We are much concerned about the health of our employees and during this COVID 19 outbreak we stretch our helping hands in providing the safety measures at the institute and create an emergency team which remains in contact with other staff members on regular basis to ensure the safety measure and health situation of every employee.

This guidelines is designed for the safety of our staff, resuming to work after the lockdown period due to COVID-19 outbreak.

This strategic preparedness and response plan provided in the guideline, outlines the safety measures adopted by the institute in ensuring the safety of the employees.

This guidelines also helps our staff in preparing themselves towards their personal safety.

By following these guidelines the chain of COVID 19 spread shall be eliminated and works can be resumed safely.

Reopening of Institute

The tables and other accessories including PPE’s, telephones, Tools, Water coolers, air conditioners, blowers etc. which comes in contact with staff must be disinfected prior to reopening, shop floor.

The floor must be initially cleaned using soap water, later has to be cleaned using disinfectants this includes, offices, canteen.Cleaning with soap and water reduces number of germs, dirt and impurities on the surface. Whereas disinfecting kills germs on surfaces.

Employee transportation vehicle to be disinfected prior to reopening the institute

Procurement of excess sanitizers containing alcohols, Disinfectants containing phenols (min 10%), PPE’s like Masks, hand gloves, sprayers, and others.

• Disposable Mask, Hand gloves and reusable dress • Sanitizers containing ethanol (approx. 100 ltr can)• Disinfectant containing phenolic substance (approx. 50 ltr / day)• Bleaching powder containing at least 25% Chlorine (approx. 10 kg) • Spray (approx. 12)• 10 thermal scanners

• Hot water dispenser (approx. 12)No need of using disinfecting tunnel, because it contain 0.5% sodium hypochlorite in it. Since we stay in the premises for long time that chemical cause irritation to skin. Once disinfected by sodium hypochlorite then the person has to take bath at the earliest

• Instead we can procure steam bath which can generate steam, it can be mixed with denatured ethanol and can be sprayed over the body. This will evaporate soon.

In view of the safety and comfort of our staff members the working schedule has been changed as follows

Institute will function for 5 days per week from Monday to Friday

One alternative Saturday will be allocated as work from home

Timings for entry and exit will be 9.30am and 4.00 pm respectivelyFlexibility in signing in will be provided for 15 min to ensure social distance or gathering at the entrance

• Display of COVID-19, Do's and Don’ts, Helpline and Emergency Contact Numbers on all the Notice Boards, Security gates, parking areas and canteens.

• Ensure the cleaning and chlorination of all water tanks.

• Any disposed items must be burnt and should not be thrown to dustbin.

• Movement of physical documents like files and papers to be avoided within departments and instead e-approvals to be followed for next few months.

• Spitting anywhere inside the premise is completely prohibited.

• Avoid touching other vehicles surface/door while in parking area.

• Mask to be changed everyday,(Can be washed if the mask is washable).

• Immediately after reaching home, person should change clothes and wash it in hot water and Dettol and take a shower before mingling with other family members.

• Enter the premises well equipped with PPE like mask and hand gloves.• Everyone must strictly adhere to government guideline regarding transportation. • Only one person has to come in 2 wheelers. • A max of 2 in four wheelers (driver and one in back seat).• Biometric and attendance register will not be provided for sign in and sign out hence Staff must register their name and time of entry before entering and while leaving the college at the entrance.• Vehicles must be parked with a min 5 ft distancing and are informed to cooperate with security while they assist during vehicle parking.• Staff are informed to Maintain social distancing within the college premises and should avoid the gathering completely.• In order to maintain higher safety, staff members have to carry drinking water from their house and are informed to avoid the use of RO water provided in college until it is necessary.• Staff should not to gather for lunch or any other purpose and should must avoid sharing their food with others.• Staff must cooperate by staying in their allocated place without creating any movement in the premises until necessary.

• Maintain social distancing within the college premises. Avoid any kind of physical contact and mass gathering with others. A max of two person in a group will be excluded.

• Staff should not provide any appointment for visitors unless it is emergency. In this situation the staff has to meet the visitors in the visitors lounge and must not allow them to meet any other staff members.

• Staff will allowed inside the premises in a que so that the second staff must enter the parking only after the first person has left the parking premises

• Considering the government order, college will not be providing public transportation facility to staff members, hence Staff must make their own arrangement.• Since cafeteria remains closed for few more days, staff has to bring their food from home. Staff will not be allowed to move out of college under any circumstances.

• HOD’s must ensure cleanliness of their department/labs/classroom/instruments and other equipment's.• HOD’s must ensure the health of their respective staff members by electronic communication before the college reopens. If any one found sick must be informed to stay back home until he/she is completely recovered.• HOD’s must allocate the time of online classes and make a list of faculties who have to attend in various shifts.• HOD’s must allocate the place for staff members so that at least 5 mt distance will be maintained between staff members.• HOD’s must ensure that staff members are not gathering for any kind of meeting /lunch/ usual talks.• HOD’s must communicate with any staff members via electronic media and should not speak personally until it is necessary.• HOD’s must monitor the movement of staff members via CC camera.• Departmental meeting / Discussions must be organized via M S teams or other electronic media.

• Have to communicate with their coworkers and ensure that they are in healthy condition prior to the reopening of college.

• They have to ensure the Maintenance of their respective department, labs and class rooms.

• They will be provided with thermal scanners, hence have to scan their coworkers before entering/leaving the department and must maintain the data for traceability.

• Any coworkers found to be sick must be isolated and other measures has to be taken against the patient with the consultation with Principal.

• This team has to ensure that the fellow staff must not gather at any circumstances.

• This team has to assist the HOD’s in providing seating arrangement for coworkers by maintaining social distancing.

• Security staff must be equipped with PPE like mask and hand gloves.

• Security staff are instructed to allow the staff only if they are equipped with necessary PPE

• Security staff are in charged to register the time of entry/exit along of staff and visitors.

• Security persons have thermally scan the visitors and collect the appointment letter / doctor certificate from the visitors. Visitors must be directed to Visitors lounge and the designated person must be intimated via intercom

• Security persons have to assist staff members for parking their vehicles thereby ensuring social distancing and must allow the staff inside the premises in an orderly manner.

• House keeping staff must compulsory wear the PPE including use and throw hand gloves, polymeric dress while entering any room for cleaning purpose. Once they enter the room, the staff must provide the way to them by staying out of the room until the cleaning is completed.

• Cleaning of floors and others must be strictly carried out with phenyls with a min of 10% phenol in it hence effective cleaning happens.

• House keeping team must ensure the availability of sanitizers inside the washrooms.

• Washrooms must be cleaned using the provided disinfectant.

• Gathering of house keeping team for lunch or any other reason must be avoided and monitored.

• House keeping person must be informed to use the sanitizers to wash hands regularly at least once in an hour.

• House keeping person should ensure the cleaning room vacated until their work is done.

• House keeping must wear use and throw masks and hand gloves. They have to sanitize their hands every time they remove their hand gloves.

• The wastage collected including their reusable mask/hand gloves must be burnt immediately after the completion of cleaning and it must be ensured that they are not dumped for long time

• Entry of Visitors, should be prohibited until it is emergency/important.

• A maximum of two visitor at a time may be permitted in most exceptional and important situation only after pre-approval of the principal.

• The visitor must provide his recent doctor certificate at the entrance for ensuring his health.

• The permitted visitor must be thermally scanned and must be provided with PPE before entering the college premises.

• The visitor and the designated staff must meet in at visitor’s lounge for discussion and the visitor should not be allowed to meet anyone other than the designated person.

• Maintain visitor register containing Name, designated person, Reason for visit, entry/exit timing and scanned temperature for traceability.

• HOD’s and Principal meetings can be done in CAED or CCP lab thereby maintaining social distancing. All attendees must be equipped with PPE.

• Staff meetings must be done through the Microsoft teams and never personally. The recordings of meeting must be shared with principal.

• The snacks and Tea must be avoided during meeting hours.

• All the air conditioned room must be shut down and should not be used until further instructions.

• Vehicles must be disinfected everyday before and after the completion of transport.• COVID 19 awareness guidelines must be displayed in English & local language inside the vehicle.• Driver and the attendant must wear PPE like mask and should not physically contact the traveler.• Driver and the attendant must allow the traveler if and only they are equipped with necessary PPE’s.• Ensure sufficient hand sanitizer inside the transportation vehicle.• Driver and the attendant must ensure that traveler will not get in physical contact with co-traveler.• Passenger entering the vehicle first occupies the seat at the last row wrt., door, so that no passengers crosses others.• Passenger who occupies the first row near the door must exit first and the last row must exit at the end.• Touching door handless, railing etc. must be avoided inside the vehicle.

• The floor, door, tables, windows and etc., of Cafeteria must be completely disinfected at least twice before reopening.

• All the utensils used for preparation or for serving must be regularly cleaned with cleanser containing citric acid and alcohol in it. It must be cleaned at least twice a day whether used or unused

• The table and chairs must be disinfected after every use.

• The canteen committee has to periodically scan cafeteria workers before he/she starts the work. At least thrice a day and must be recorded.

• A maximum of 20 students can be allowed at a time and also maintain social distancing of 3 mtr.

• The responsible person must ensure that student will not share food or water with each others.

• The students who have brought the food from house must not be entertained into cafeteria.

• Students must be provided with hot water and make sure that cold water is not available inside the cafeteria.

• Students have to sanitize their hands before entering and while leaving the cafeteria

• Students have to enter the cafeteria with mask covered, again after lunch they have to leave the cafeteria with mask.

• Except basic lunch and breakfast other items like Junk foods, Ice-creams, Chocolates and other chat items must not be provided to students on any circumstances.
