Posting profiles for sales returns and cancellations
In Microsoft Dynamics AX 2012 R3, you can configure posting profiles to track transactions in the general ledger
separately by account. Because of a Brazilian legal requirement, when you cancel or return a sales transaction, you
need to book the amount in a separate ledger account.
Two new categories of ledger accounts are now included in the sales order posting configuration: Sales return and
Sales cancelling. In addition, for project invoice cancellations, a category named Cancelled invoice revenue is now
included in the Ledger posting setup form in the Project module.

Sales returns and cancellations
To use different ledger accounts for sales returns and cancellations, you must enable a parameter in the Accounts
receivable module and then configure the accounts. The configuration applies to sales cancellations, sales returns,
cancellation of complementary fiscal documents, and sales cancellations at the point of sale (POS).
Before you can configure the posting profile for sales returns/cancellations, you need to enable a parameter. To
enable the parameter, follow these steps.
1 Go to Accounts receivable > Setup > Accounts receivable parameters.
2 In the left pane, click the Ledger and sales tax link.
3 On the General FastTab, select the Enable alternative account check box under Sales return and Sales
cancelling.
Set up the ledger account for sales returns
To configure the ledger account for sales returns, follow these steps.
1 Go to Inventory management > Setup > Posting > Posting.
2 On the Sales order tab, under Select, select Sales return.
3 Click Add.

4 In the Main account field, enter the ledger account.
Note: If you did not enable the Enable alternative account parameter for sales returns, you will receive the
following error message when you try to enter the ledger account: Alternative account for sales return must be
enabled in accounts receivable parameters

To configure the ledger account for sales cancellations, follow these steps.
1 Go to Inventory management > Setup > Posting > Posting.
2 On the Sales order tab, under Select, select Sales cancelling.

4 In the Main account field, enter the ledger account.
Note: If you did not enable the Enable alternative account parameter for sales cancellations, you will receive the
following error message when you try to enter the ledger account: Alternative account for sales cancelling must
be enabled in accounts receivable parameters
Project invoice cancellations
In the Projects module, there are four places where you can configure the main account that is used for project
invoice cancellations: the Ledger posting setup form, projects groups, category groups, and project categories. You
are not required to enter the main account in all four places.
Set up the main account for project invoice cancellations in the
Ledger posting setup form
Before you can set up a main account for project cancellations, the Enable alternative account parameter must be
enabled for sales cancellations. You must then enter a valid account as the main account for project invoice
cancellations in the project posting configuration.
To configure the main account for project invoice cancellations, follow these steps.
1 Go to Project management and accounting > Setup > Posting > Ledger posting setup.
2 On the Revenue accounts tab, under Select, select Cancelled invoice revenue.
3 Click Add.

4 Enter values in the Valid for and Main account fields.
Note: If you did not enable the Enable alternative account parameter for sales cancellations, you will receive the
following error message when you try to enter the main account: Alternative account for sales cancelling must be
enabled in accounts receivable parameters

groups
You can also enter the main account for project invoice cancellations in the project group configuration. Follow these
steps.
1 Go to Project management and accounting > Setup > Posting > Project groups.
2 Select the group, or create a new one.

3 On the Revenue accounts FastTab, in the Cancelled invoice revenue field, enter the account for project invoice
cancellations.

category groups
You can also enter the main account for project invoice cancellations in the projects category group configuration.
Follow these steps.
1 Go to Project management and accounting > Setup > Categories > Category groups.
2 Select the group, or create a new one.

3 On the Revenue accounts FastTab, in the Cancelled invoice revenue field, enter the account for project invoice
cancellations.
Set up the main account for project invoice cancellations in project
categories
You can also enter the main account for project invoice cancellations in the project categories configuration. Follow
these steps.
1 Go to Project management and accounting > Setup > Categories > Project categories.
2 Select the category, or create a new one.
3 On the Revenue accounts FastTab, in the Cancelled invoice revenue field, enter the account for project invoice
cancellations.

Expected results
This section describes the expected results of return and cancellation operations after you enable the Enable
alternative account parameter and configure the main account.
Sales order returns/cancellations
For this scenario, you must enable the Enable alternative account parameter for sales cancellations/returns and
configure the ledger account. For information about how to cancel a sales order, or return it, see the article in the
References section of this document. For the sake of an example, we have canceled a sales order that meets the
requirements of this scenario. A single account has been set up for cancellations and returns. However, you can also
set up separate accounts for cancellations and returns.
To verify the vouchers that are created for the cancellation/return fiscal document, follow these steps.
1 Go to Accounts receivable > Common > Fiscal documents > All fiscal documents.
2 Select the fiscal document, and then click Fiscal document > View > Voucher.
In the form that appears, the result for the cancellation ledger account will resemble the following screen shot.
Note: In this example, the main account that is configured for sales order cancellations is 32010102.
For retail cancellation/return sales orders, follow these steps.
1 Go to Accounts receivable > Common > Sales orders > All sales orders.
2 Locate and select the sales order. Then, on the Invoice tab, in the Journals group, click Invoice to open the
invoice journal.
3 Select the line, and then click Voucher. View the line for the cancellation account.
Note: The result in the Voucher transactions form will look the same as a normal sales order cancellation.

Project invoice cancellations
For this scenario, you must configure an account for project invoice cancellations. For the sake of an example, we
have canceled a project invoice that meets the requirements of this scenario.
To view the vouchers that are created for a canceled project invoice, follow these steps.
1 Go to Project management and accounting > Common > Project invoices > Project invoices.
2 Select the project invoice that is canceling the original invoice.
3 Click Related information > Voucher transactions.
4 View the line for the cancellation account.
