ACTAtek® Application Notes

Single Access Point - Small Office / Home Office ACTAtek can be used as a networked device or even a standalone device, which is practical for small office or home office situations. ACTAtek functions in a single door, or more specifically, a single access point environment. All you need is a 12V DC power supply, a network connection, and a built-in internal relay connected to a standard electrical door strike for secure access control & time attendance. Moreover, the built-in web server simplifies control and configuration procedures of the ACTAtek. Now, you can control, administrate and configure the ACTAtek device using any standard web browser over the network or the public Internet. Below, we have listed a series of options for you to choose from, depending on what you need the ACTAtek to do for you: (All models have the keypad module built-in to them)

1. Fingerprint Only (Refer to Figure 1a)

ACTAtek can be used only with fingerprint as its primary authentication mode. This way users’ fingerprint data is stored in the device and it safeguards the premises from buddy punching or other threatening activities. Although, it must be reminded that it takes approximately 1-2 seconds for authentication, so if you do have more than 100 employees, it might take a while for all to get authenticated during peak hours. It is therefore, advisable to place more than one unit for authentication for either time attendance or access control purposes in this scenario.

2. Smart Card Only (Refer to Figure 1b)

This option is also useful for many that would like quick access and to save time. This model can be used for businesses that would like security but put higher importance on high speed.

3. Finger Print + Smart Card (Refer to Figure 1c)

This option is by far the most popular. The fingerprint template in this model can either be stored on the unit itself or the smart card. Companies can adjust the mode to fingerprint only, smart card only or a combination of both. This gives options to employers and enables them to use a series of options for authenticating users. For instance, during high traffic times, smart card only option can be used while during office hours fingerprint only can be used. Also, after office hours, the premise may require additional security and therefore a combination of smart card plus fingerprint or fingerprint only can be used to safeguard the business premises from unwanted intruders.

Multi Access Points – Small/Medium/Large Corporations In addition to ACTAtek being used as a standalone device, it can also be used in a multi access point environment. ACTAtek functions in locations with either multiple doors, or for corporations with multiple branch locations. Offices located at different geographical locations can also be linked up with ACTAtek’s flexible networking features that use TCP/IP communication protocol to for the system to function in a Primary/Secondary Configuration. With a 12V DC power supply, it is now possible for the built-in internal relay to be connected to standard electrical doors to control electrical door strikes. In addition, the built-in web server simplifies control and configuration procedures of the ACTAtek. Now, you can control, administrate and configure the ACTAtek device using any standard web browser over the network or public Internet by forwarding port 80 (http://) or 443 (https://) of the router to the ACTAtek’s IP Address. Moreover, multiple ACTAtek units can be networked in primary-secondary configuration with one of them configured as a Primary device while the rest configured as its secondary devices. Administration, such as, granting access rights or viewing/downloading event logs and attendance data, is conducted on the Primary unit. The Primary unit gathers all access right and administration information from all its Secondary units in the same network and stores it within its database. The user data is then replicated to all the secondary units on the network for shared access. This unique feature of the ACTAtek allows it to be flexible and easy to use since one would only need to enroll users into any one device on the network – be it the Primary or Secondary unit. This information is then broadcasted across all devices for shared access. Also, if you would like to restrict user access to any unit, it can simply be done over any standard web browser. There is no restriction in terms of geographical placement as long as the ACTAtek units are networked appropriately and are configured accurately. Remote Monitoring Companies with office branches in remote areas can now link up their offices and centrally gather data using Hectrix’s ACTAtek device. Not only for official use, but the ACTAtek can also be used for remote monitoring of homes in different cities. This is possible due to the fact that each ACTAtek can support up to 4 web cameras. ACTAtek can be used for remote monitoring in various situations, to name a few:

i. Household Monitoring (Refer to Figure 3a) ii. Remote office (Refer to Figure 3b & 3c) iii. Remote factory (Refer to Figure 3d & 3e) iv. Multiple office branches spanned over cities (Refer to Figure 3f)

All of the above examples utilize the same basic set up and configuration. Yet, there may be different usage for each of the above-mentioned applications. With the built-in Internet Web Server, ACTAtek allows you to keep track of employee attendance, time attendance records, keep guard of your premises from anywhere in the world, and gather necessary data remotely at the central office from various remote locations. You are now able to remotely configure individual access rights even though you are not physically present at the remote site. For instance, if your headquarters is in London while your factory is in China, you are able to configure/monitor your ACTAtek located in China and control access rights as well. In addition, you are able to get real time access to attendance records from anywhere in the world using any standard web browser, without any additional software. Below, is an illustration of how the ACTAtek can be connected or configured and what necessary equipment would be needed for specific operations.

It should also be noted that ACTAtek is capable of running on a multitude of remote access equipment, such as Local Area Network, Telephone Line, Wireless LAN, and Power-line Router, etc. With the ACTAtek installed at the central office and connected to the remote site, data gathering can be done automatically.

Time Attendance – Factory Apart from access control, ACTAtek can be used for time attendance in factories or remote office (link to remote monitoring). For using it at factories, either one or multiple ACTAtek units can be installed at the entrance/exit of the business premises. Once users enter the factory, they can either use a smart card or their fingerprint for clocking in the time they entered the factory. The other unit(s) can be placed near the exit for easy clock-out procedures. The number of ACTAteks installed is dependent on the number of users that access the device. Since it takes approximately 1-2 seconds to authenticate each person, it is highly recommended that more than one unit be installed for premises with more than a 100 users for easier access and efficient authentication. Below (Diagram 4a) is a diagram where 4 ACTAtek units have been installed – 2 for entrance, and 2 for exit purposes in factories with 100 - 3000 people. The units that have been installed allows for synchronization of all records across all devices. For this specification, the model to be used is shown in the table below:

Data Storage and retrieval

Each unit of ACTAtek is capable of storing a maximum of 10,000 records. Every subsequent record added will cause the deletion of the first record in its database. To make sure none of your records get eliminated, it is advisable for you to backup your records on daily/weekly/monthly basis depending on the number of people accessing the system in a given day. Data retrieval is simple and straightforward. Our PC-based software, ACTAtek Agent can be used to retrieve all necessary data from your ACTAtek units, irrespective of their location. With multiple ACTAtek configured in a Primary/Secondary Configuration, the Primary unit collects the access log from all its Secondary units. Again, it should be noted that the Primary unit can store up to 10,000 attendance/event logs.

Payroll calculation

The access log stored in each ACTAtek is retrievable manually over any standard web browser in Excel or TXT format. Simple payroll calculation can be done using Excel formulas or Macros. Below is a sample of the data gathered using MS Excel.

Also, ACTAtek can be incorporated with 3rd party payroll software that can use the data stored in ODBC format.

Time Attendance – Corporations Time Attendance features may come in handy for medium / large corporations, such as hotels, restaurants, hospitals, universities, etc. Staffs at these corporations almost always work in shifts and it is important for management and the Human Resources department to know whether employees come to work on time and whether they stay at work long enough, especially since many hotels and restaurant chains are geographically widespread and control is limited. Hectrix’s ACTAtek solves this issue of buddy punching and staff monitoring at all hours of the day, without any complexities and hardship. Depending on the number of people that need to clock-in and clock-out on a daily basis, the number of ACTAtek units to be installed may wary across organizations. With less than a 100 people, it is advisable to get 1-2 ACTAtek units while organizations with more than 100 people; it is advisable to get more than 2 units. This is due to the fact that the scanner takes approximately 1-2 seconds to authenticate users with fingerprint / smart card. Organizations with different number of people will definitely have different models or positioning of ACTAtek within their business premises. The following example may help you make your decision:

i. Organization with less than 100 people - 1 - 2 units ii. Organization with 100-250 people - 2 - 4 units iii. Organization with 250-500 people - 2 - 4 units iv. Organization with 500-3000 people - 5 + units
