With more than 19 million customers worldwide, the client still faced an intensely competitive online market. The company was operating its business on an outdated and disparate legacy IT environment that could not longer support the high volume of online sales orders and its global expansion initiatives. The existing system could not provide any financial reporting, making it time consuming and difficult for management to determine the data on sales or costs necessary for enterprise control. Additionally, the company did not have a formal procurement and inventory management system in place, which had become overly complex for employees to manage. Issues with business processes and management became apparent and the client sought an enterprise resource planning (ERP) infrastructure to maximize business performance.

As a pioneer in the online retail space, the client sought to leverage technology for internal operations to support their ability to provide more innovative products and services to customers worldwide. In order to help the company standardize its operational processes, they selected SAP ERP ECC 6.0 platform for its scalability and proven effectiveness of resolving integration issues.

As the client's preferred partner for a previous global implementation of SAP HCM, YASH Technologies was again selected to extend system capabilities to support the client's growth initiatives.

After coordinating with the client to deliver a successful and well-documented blueprint of the implementation, YASH successfully migrated the company's Finance, Sales and Distribution, and Procurement and Inventory Management from an inefficient legacy system onto a unified SAP ERP landscape that supported end-users in the US, Canada, the Netherlands, Switzerland, Jamaica and Spain.

Financials

This comprehensive and integrated financial management solution empowered the client's finance department to transform its role into that of a strategic business partner. It simultaneously supported multiple global financial reporting standards, currencies, and languages with over 45 country-specific versions. In addition, it extended finance processes to encompass customers, suppliers, and financial institutions to optimize their financial value chain.

Core financial functions implemented included General Ledger, Accounts Receivable and Payable, Fixed Assets, and Enterprise Consolidation. Embedded internal controls, robust workflow, and automated processes reduced financial closing cycles and resource costs to enable them to thrive in a business environment characterized by intensified competition and uncertain market conditions.

Sales and Distribution

YASH created this customer-specific solution to manage the high volume of sales orders that were processed from the web through a staging system to the SAP platform. The technical expertise and functional business experience of YASH consultants were used to overcome complex technical and business problems that arose in developing the Sales Order interfaces. YASH teamed with the client’s stakeholders to ensure that the solution was scalable and achieved perfect order management.

This solution reduced their operational costs by simplifying and automating the entire order-to-cash cycle, and ensured high customer satisfaction by delivering accurate, on-time information to customers. The client now has the scalability required to ensure the error-free processing of 40,000 sales orders with multiple line items per day.

Procurement and Inventory Management

YASH delivered a formal system that automated and streamlined procurement processes to identify, realize, and sustain cost savings for all spend categories. By implementing procurement capabilities, the client could perform the complete procure-to-pay process, including requisitioning, purchase-order management and invoice clarification. In addition, they could manage catalog content and enable employee self-service procurement of material, while collaborating efficiently with suppliers. With inventory management, they could record and track the quantity and value of all materials, integrate with Finance for inventory value calculation and enhance visibility to stock locations at all plants.

In addition to this initiative, the company also wanted to experiment with some new code during the implementation, but did not want to risk destabilizing any of their SAP test environments. Because YASH believes in a customer centric approach for clients, YASH supplied a demo system the next day to successfully test the code, allowing the project to progress without disruption to deadlines.

By integrating processes into a common platform, the client is now able to bring products and services to market more rapidly, improve business performance and realize the following operational benefits:

YASH's successful SAP ERP implementation has enabled the client to deliver enhanced services in a more cost-efficient manner. In addition to replacing legacy systems, the creation of a standardized platform and common infrastructure has lowered the Total Cost of Ownership (TCO) across the entire IT landscape. They plan to partner with YASH in the future to implement additional SAP ERP functionalities, such as Treasury and Warehouse Management, and provide on-site and offshore post Go-Live support.
