Submit a Report of Absence Form using OptiWorkflow (Optiwf)

1. Open the OptiWF icon on your desktop or open a browser and enter http://optiwf2. Click on Sign In

3. Select the Police Folder

4. Select the Processes Folder

5. Select the PC_ReportOfAbsence process

6. Complete the form. When you get to the end, select who you will be submitting the form to. In this example, we used the Echo squad.

Then, select Submit

7. If you want to see where you form is in the process, Go to the SENT ITEMS folder and select the process you want to review. The circled icon (below) is the progress map icon. When you click it, it will show you where your form is in the workflow.

8. Below is an example of a progress map. The black button indicates a completed taskThe green button shows that the task is ready and waiting for someone to address itThe blue button is a task that is yet to comeThe white button is a task that is obsoleteA red button indicates an error. Please call the helpdesk if you see a red button

If you are an approver…..

1. When you launch OptiWorkflow, the first thing you want to do is set up your Work Queue so that you receive notifications whenever a form is submitted to you. ******** You will only have to do this once.

2. Select Show My Queues

3. Only the Queues for which you are a member will be listed

4. In the example above, only one of the queues has an envelope to the left of the queue name. The envelope means that notifications are enabled for this queue. In other words, when any new item is sent to this queue, you will receive an email notification.

5. To enable notification on other queues, check the box to the left of the queue. Then click on the “Enable Notify” Button.

6. To disable notify, check the box to the left of the queue and select “Disable Notify”

7. To view what is in the queue, click on the queue name. The items in the queue (if there are any) will be listed

8. To open a process, simply click on the process
