Unloading/Registration (7:00 AM – 7:50 AM) Team coaches will sign in at the registration desk located in the building with your school’s team room. Coaches must have the completed “Release and Waiver of Liability Agreement” and “Release to Use Image or Likeness” for each competitor with them at this time (forms will be distributed in the coming weeks). Room locations will be announced in mid-January. Events (8:00 AM – 3:00 PM) Students will compete in events by the preceding schedule. Numbers represent team number. Assorted Activities (3:00 PM – 4:00 PM) If you or your students have any ideas for activities you would like us to organize during this time period, please let us know via email. Closing Ceremonies (4:00PM-6:00PM tentative)

We will be using Ezra for self-schedule this year. Instructions on how to sign-up are below. Self-schedule will open on 15 January, 2018 at 8:00 PM.

CREATING A SCHOOL ACCOUNT ON EZRA

1. Go to www.ezratech.us 2. On the top right-hand side, click “Register” 3. Click “School” 4. Fill in information, agree to Terms of Service, and click “Submit”. BE SURE TO FOLLOW INSTRUCTIONS ON

CREATING TEAMS 1. When logged in, on the top right-hand side, click “School Control Panel” 2. On the top bar, click “Teams” 3. Click “Add New Team” 4. Fill in information and click “Submit”

a. Be sure to create only one “A” team, one “B” team, etc. as needed 5. TO EDIT TEAM INFORMATION – Click on one of your teams on the “Teams” page, then retype information

and click “Submit”

REGISTERING FOR A TOURNAMENT 1. If you are not on Ezra’s home page, click on the “Ezra” icon 2. On the top left side, click “Competitions” 3. Click on “University of Pennsylvania Invitational” 4. Click “Register Now” 5. Select the teams you will be registering for the tournament and answer any questions. Then click “Submit” 6. You should receive an automated email from Ezra Tech confirming your registration

Event scheduling instructions

1. If you are not on Ezra’s home page, click on the “Ezra” icon 2. On the top left side, click “Competitions” 3. Click on the desired competition 4. On the menu bar in the white box, click “Event Signups” 5. Using the dropdown bar under the instructions, click on the team you will be doing signups for first 6. Click on a timeslot for each event you are participating in. You can keep changing the time slots around until

they fit your needs 7. Once you are satisfied with your selections, click “Submit” 8. IF YOU HAVE MORE THAN ONE TEAM, repeat steps 5-7 with your other teams ONE BY ONE. Be sure to hit

submit after signing up each team. 9. TO CHANGE YOUR TIME SLOTS: simply select from the dropdown box the team you would like to change,

click on the new slots you want, and click “Submit”. Once again, be sure to hit submit for each team you sign up before you go on to the next team

As we are located in a major US city, it is a good idea to get started early on hotel reservations for competition day. We have partnered with several hotels near Penn’s campus to get discounted rates for teams choosing to stay there. You’ll find a summary in the table below. Often times, it’s possible to get even lower rates at hotels just outside of the city limits, or a bit farther away from campus.
