Create the Customer Account and Add Users

Logon to Creative Workflow Application as the Full-Access Staff User

In order to setup the customer and users, the Full-Access Staff user must:

• Logon to Creative Workflow Application as the Full-Access Staff User via the web interface only.

• Create the client account.

• Create users who will work on the customer's account.

• Assign Role-Based Rights to the users created.

• Create user groups, as required

1. Launch a web browser.

2. Type the application’s URL in the Address field.

3. Press ENTER.

4. Type the Full-Access Staff username created in the previous lesson in the Username field.

5. Type the Password created in the previous lesson in the Password field.

6. Click Login.

7. In the upper right corner of the toolbar, click the P icon or your login name, if using theme look, to edit your user profile settings.

8. Scroll to the bottom of the page

9. Under the Site heading, the rights assigned to your role appears for Customer, Project, and Library access.

Notice the icons beside the Project Role and Library Role headings.

10. Click the icon either beside the Project Role or Library Role heading to view the event notification for your account.

Note that you can change your own notification settings if you have a role with Manage Access user rights.

Create a Customer Account, Users, and Assign Role-Based Rights

Each new customer (client) is setup with a specific customer account.

1. Log on as the Staff user (Site Manager) to the Creative Workflow Web browser.

2. On the toolbar, click the Customer icon (if the Customer Page is not the default).

3. From the Customers page, click Add Customer.

4. On the Create customer account page, enter the customer's company name (for example, YourName_Company), address, and any relevant comments.

5. Click Create Account.

The customer account is created and the Customer Administration page appears.

Users and Role-Based RightsUsers are initially setup attached to a customer-specific account. Using this approach, a customer is setup so they only have access to their projects. However, there is flexibility for Agency employees who work for multiple customers and fulfill varying responsibilities for their customers.

For example the agency’s graphic designer may be responsible for uploading elements for use in projects when working with ABC Company but may also archive elements to the library when working with XYZ Company. Therefore, the responsibilities will be assigned differently for the same person between ABC and XYZ Company.

Roles Assigned to the Graphic Designer for ABC Company Access:

• Customer Role: No Access assigned since you do not want the graphic designer to manage access to the customer account.

• Project Role: Content Manager is assigned so graphic designer can upload elements to a project

• Library role: No Access is assigned since the graphic designer will not upload elements to the customer’s library.

Roles Assigned to Graphic Designer for For XYZ Company Access:

• Customer Role: No Access

• Project Role: Content Manager

• Library Role: Content Manager

Apply Creative Workflow Roles to the Agency and Client EnvironmentIn an environment where both the Agency and client have access to projects and libraries through Creative Workflow, the roles assigned will vary depending on the responsibilities of the individual.

Note: The e-mail account of the person who logged on is preset in the CSR e-mail box.

1. Log on as the Site Manager to the Creative Workflow application.

2. On the toolbar click the Customers icon (if the Customer Page is not the default).

3. Click on the letter corresponding to the first letter for the company name you created.

4. Scroll to the Company Name.

5. Click on the Company Name link.

6. On the toolbar, click Administration.

7. On the Customer Administration page, click Manage Access.

8. Click Add New User.

9. Enter the following:

– User's unique username: YourInitials_GD

– Password: Password

– First Name: Your first name

– Last Name: Your last name

– E-mail: Your e-mail

10. Click Add user.

The new user is added to the customer account. The Customer, Project, and Library roles appear.

11. From the User/Groups with Access assign the following:

– Customer role: None

– Project role: Task Manager

– Library role: Content Manager

Notice that a red dot appeared indicating that a change was made.

12. Click the information icon which appeared beside the role, once it was changed, to view the rights associated with the role selected.

13. Click Update.

14. Add the users listed and assign roles for each of them under your company name.

• Content Manager/Reader

– Username: YourInitials_CM

If a company would like to minimize the number of unique usernames that their staff must remember, use the Invite New User button. This enforces the e-mail address as the unique logon identifier.

Change and View User Roles and RightsYou can edit user role rights and also view at a glance the roles assigned to a specific user at the customer, project, and library roles.

To change or manage role-based rights for a customer user

1. On the Creative Workflow toolbar, click Administration.

2. Click Manage Access to change the role based right for each user at the Customer, Project or Library role levels.

3. Assign the Access Manager role at the Customer level for the Content Manager.

4. Click Update to save your changes.

Describe the Web Interface Application Often there is a discrepancy between the type of equipment used by an Agency and customer (client) when collaborating on projects. Creative Workflow supports a web graphical user interface that can be accessed by users with limited computer capability.

In the Creative Workflow environment, the Desktop Software used on a Macintosh computer adds enhanced functionality for the power user. The enhanced functionality includes:

• Drag and drop functionality.

• Ability to perform task administration functions such as edit and delete a task.

• Set final status for a task or make a task activity.

• Detailed project manager view of tasks.

• View elements in a gallery, list or table mode.

• Support for pick lists that can be used to collect elements from multiple projects or libraries for download or copy into another project or library.

To download and access the Desktop Software on a MAC

1. Logon to the Creative WorkflowCreative Workflow application.

2. Click the Download Syd link at the bottom of the window.

3. Move the Desktop Software icon to the applications folder in the Desktop Software dialog box.

Once this is downloaded, a message appears indicating that the application has been added to the application folder.

4. Open Finder, click Applications.

5. Drag the Desktop Software icon to the dock, and double-click the icon to launch it.

6. Enter the Server URL provided by the instructor to access Creative Workflow.

7. Enter the Site Manager’s username and password that you created.

8. Click Connect.

Describe the Kodak InSite Desktop SoftwareAt an agency, power users may work on Macintosh computers with 30" monitors and sufficient server space for quick rending performance. The Desktop application provides increased functionality and complexity that is designed for a power user.

Note: Customer and account creation cannot be done using the Desktop Software. But you can now change roles in Desktop Software.
