1 UseThe SAP BPC for HCM Planning scenario can be used to plan the monthly HR costs by position using thepast data and future planned increases.

This document describes how to upload predefined input schedules and reports for HCM as well as howto build a business process flow in order to conduct HCM planning effectively.

Furthermore, section Creating Input Schedule for HCM Planning describes how to configure one inputmaster template and one input schedule manually. This section only serves as an example for manualconfiguration. This will allow you to create your own schedules if the ones delivered on the DVD do notcompletely fulfill your needs.

If you want to use the input schedules delivered on the documentation DVD, you do not have to carry out

the steps described in section Creating Input Schedule for HCM Planning .

Script logic multiplies the monthly salary by position against the rates for the entities. This script logic isprovided in BPC_Administration_Configuration_Guide_EN_DE.doc.

The results are reviewed in two predefined reports:

• HCM RESULTS for Entity by Year (file name HR10 Review Results.xlt)

• HCM PLAN RESULTS COMPARISON of HCM to PROFIT and LOSS ( file name HR12Compare Results.xlt)

2 Terminology

This document refers to the Business Planning and Consolidation application also known as SAP BPC.Application Sets

An application set is a group of applications. An application set contains a set of dimensions that may beshared among its applications.

Applications

An application is a functional unit used for a particular purpose (for example: finance application, salesapplication). Applications may share dimensions with other applications within the same application set, or have dimensions that are unique.

Dimensions

Dimensions consist of members. If the members of the dimension are arranged in a hierarchical order, therelationship between members is described with terms such as Parent , Child, and Sibling .

Properties

Dimension members are described by properties.

Data

Data is described by dimension members.

3 PrerequisitesThe Business Planning and Consolidation - Administration configuration guide has been implemented.

The following settings have been maintained:

1. Microsoft Office/ Excel 2003 (or 2007) language settings:Choose Start   Programs Microsoft Office Microsoft Office Tools  Microsoft Office 2003 (or 2007) Language Settings.Set to English.

2. Regional and Language Options:

Choose Start   Control Panel   Regional and Language Options. On the tab page Regional Optionschoose the Customize button. In the Customize Regional Options dialog box choose the Numbers tabpageSet the list separator to: ; (semicolon). The formulas used in this guide have semicolon. After completing the configuration in your system, you can switch back to your original settings.

 Note the number formatting used in the configuration is European format with comma as decimalsseparator and dot as separator for thousands.

4 Navigation in the SystemWhen you start the Business Planning and Consolidation application you first see the Launch Page, fromwhere you can select the user interface that you want to work in, for example SAP BPC Administration,SAP BPC for Excel, and so on.

Once you have chosen one of the options mentioned above, you see the Action Pane on the right-hand

side of your screen, where you can select your tasks and activities. With the buttons on the top youcan see details on the session information, the login information and the current view (CV).

Below the title, for example SAP BPC Administration, you can choose various tasks.

With the buttons at the bottom you can open other available interfaces or with See Also open the SAPBPC help.

At the top of the Action Pane you can navigate back and forth with the arrows. With the Home button youcan return to the start page of the specific SAP BPC application you are in.

5 Configuration

5.1 Uploading Templates

UseThis section describes how to upload and install in the system the predefined report and planning inputschedules delivered together with SAP Best Practices.

If you prefer to define the reports and input schedules manually then skip this chapter completely.

ProcedureCarry out the following steps:

1. Log on to SAP BPC for Excel.

To do so start the SAP BPC Launch Page from your desktop icon or via the Start menu of your desktop,then in the Programs folder choose SAP Business Planning and Consolidation.

2. On the SAP BPC Launch Page choose BPC for Excel. In the dialog box select the AppSetBest_Practices and the Application BP_HCM.

3. Choose OK.

4. In the Connection Wizard dialog box enter your user ID and password as required and choose Finish.

5. In BPC for Excel expand the current view (in the upper right-hand corner of the action pane) bychoosing the "+" sign left of CV (current view.)

6. Once the current view is expanded set the current view to the following parameters:

 

7. In BPC for Excel from the menu choose FileOpen.

8. Browse for the Misc folder on the SAP Best Practices for BPC documentation DVD and open thefollowing files:

Input Schedules

• EVDRE Input Baseline.xlt (template only for creating the input schedules and reports)

• HR00 Salary Input.xlt

• HR01 RateInputs.xlt

• HR02 Headcount Assignment.xlt

Reports

• HR10 Review Results.xlt

• HR12 Compare Results.xlt

9. Once the files are open, for each file, carry out the steps below (you can also save the delivered inputschedules and reports in a new folder of your choice)

i. From the menu choose eTools Save Dynamic Templates.

 For Excel 2007 users, make sure that the files are saved in Excel 2003 format andnot Excel 2007 format. Otherwise the templates might not be selectable whendefining Business Process Flow. The issue is however resolved in BPC 7.0 for Microsoft, SP5. See details in SAP Note 1347183.

ii. In the Save as dialog box choose Company in the left hand frame

iii. Save the input schedules to the folder …/BP_HCM/eEXCEL/Input Schedules

iv. Save the reports to the folder …/BP_SALES/eEXCEL/Reports.

ResultYou have successfully uploaded the templates used in the Best Practices scenarios. Now you canproceed with section 5.3 Creating Business Process Flow .

5.2 Sample of Manual Configuration

Use

This section describes a sample of how to configure one input master template and one input scheduleused in the SAP Best Practices for BPC HCM scenarios manually.

If you uploaded the predefined templates already as described in section 5.1, you can skip skip thissection completely and proceed to section 5.3 Creating Business Process Flow .

5.2.1 Creating Input Schedule for HCM Planning

5.2.1.1 Logging on and Setting the Current View

ProcedureCarry out the following steps:

1. Log on to SAP BPC for Excel.2. To do so start the SAP BPC Launch Page from your desktop icon.

3. On the SAP Launch Page choose BPC for Excel. In the dialog box select the AppSet Best_Practicesand the Application BP_HCM .

4. Choose OK .

5. In the Connection Wizzard dialog box enter your user ID and password as required and chooseFinish.

6. In BPC for Excel expand the current view (in the upper right-hand corner of the action pane) bychoosing the “+” sign left of CV (current view)

7. Once the current view is expanded set the current view to the following parameters:

Note: The current view need not match with your CV while creating the New Input Template.

5.2.1.2 Creating the EVDRE Input Baseline Template/Report

UseThis section describes how to create an input master template so that further input schedules can becreated with ease by copying the master input schedule and then build on it further.

ProcedureCarry out the following steps:

3. In cell A1 type in manually:

=EVDRE()

Don’t use copy and paste or similar ways, because it doesn’t work properly for the EVDREformula.

However, for the further configuration described in this document we recommend using theMicrosoft Office copy and paste function to insert formulas into the worksheet. This will help toavoid typing errors.

4. Choose Enter .

5. Choose the Refresh Workbook icon or from the menu bar choose eTOOLS  RefreshWorkbook .

6. In the EvDRE Builder dialog box make the following settings:

a. Leave the default values TIME in columns and HRACCOUNT in rows.

b. In the field Member selection enter BAS ,SELF.

c. Select the check box for  Allow options, Allow formatting and Allow sorting .

7. Choose OK .

8. Save the template locally by

i. Choosing the menu eTools  Save Dynamic Templates.

ii. If a dialog box appears, choose NO.

iii. In the Save As dialog box, on the Local folder, choose eEXCEL INPUT SCHEDULES , enter a name (for example, EVDRE Input Baseline) and save it.

9. Edit the template as below:

i. Expand the Columns by choosing the + on top of the column G and display theEVDRE function.

ii. Select Rows 1 to 19 and choose menu Insert  Rows so EVDRE is in cell A20.

iii. Select columns G, H, and I, choose menu Insert  Columns to create 3 columnsafter column F.

iv. Move (cut and paste) the App section (K21:M29) to cell A1.

v. Move B1: C9 by one column to C1:D9vi. Move D1:D9 by one column to E1:E9vii. Move cell C1 to B1

viii. Choose cell A2 and enter the function =EVDIM($B$1;"A") and choose Enter .

ix. Copy over the cell A2 (drag) to copy over the function arguments to cells A3 toA9.

x. Click on cell A3 and in the Formula Bar replace the “A” with “C” to change the

field to CATEGORY. Repeat this step for cells A4 to A11 with the followingvalues:

xi. Select cell B1 and in the formula bar enter =EVAPP().

xii. Select D1 and enter Manual Override (fixed value).

xiii. In cell C1 enter Current View. Fill it with grey color.

xiv. Change the function in cell B2 to be an “If” statement test, so that we test if thereis an manual override dimension member in column D, use, it, otherwise, use thecurrent view =IF(D2="";C2;D2).

xv. Copy cell B2 to B3:B9.xvi. Copy cell C2 to C3:C9.xvii. Copy cell E2 to E3:E9.

xviii. Select D1 to D9 and format the cells with outline border. Fill the cell D1 with 25%grey color and D2:D9 with Light Yellow.

xix. Change the Page Key ranges in row 23 to =EVRNG(B2:B9).

xx. Select column L and choose menu Insert  Columns to create an additionalcolumn. Make the color in L33 to M43 blank and white (you can use the ExcelFormat Painter).

xxi. Right-click the column N and choose insert to insert a new column.Adjust the column width setting for columns J, L and column N to the value 3.

xxii. Cut the date range row (O31:AA31) and paste it in O1:AA1

xxiii. In ColKeyRange in Row 24, the value should be =EVRNG(O1:AA1)

xxiv. In AutoFitCol option (row 50) make the value as blank.

xxv. Select M27 as report name corner and enter REPORT NAME.

xxvi. In M28 enter =EVDES(B7)&”-“&EVDES(B8) to bring the Time dimension values incurrent view.

xxvii. From the menu choose eToolsSave Dynamic Template and save the templateas a report in the local folder also in the Root of eExcel company folder.

xxviii. From the menu bar choose eToolsWorkbook Options.

xxix. In the Current Workbook Options dialog box set the type to Input Schedule andselect the following checkboxes:

• Refresh workbook on worksheet update

• Refresh workbook on workbook open

• Refresh after data send

• Expand on workbook open

• Expand on current view change

xxx. Choose OK .

xxxi. To insert buttons for Refresh and Send data the following steps can be used.

1. From the tool bar, choose eSubmit  Open Dynamic Schedule Template2. Select Account-Trend input schedule template and choose Open.

3. In the open Template1, use the control key on your keyboard and selectboth the buttons in K37 and L37 cells, then from the menu choose Edit  Copy to copy the two buttons.

4. Back on EVDRE Input Template select cell M25 and choose Edit  Paste to paste the buttons.

5. Now to set the properties and assign the Macro for Refresh button usethe following procedure:

a. Right-click the Refresh button and from the menu choose Format control.

b. On the Format Control dialog box, choose the Properties tab.

c. In the Object positioning area, select the radio button for Movebut don’t size with cells option.

d. Choose OK to close the dialog box.

e. Again on the Refresh button, right-click and from the menuchoose Assign Macro.

f. Enter the Macro name asMNU_ETOOLS_EXPANDANDREFRESH and choose OK.

6. For the Send data button properties use the following procedure;

a. Right-click the Send data button and from the menu chooseFormat control.

b. On the Format Control dialog box, choose the Properties tab.

c. In the Object positioning area, select the radio button for Movebut don’t size with cells option.

d. Choose OK to close the dialog box.

xxxii. In cells K1, K2 and K3 enter the descriptions COLUMN RANGE, BEFORE andAFTER respectively.

xxxiii. In cell K32 enter the description ROWRANGE.

xxxiv. Complete any color formatting and company logo insertion as desired byfollowing the EVDRE Input Baseline provided to you in the DVD.Add/adjust groupings for columns and rows to hide/collapse the EVDRE settings.

xxxv. From the menu eTools Save Dynamic Templates, save as Input Schedule inthe Local folder as well the on the Company  eExcel root directory.

5.2.1.3 Creating Input Schedule HCM Prior Year Salary Input for HRPOSITION

1. Open the EVDRE Input Baseline template.2. Delete the text in cells K35:K45.3. Enter “CurrentPositions” in cell D9.4. Highlight the cell range from K32:AA43, cut it and paste it in cell K40 to move the selected range

down some rows.5. Change cell descriptions: B33 to ROW, B34 to HRPosition, and B35 to BAS.6. Delete the data in cells C32 to C39 and format these cells so as to display only Expansion1.

7. To edit the EVDRE function in cell A20 to reflect the new expansion range. choose the in theformula bar. In the Function Arguments dialog box, in the Expand range field change A33:C39 toA33:B39.

8. From the menu choose eTools Expand All .9. In cell A13 enter “TIME:”, followed by the following function statement in B13:

=EVPRO($B$1;$B$7 ;"YEAR")&".INP".10. Cut the cell K2,K3 and paste them in K8 and K9.11. From the menu choose eToolsSave Dynamic Templates and save the Input Schedule as

HR00 Salary Input Final in the Local and Company Input Schedules folder.12. Select columns N:P and choose Insert to insert three additional columns.13. Defining the Column Range variables

a. Place “PYANNUALSALARY” in cell N2, “ANNUALPCTINC” in cell O2 and“ANNUALSALARY” in cell P2, and from R2 to AC2 place MONTHLYSALARY.

b. For cells in Row 3, Columns R3-AC3 place the names of the Months, Starting with JAN.c. For cell in Row 1, Column O, reference cell =$B$13d. For cells in Row 1, Column N, place the function =EVTIM($B$1;$O$1;-1).

e. For cells in Row 1, Column P, reference cell =$O1f. For cells in Row 1, Column R through AC, place the function =LEFT($P$1;5)&R3.g. For cells in Row R4 to AC4 enter the formula =EVPRO($B$1;R$1;"MONTHNUM")h. In cell B24 change the Column Key range of the EVDRE function to =EVRNG(N1:AC2)i. Expand and Refresh the worksheet (Press the Refresh button on the worksheet).

14. In cell P41, place the formula =IF(N41="";;(N41*(1+O41))) and shrink column Q to a width of 2.15. In cell B43, fill the cell with an M, for the column to sort the results of the expansion.16. In cell B44, fill the cell with A, to sort the expansion in ascending format17. In cell B36, fill the cell with the function =EVRNG(L8:AC8) for the expansion (expand the sheet

using the “Expand All” button on the worksheet or from the eTools menu).18. In cell R42 through AC42, place the formula =IF(R$4-

(HLOOKUP($N$38;$R$3:$AC$5;3;FALSE))<0;$N42/12;$P42/12) in each cell.19. In cell M40, type “HR Position”

20. Save the Input Schedule as HR00 Salary Input Final in the local and Company input folders.21. In cell N40, place the function =IF(EVDES(N1;$B$1)="#NODATA";"";EVDES(N1;$B$1)&" Annual

Salary")22. In cell O40, place function =IF(EVDES(O2;$B$1)="#NODATA";"";EVDES(O2;$B$1))23. In cell P40, place function =IF(EVDES(P1;$B$1)="#NODATA";"";EVDES(P1;$B$1)&" Annual

5.3 Creating Business Process Flow

UseBusiness process flows are comprised of steps that must be completed sequentially, and sub-steps, whichdo not. The sequence of steps and sub-steps are displayed in the BPF 'To Do' list.

If a step does not contain sub-steps, the step contains the task to be completed. When you select it, theassociated BPC task is displayed. If the step has sub-steps, you cannot select the BPF step because thestep serves as a container for the sub-steps. In this case, the sub-steps contain the tasks to be completed.

Procedure

1. On the SAP BPC Launch Page choose BPC Administration.

2. On the BPC Administration page choose Manage Business Process Flows.

3. In the dialog box select the AppSet Best_Practices and choose OK .

5. In the Business Planning and Consolidation Administration console select in the left hand frameBusiness Process Flows.

6. In the right hand frame choose Add a New Business Process Flow.

7. On the SAP - Add a New Business Process Flow dialog box in the left hand frame select A. DefineBPF and make the following settings:

11. In the Available frame select Admin Team and choose the icon with the arrow pointing to the right.The Admin Team entry appears in the frame Selected .

13. On the SAP – Add a New Business process flow dialog box under  Add steps and sub-steps for BPF …section, choose Add….

14. On the How do you want to add your …dialog box select Add a new process step.

a. Enter as name HCM Planning and as description “Follow the Steps to Plan HR Costs byPosition/Employee”.

b. Choose OK .

15. On the Add steps and sub-steps for BPF … dialog box choose Add ….16. On the How do you want to add your …dialog box

a. Select Add a new sub-step.

b. Enter as name Load Salary Details and “Input Salary Details for Positions Available” asinstruction.

c. Choose OK .

17. On the information message An action cannot exist… choose Yes.

18. In the same way as the sub-step Load Salary Details create the following sub steps:

c. In the Instruction field enter Review the Calculations.

d. Choose OK .

21. On the SAP – Add a New Business process flow dialog box choose Define Actions.

24. In the left hand frame select the sub-step Assign Headcount and maintain the parameters for asfollows:

a. In field Interface select BPC for Excel .

b. In field Task select Open Template.

c. In field Application select BP_HCM .

d. To select the relevant File choose Browse and in the Open dialog box, choose Input Schedules\HR02 Headcount Assignment.xlt.

e. In the Current View section at the bottom of the right frame:

- For the Category dimension choose Member lookup as Current View Type andBUDGET as Member.

- For the Time dimension and Entity dimension choose Inherit from Data Region asCurrent View Type.

25. In the left hand frame select the sub-step Review Current Results and maintain the parameters for asfollows:

a. In field Interface select BPC for Excel .

b. In field Task select Report Library.

c. In field Application select BP_HCM .d. To select the relevant File choose Browse and in the Open dialog box, choose Input 

Schedules\HR10 Review Results.xlt.

e. In the Current View section at the bottom of the right frame:

26. In the left hand frame select Compare Results and maintain the parameters for as follows:
