The Business CaseXTCM enables organizations to cope with enormous volumes of information, accelerate information time to value, manage the information from capture to archive and reduce the IT burden of support by using a software-as-a-service (SaaS) model. Documentation or other electronic files that are captured managed and stored electronically in a single repository increase in value as the content becomes easier to access and business processes are automated. A typical business case for employing XTCM generally includes the following steps:

1. Capture and upload:

• Scanning & image clean-up (through integration with external solutions)

• Classification and identification of documents with appropriate metadata for indexing so they can be easily retrieved.

• Extraction of data that can be made available to users in a variety of other applications.

• Validation of the related data against line-of-business applications or other processes to ensure accuracy and completeness.

2. Processing:

• Application of business rules to automate repetitive tasks that have traditionally been manual processes.

• Establishment of queues where documents can be reviewed, prioritized, routed or pushed to the appropriate user for further actioning.

• Integration with LOB applications such as ERP and CRM systems or other 3rd party applications.

• Application of existing records management and/or retention policies to determine appropriate security and existence.

• Generating original document through the merging of acquired content with standardized templates.

3. Delivery:

• Search, view, retrieve, and update documents.

• Redline and annotate documents.

• Instantaneous access to all the information available as part of the file.

• Controlled access to protect customer confidentiality and assure the integrity of records.

4. Retention, archiving and storing:

• Protecting and maintaining the authenticity of documents through controlled access limiting the ability to revise or delete.

• Managing longevity of the documents through system monitoring and failure contingency plans.

• Provide continued accessibility through appropriate security.
