2014-2015 CALPADS Pre-Certification Process and Timelines
Deadlines and Schedule of Activities for Infinite Campus (IC) Records Clean-up There are two components of our CALPADS submission: Fall and End-of-Year (EOY). Use the following
table to plan your clean-up, checks, and verifications in preparation for certification. Please note that if these
data are entered and maintained accurately in IC throughout the year, clean-up activities should be minimal.

Assessment, Research, and Evaluation (ARE) Updates
September 2014
CALPADS – Instructions and timelines for your site based 2014-2015 pre-certification data reviews and
verifications are attached. Please review carefully. If you have any questions regarding the CALPADS
certification process, please contact Robin Martin ([email protected]) or Joanne Corby
CAASPP – The CDE recently released the official testing windows. The following test windows are based on
a 180-calendar day:
Grades 3-8 (ELA/Math): 12 weeks, beginning after the completion of 66 percent of instructional days
(120 days)
Grade 11 (ELA/Math): 7 weeks, beginning after the completion of 80 percent of instructional days (144
days)
Science for CST, CMA, CAPA, grades 5, 8, and 10: approximately 6 weeks, beginning after the
completion of 85 percent of instructional days (152 days)
An updated 2014-2015 assessment calendar is attached. Tentative is the administration of the ELA and Math
CST-based CMA and CAPA, pending a “double testing” waiver from the U.S. Department of Education. In its
place, the CDE proposes to administer an online alternate assessment to a statewide student sample. Once
determinations are finalized, and updated calendar will be sent out.
Spring 2014 CAASPP Results – CST, CMA, and CAPA results for Science, CMA and CAPA results for
English Language Arts and Mathematics, Early Assessment Program (EAP) results are expected early
September. ARE will send summary reports to principals and mail results to parents mid to late September.
Results from the SBAC assessments will not be reported. The field test results will be used for the performance
level standard setting process.
Adequate Yearly Progress (AYP) Reports – The California Department of Education (CDE) will publicly
release the 2013-2014 AYP results the week of September 8. During the assessment transition period, AYP
will be reported for high schools and Program Improvement determinations will proceed as they are based on
CAHSEE and CAPA results. Elementary schools in Program Improvement will remain in prior year status.
Smarter Balanced Digital Library (DL) – The week of September 8, 2014, ARE will auto-register accounts
for teacher, principal, and vice-principal registrations. When you receive your email, follow the instructions to
logon and change your password. The DL is the formative assessment component of SBAC, providing subject-
and grade-specific resources to integrate the formative assessment process during daily instruction. It contains
searchable, interactive resources that can be used as a social media learning tool for educators to share
information about the library resources. Please contact Melody Hartman ([email protected]) if you

Directions: Follow the steps below to close out your 2013-2014 enrollments. To facilitate this process, AdHoc Filters have been created to identify records that have incomplete End date and/or End Status. Please close out these records by September 22, 2014. CALPADS now requires that all student enrollment records need to be closed out with End date and End Status entries before students can be re-enrolled. Therefore, all enrollment records (matriculating, graduating, transfer, etc.) need to be End dated with an End status as they occur or at the end of each year using the last day of school as the end date. 7. Open the “Ad Hoc Reporting” Folder by clicking on the “+” sign next to the name.
There will be 3 filters: All Schools run: “#ExitingStudentsDataCheck_1” High Schools additionally run: “#ExitingStudentsDataCheck_2” “#ExitingStudentsDataCheck_3”
These filters contain the enrollment records where the End date, End status and/or Diploma Date need to be entered for the enrollment record to close out.
You may have error records in some or all the filters. Follow Steps 8 and 12 to check all filters and update records.
8. Select the first filter:
“ExitingStudentsDataCheck_1” so it is highlighted.

Note: You may see “Search Results: 0”
this indicates there are NO records within this filter requiring clean up

Edits required by type of error (Filter) Filter 1: All Students who currently have either No End
Status and/or No End Date A. Missing an “End Date” – Fill in the date the
student last attended the school. B. Missing an “End Status”* – Select the appropiate
reason in which student left the school. D. Click on the “Save” button
Filter 2: Graduated Students who currently have a Diploma Date, but no End Status and/or No End Date A. Missing an “End Date” – Fill in the date the
student last attended the school. B. Missing an “End Status”* – Select the appropiate
graduate end status. D. Click on the “Save” button
Filter 3: Grade 12 Students who currently have a End Date and a graduate End Status, but No Diploma Date. C1- C2. Click on the “Graduation” tab (C1) and Fill in the “Diploma Date” D. Click on the “Save” button
Continue down student list repeating Steps 10-12. Once the student list is complete continue to the next data check filter starting at Step 6. *Refer to CALPADS End Status Codes and Descriptions handout.
