Audio/Projection ! MCs ! Bishop/designee ! Assisting Ministers/Leaders ! Musicians

12:00 pm – People who directing traffic to the ballroom get in place. 12:15 PM - Get Ready!

! Synod Day Director lead entire group in prayer ! Band in place ! Sound and Computer staff in place ! Ushers in place near doors to welcome people and some ushers scattered in room with supplies

12:30 PM - Doors open

! People enter (if planned - small group icebreakers, activities) ! Ushers pass out materials ! Band or sound track plays ! Rachel Kurtz Opening Video (Holy Rollers) to be played at 12:55 pm if you choose.

1:00 PM - Kick-Off with Proclaim Story Curriculum and PowerPoint 4:00 pm – Clean-Up & Check-In

! Assigned clean-up team from the synod assists in cleaning up the ballroom and returning supplies to the storage room as directed by the Property Manager.

! Synod Day Director attends a check-in/debrief meeting with the Property Manager. ! Take all synod-specific materials and musical instruments with you
