Sinan KaraçamOkul şehir dışında olduğu için belki

İstanbul içindeki birkaç merkez noktasına kayıt noktaları

açtırırdım. Böylelikle kayıt sırasında veliler işlerinden pek de geri

kalmadan en azından 1-2 saatlik izin ile öğrencilerinin kayıt işlemini gerçekleştirebilirlerdi. Ayrıca okula gelmeden önce kayıt sürecinin nasıl geçtiğini gösteren bir video olabilir

Velilerin ve öğrencilerin kayıta getirecek belgeleri eksiksiz getirmesini sağlamak

amacıyla (kargo ulaşmıyor-telefonla okula ulaşamıyorlar) sırf kayıt dönemi adına call

center gibi bir sistem kurardım ve kayıtla ilgili her konunun danışılırdı ve öğrenciler

çalışabilirdi. Aynı zamanda ku.edu.tr den de girilen ama sadece kayıt için daha açıklayıcı

bilgilerin ve neler yapılması gerektiğinin yazıldığı ve soruların sorulabileceği forum veya

ekstra bilgi verilen web sitesi kurardım. Bu ikisini yayabildiğim kadar sosyal medyada

yayardım böylece mali problemlerden tutun kayıt belgelerindeki sağlık raporunun içeriğine kadar öğrencilerin ve velilerin kafasındaki tüm

sorular aydınlanmış olurdu.

Sistem yeterince iyi işledi ancak kimlik vermediler yani onca çalışmadan sonra gün sonunda üniversite öğrencisi gibi değildik.

Efe BegarKısa sürede bütün kayıt işlemlerini

tamamladım. Fakat bir konuda problem vardı: Ben TOEFL almıştım, o yüzden hazırlık atlamak istedim. ELC binasına git dediler, uzun bir süre orayı bulmak için uğraştım

kimse yardımcı olmadı. Gittiğimde de adımı ve sonucumu istediler ve

işleminiz halloldu dediler. Kayıt yaptırılan yerde böyle bir sistemin

olmaması kötüydü.

Özge TatarLokum vermek çok basit gibi

görünse de ben bunun öğrenciye özel hissettirdiğini düşünüyorum.

Koç T-shirtleri verilebilir kayıt sonrasında bu daha çok Koçlu

olmaya yönelik bir şey olurdu. Bir de çok basit sistemlerle

navigasyonumsu bir uygulama geliştirilerek öğrencinin A

noktasından B noktasına gitmesi, fakülteleri gezip tanıması ufak bir

makine aracılığıyla gerçekleştirilebilir.

Meeting with some of the newcomers

• After having the surveys, we identified some user types and met them to have interviews.

• These interviews are made at some place in the campus chosen by the newcomer student, so that we can understand their choice of space.

environment?Divan Sports Café- he was sitting in a relaxed position • What did this participants care about the most? What motivate him/her? The feeling of belonging to a community. environment?She was very relaxed, acted as if we knew each other before. • What did this participants care about the most? What motivate him/her? At her high school they used to be “TEDli” at Koc University this feeling came long time after the registration. • What frustrated him/her?Long lines and money business during the registration • What questions would you like to explore in your next conversation?What makes someone “Tedli” or “Koclu” or “somewhereli”?

Tell stories- Ezgi• Who did you meet?Sinan Karaçam, Erkan Avcı Anadolu Teknik Lisesi, İSTANBUL• What was the most memorable and surprising story?One of the student’s families unwittingly brook up the line and the other families started to kind of a fight.He had a good idea of having a separate registration offices in the central parts of İstanbul.• What was interesting about the way she/she interacted with his/her

environment?They were eager to help, they were a little bit shy. They wonder the details about project.• What did this participants care about the most? What motivate him/her? They cared mostly about the helpful and smiling student workers who broke the sniffy Koc University student image.• What frustrated him/her?Encountering with uninformed, careless workers who make the students lose time at the process. Also the library stuff who informed them more than necessary.

Since she has been there all day long as a working student, she has received many questions from the parents caused by their dominancy. • What was interesting about the way she/she interacted with his/her

environment?She likes surveys and she is used to being questioned therefore she was happy. • What did this participants care about the most? What motivate

him/her? Friendly environment full of students.• What frustrated him/her?Unnecessary questions.

Tell stories- Cem• Who did you meet?Özge Tatar, Çankaya Kırkkonaklar Anadolu Lisesi, Ankara• What was the most memorable and surprising story?She wanted to wait until the last day of registration because anytime she called the school they were very busy to answer the phones. • What was interesting about the way she/she interacted with his/her

environment?Even though she is not from İstanbul, she knows the city and is not nervous. (That might have helped her through the registration.) • What did this participants care about the most? What motivate him/her?Making people happy is important to her. (so wanted the university to give lokum or Koc T-shirts) • What questions would you like to explore in your next conversation?Please imagine that you could have one of these special powers: 1) Getting invisible 2) Having extreme speed 3) Copying yourself (having a duplicate). Which one of these three would you like to use during the registration process and when?

• What was the most memorable and surprising story?

He has followed the universtiy webpage systematically, so he was very ready for the process.

He was very happy to be at the campus.

Winning the ÖSS race and being able to study at Koc University is his motivation.

Running from one place to another during the registration.

Learnings from my partner/team

Cem:- Zeynep’s answer with the unicorn shows me that the newcomers

want something different and they are open to new ideas.

Ezgi: As Efe mentioned, entering the school makes him feel the

atmosphere. We can understand from these that people care about

the feeling of belonging.

Hazal: Sinan and Tutku had some very good

ideas such as call center and different

registration places. This puts pressure on us. We

have to have better ideas.

• A better call center • To shorten the duration: more printers& Yapıkredi mobile • To avoid misunderstandings- a shorter document about the

process to be sent to the families• In the old system families were not allowed to enter the

registration process area with their children. We should turn back to that system.

• There is not much to be changed about the process but we can add some fun.

• Newcomers want to complete their work and leave the campus.

Tell stories• Who did you meet?Gökçen Baruh - newcomer advising center manager• What was the most memorable and surprising story?During the registration process and even during the course registration process no students call her who is newcomer advising center manager but she always get calls from the parents. • What was interesting about the way she/she interacted with his/her environment?She was very confident, helpful, open to new ideas and enthusiastic about the project.• What did this participants care about the most? What motivate him/her? She thinks the registration process of Koc University is working good especially when we compare it with the state universities, but she also wants to hear a better way of the process if there is one. And she points out that the system can work better if the parents don’t take part at the registration process . She also considers that the students would like to share their excitement with their families, if it is the case we can create a space for the parents to spend their time outside the gym while students registering.. So it was the parents she cared most.• What frustrated him/her?Splitting her speech made her frustrated.• What questions would you like to explore in your next conversation? When you were a student at Koc, parents didn’t allowed to gym for the registration process. What would be the advantages and disadvantages of it?

• Students should have all of the documents ready to shorten the duration of the process.

• Families are causing most of the problem. They are trying to do the registration instead of their children.

• I wish everything could be done without even coming to the campus. With the recent system things work in the best way but it needs to be exiting and fun for the newcomers.

Tell stories• Who did you meet?Esra Edin - Associate Registrar• What was the most memorable and surprising story?The parents who tell their children to stand back and try to registar themselves.• What was interesting about the way she/she interacted with his/her environment?She didn’t even answer the phone calls and continue to reportage with me, she was very focused and very optimistic.• What did this participants care about the most? What motivate him/her? She mostly concerns about making the process simple and fast as much as possible.• What frustrated him/her?• What questions would you like to explore in your next conversation? If the registration process can be online and if they don’t need to come to the campus, do you think will it take less time in total for the students and families? (PS. Understanding the online system, scanning the documents, calling the university to make sure they did everything right…)

Some Ideas

• Amusing parents– Campus tour – Graduates table (so that parents can see examples

of the departments and what their children can do after graduating from Koc University)

– Stands for food and drinks (known brands or brands of graduates such as La Vie En Rose)

– A game (ex. Finding the buildings in the Koc University model)

Some Ideas

• Shortening the time– A system that requires no documents to be brought or

signed. (pre organized documents on internet)– A system where you can complete the registration by

having your national identity card with you in the campus and signing once. (while your parents sign the payment documents etc.)

– A call center that gives information about the registration process.

– Some registration point out of the campus in the city center. (Taksim Koc Building maybe?)

Some Ideas

• Feeling the membership of Koc University– Giving gift boxes to the newcomers – Maybe a card that makes discounts in famous

restaurants and shopping brands that is only given to the students of Koc University.

– Welcome week- parties made at the campus, costume balls in the campus, movie nights etc. Must be in the first week!
