  • 3. Procedures & Protocol For a large operation like UTP to run smoothly, tutors must follow protocol You will be trained on protocol NOW!
  • 4. Question: How is Tutoring Scheduled? Answer: TUTOR TRAC Heres how it works: 1. The student logs onto Tutor Trac and books an appointment 2. YOU and the student receive an email with appointment info 3. YOU email the student back within 24 hours telling them where to meet you (CLC)

  • 6. Appointment Booking Must be booked: More than 24 hours in advance Less than 7 days in advance For weekly appointments, contact UTP
  • 7. HOW TO GET PAID 1. E-time 2. Tutor Trac Status updates! You must mark attended or missed in tutor trac 3. Time Cards

  • 10. 3a. Time Cards - Individual OFFICIAL RECORD OF YOUR WORK YOU NEED a signature from every tutee, for every appointment Turn in to UTP office by every Friday at 3.00 P.M.
  • 11. 3b. Time Cards - Group OFFICIAL RECORD OF GROUP SESSIONS YOU WORKED. GROUP TUTORS YOU NEED: One time card per week A sign-in sheet for EACH shift you worked Example: if you worked 2 group shifts, you have 1 time card and 2 sign-in sheets
  • 12. How to NOT Get Paid You will NOT be paid if you do not complete all three procedures. 1. E-time 2. Status update on Tutor Trac: Attended/Missed 3. Time cards
  • 13. Tutoring Limits Maximum tutoring sessions for students: 90 minutes per subject, per week, in up to 3 subjects Maximum work hours for tutors 20-25* hours per week Tutoring Hour Options: MONDAY - FRIDAY 7am-9pm, SAT-SUN 9-5pm *This depends on your MISPO status and/or how many jobs you have*
  • 14. What If I Have to Change/Cancel an Appointment? To RESCHEDULE an appointment: Coordinate with the student for a new appointment Notify UTP of the change via email AND a note on your time card To CANCEL an appointment: Tell UTP and the student If you cancel less than 24 hours in advance, it is considered a Tutor No Show
  • 15. NO SHOW POLICY For both tutors and tutees: If an appointment is cancelled less than 24 hours in advance = No Show 0 3 NO SHOWS FOR A STUDENT = NO MORE TUTORING 3 NO SHOWS FOR A TUTOR = NO MORE WORKING
  • 16. What if I have to change my availability? To change your availability, contact UTP office By calling (516)463-4953 By e-mailing [email protected] By coming to Memorial Hall 012 and talking to one of the UTP representatives
  • 17. What if I need to see my schedule? 1. Go into TutorTrac app and click Consultant Profile 2. Choose Main Menu in the upper left corner 3. Choose Schedule 4. Choose University Tutorial Program for Center Profile
  • 18. CRLA Tutor Certification The College Reading and Learning Association (CRLA) offers professional development for tutors. All tutors must be certified in CRLA Level One within the first year of tutoring.

  • 20. How You Get Certified There are three levels Each level requires 1. 10 modules 2. 25 hours of tutoring 3. Discussion with UTP Coordinator
  • 21. What is a Module? One-hour training session online / in-person Module topics include Learning Styles, Student-Athletes, Tutoring Ethics, Study Skills
  • 22. How do I get paid for completing a CRLA module? For Online Modules E-mail [email protected] to inform us you have completed the module. Once it is graded, you will receive an e-mail telling you that you can move on to the next module. After you get the email that it has been graded, you can put it on that weeks time card as Module [#_], Module [name], 1 hour, and date you completed it. For In-Person Modules (Workshops) At the workshop, you will receive an assignment When you complete this assignment, hand it in with your time card Indicate the module on the time card as Module [#_], Module [name], 1 hour, and date you completed it.
  • 23. What Happens Now? After this Orientation: 1. Provide us with your availability 2. Your schedule goes into TutorTrac 3. You get an email when a student books you 4. You respond within 24 hours saying where to meet Need to change your availability? Give us minimum 1 weeks notice
  • 24. Paperwork 1. UTP paperwork complete at Orientation 2. HR Paperwork see OSE office if this is your first time working for Hofstra Note: *International students must see MISPO *Students with 2 jobs on-campus must complete the 2-Job Exemption Forms at UTP You cannot start working until this is complete! Last Step!
