On Fr i , 29 Oct 2010, our R  ct Pr im  mini t r Dr. M nmohan Singh i  invit  in

Lovely Professional University, Jalandhar for a visit & interaction with the student in the university.

It¶s a f irst time in the history of L.P.U. that a pr ime minister is coming in this university to have a

interaction with the students about their am bitions, future goals and plans to success.

He was born in Gah (west Punjab) on 23 Sept 1932. His parents was Mr. Gur mukh Singh

and Mrs. Amr it kaur. He marr ied to Mrs Gursharan Kaur on 14 sept 

1958. He was a studious student as his academia speaks itself. He

stood f irst rank in BA(Hons), Economics and MA(Economics) in

Punjab University, Chandigarh. Then he won Wr ight¶s Pr ize for 

distinguished perfor mance at St John¶s College, Cam br idge, 1955

and 1957. Af ter that he got Wrenbury scholar , University of 

Cam br idge, 1957; DPhil (Oxford), DLitt (Honor is Causa); PhD

thesis on India¶s expor t com petitiveness.

Purpose of the management to inviting Dr. Manmohan

Singh is that he is a most respected political personality as per the youth concern. He has spent 

enough time in education f ield. He was senior lact. In Punjab University and Delhi School of 

Economics. Af ter that he worked as honorary professor , Jawaharlal Nehru University, New Delhi, 

1976 and Delhi School of Economics, University of Delhi, 1996. Management thinks that a word

from this k ind of person effects more than anything to the students and his guidance can be amotivating factor to the students.

The university Management has given responsi bility of organising pr ime minister ¶s visit to

me, Mani Kundan R ai, Abhishek Singh, Chakrdhar Chiku and R avindra Singh.

We ake subco ittees to plan for the different sub goals like:

Pro ram Committee: ± This subco ittee plan for the welco e cere ony structure of the

 progra event which will going to be perfor ed and the esti ate about its budget. It also plan for 

the venue decoration etc.

Promotio Committee: - This subco ittee plan for the pro otion ideas and the budget it

takes.W

e can choose either UMS te plates or banners to pro ote this event that as uch studentget aware about this event & attend this event to get future benefits.

Bud et Committee:- This subco ittee

aintain budgeting for this event. It allocate budget to

the processes as their needs. It a lso work for fund-

raising by the anage ent. 

Se urity Planning Committee:- This

co ittee plans for security strategy for Mr. Pri einister and for other guests. For this we plan to eet by

co issioner of Police that he hel p the university security for 

keeping the visit secure by unwanted circu stances. It plans for 

security issues needed resources and budget it takes.

Plan to allocate roles and responsibilities:

This will answer the question that ³How we find who will lead and who will partner?´ For various

activities we plan a depart ent which will identify the lead person or portfolio or unit as well as

the partners who can assist with the activity. In this step we ake a written fra e for a depart ent

which distribute the authorities and responsibilities to the volunteers assigned by subco ittees.

By using this ethod we can distribute whole ai in several sub-ai s. All the e bers work for 

their own goal and finally the goal being achieved.

By the Planning for any event or progra actually we provide input for the

organising works. It hel ps to organise easily and by this we can produce outco e which will lead

the next steps in aking a successful event.... 

Organizing:

When we organi e the event it can be surprising just how uch work there is to be done. Make sure

you have plenty of people to hel  p out. Booking dates and catering arranging invitations this can

easily drain upon one person s resources.

Delegation: - After co pleting planning we should now what resource and how this resource can

 be i ple enting. We need plenty of people to hel  p out. Booking dates and catering arranging

invitation.

R e onsibilities: Every e ber in the tea has its specific work and work force.

Each e ber will take care of their field. The tea responsibilities are as following:

a)  Budget: The budget will be raised by the university. The collection is done by the university

contribution and welfare fund.

involves forecasting and deter ining the future anpower needs of the concern. For this we plan a

idea of the volunteers required to anage and how uch people we already to work for the event.

R ecruitment- Once the require ents are notified the concern invites and solicits applications

according to the invitations ade to the desirable candidates.We invite the students of the

university who are willing to work in anaging the event. For this we specially concentrate on thestudent fro the Business school of our university. We also take together the other students who

want to work as volunteers.

Selection- This is the screening step of staffing in which the solicited applications are screened

out and suitable candidates are appointed as per the require ents. So in this step we screen all the

applications to select the suitable students according to there experience perfor ance in class and

interest in it.

Orientation and Placement- Once screening takes place the appointed candidates are ade

fa iliar to the work units and work environ ent through the orientation progra s. Place ent takes

 place by putting right an on the right job. In this step we appoint the candidates according to thereinterest & experience in particular field.

Training and De elopment- Training is a part of incentives given to the workers in order to

develop and grow the within the concern. Training is generally given according to the nature of 

activities and scope of expansion in it. Along with it the workers are developed by providing the

extra benefits of in-depth knowledge of their functional areas. Develop ent also includes givingthe key and i portant jobs as a test or exa ination in order to analy e their perfor ances. That is

why we identify the candidates who are required for training. In this we develop depart ent and

train the according to their responsibilities in the anage ent

Perf ormance E aluation- In order to keep a track or record of the behavior attitudes as well 

as opinions of the workers towards their  jobs. For this regular assess ent is done to evaluate and

supervise different work units in a concern. It is basically concerning to know the develop entcycle and growth patterns of the e ployees in a concern. 

Leading and controlling:

The process of onitoring activities to ensure that they are being acco plished as planned and of 

correcting any significant deviations. Controls are i portant because without control there would be

no focus or no direction.

2. Output:-

Tell anage ent about the benefit of the pri e inister visit in the university. It is the ain

feedback for the entire event in the favour of university.

Comparing actual perf ormance against a standard:

After creating a report on the event we have to practice on the event. For this we arrange 2

or 3 practice session like drill exercise. It hel  ps to easure that on what level we are prepare for the

event. Co pare this actual perfor ance with the standard level and find the area which we have to

i prove ore than last position. 

Tak ing action to correct de iations or inadequate standards:

After check the actual perfor ances of the co ittees we have to write down the basic

changes or i prove ent that are required for work proper ly for the successful event. Try to

otivate the volunteers the e bers of various co ittees. Try to find the needs of the

co ittees if it necessary and fulfill that. Make changes wherever those are required. Add so e

extra volunteers if it is required for control or balance any co ittee.

SEC RITY CONTR OL FOR  PRIME MINISTER : 

Special Protection Group (SPG):

The Special Protection Group (SPG) is the executive protection agency of the Govern ent of 

India. It is responsible for the protection of the Pri e Minister of India other top officials and

their i ediate fa ilies.

S.P.G. 

So the first security circle will anage by lovely professional security guards and by the local 

Pun jab police. It is on the gate of university. They have to check the invitation card of e bers or 

guests their vehicles their gadgets and the whole body. After that a co pany of C.R.P.F. forces

will anage the second circle who anages the VIPs security. And last the SPG who is

responsible for P.M. security.

All vehicles are allowed to park out of university ca pus. The

vehicles of govern ent inisters are allowed to park in university parking area. All cell phones

will  ja ed by ja er. Nobody of university is allowed to wear black cloths even not any black 

tie or hanky. For all volunteers a unique I card will be issued for their identity as a volunteer. It is

necessary to wear I cards for all students and faculty staffs for entry in the university s event

otherwise he/she is not per itted to attend the event.

In this way we organise the whole event in a successful fashion.
