Study the DVD training manual 「使用中文語音轉換文字軟件 訓練課程」 produced by the EDB for configuring the setting of MacBook Air and using the built-in speech-to-text (STT) software. 2. Ensure that any system/software updates (e.g. MS Word) have been made as appropriate, and preliminary checking of the MacBook Air and preparatory work have been properly performed (see the steps and details in Annex 1) before the examination. Important: i) In the Mac operating systems [such as macOS Catalina (released in Oct 2019) and macOS Big Sur (released in June 2020)] where the ‘Dictation’ function does not support offline operation, candidates should operate ‘Voice Control’ function which supports offline operation for converting their speech into text. In view of the enhanced accuracy and response time of speech recognition in macOS Big Sur, for candidates who are currently using ‘Voice Control’ function in macOS Catalina, the schools concerned are strongly advised to upgrade the macOS to Big Sur for their existing MacBook so that the candidates can operate the ‘Voice Control’ function with enhanced speech recognition performance in offline mode (see Annex 2). Guidelines to Centre Supervisors for Candidates using Speech-to-text Software in the Examination

Prior to the examination 1. Study the DVD training manual 「使用中文語音轉換文字軟件 – 訓練課程」

produced by the EDB for configuring the setting of MacBook Air and using the built-in speech-to-text (STT) software.

2. Ensure that any system/software updates (e.g. MS Word) have been made as appropriate,

and preliminary checking of the MacBook Air and preparatory work have been properly performed (see the steps and details in Annex 1) before the examination.

Important: i) In the Mac operating systems [such as macOS Catalina (released in Oct 2019) and

macOS Big Sur (released in June 2020)] where the ‘Dictation’ function does not support offline operation, candidates should operate ‘Voice Control’ function which supports offline operation for converting their speech into text. In view of the enhanced accuracy and response time of speech recognition in macOS Big Sur, for candidates who are currently using ‘Voice Control’ function in macOS Catalina, the schools concerned are strongly advised to upgrade the macOS to Big Sur for their existing MacBook so that the candidates can operate the ‘Voice Control’ function with enhanced speech recognition performance in offline mode (see Annex 2). A short demonstration video clip of ‘Voice Control’ function in macOS Big Sur is available for viewing from the HKEAA website (http://www.hkeaa.edu.hk/en/Candidates/special_needs_candidates/hkdse.html).

ii) Candidates who used to operate the ‘Dictation’ function in an earlier macOS (such as Mojave) can continue the usage (see Annex 3). The schools concerned need NOT upgrade the macOS for their existing MacBook.

3. Download and try out the sample electronic answer sheets (i.e. MS Word or Pages

version) from the HKEAA website (http://www.hkeaa.edu.hk/en/Candidates/special_needs_candidates/hkdse.html) with the candidate(s) concerned and assist them in choosing ONE electronic answer sheet for use in internal examination(s).

The provision is applicable to: Liberal Studies and seven elective subjects (i.e. Chinese History, Ethics and Religious Studies, Geography, Health Management and Social Care, History, Literature in English, and Tourism and Hospitality Studies)

4. On the day before the examination, check all the computer hardware and software to ensure that they are working properly.

5. The school should nominate a Centre Supervisor (CS) or an invigilator assuming the role

of CS responsible for the proper conduct of the examination in each examination room/hall. For an examination room/hall with more than 1 candidate, the school is strongly advised to provide at least 1 invigilator to ensure the smooth conduct of the examination, and an invigilator from another school will be arranged by the HKEAA for cross invigilation. Besides, at least 1 school technician should be nominated to provide technical support for the candidate(s) concerned on the day of the examination.

6. Try out the special seating arrangements (if applicable) in internal examinations (see the

details in Annex 4). Ensure that the examination time and supervised breaks for the candidate(s) in the same examination room/hall are synchronised.

Important: Candidates who are allowed to use the STT software will be granted supervised breaks in the examinations (i.e. a short break of 5 minutes per 45 minutes for examinations). The break times will be printed on the candidates’ admission forms and the examination timetable stuck on their desk on the day of the examination. If a candidate is accommodated in a single room in the public examination and decides not to take the supervised break(s), he/she should inform the CS before the examination starts. The CS should deduct the break time from the original examination time given and record the actual examination end time on the examination timetable on the candidate’s desk. After the end of the examination, the candidate concerned should be asked to fill in a special report (i.e. Report Form SR4g).

7. Check if a blackboard or whiteboard can be seen by the candidate(s) in the examination

room/hall.

8. Remind the candidates that they should bring their own watch or refer to the clock in the MacBook Air to time the examination as not all examination rooms will have a clock or the clock is not visible to them due to the special seating arrangements.

9. If a candidate is also allowed to use the screen reader in the examination, only standard

extra time allowance (ETA) (i.e. 25% for conventional papers; 20% for Tourism and Hospitality Studies Paper 1) will be given. NO additional ETA will be provided for using both STT software and screen reader. The candidate may read the question paper and ‘read back’ his/her answers with the text-to-speech function of the MacBook Air. He/she may operate both software on the same computer with sufficient training/practice given by the school but he/she is strongly advised to use separate computers in order to lower the chance of technical problem or human error. For details about the use of screen reader, please refer to SEN-OP01 ‘Guidelines to Centre Supervisors for Candidates using Screen Reader in Examinations’.

Important: Candidates misusing allowable ancillary aids (e.g. copying any text from the MS Word file for the use of screen reader to the electronic answer sheet template with the ‘copy and paste’ function of MacBook Air) during the examination will risk a mark penalty.

On the day of the examination Making special seating arrangements 10. Ensure that the special seating arrangements are made for the candidate(s) (if applicable)

(Annex 4). Checking Computer Hardware and Software 11. Check that all the necessary hardware and software comply with the examination

requirements (repeat Step 2) and they are working properly for the smooth conduct of the examination. Ensure that the computer(s) is/are in good conditions and there is sufficient paper in the paper tray of the printer and have enough ink/toner for printing. Check that no document files are opened.

12. Demonstrate to the Invigilator (if any) that the MacBook Air is not connected to any

network and that all the relevant templates and document files have been removed from the drives of the MacBook Air. Repeat Step 2 upon request of the CS/Invigilator in case of doubts.

13. The CS and Invigilator (if any) have to sign on the ‘Report on Checking Equipment and

Facilities’ (Annex 8) to confirm their compliance with the checking procedures. Receiving Examination Materials 14. Receive the following items for each candidate in each paper:

(a) normal question-answer book or question paper and other examination materials (if any) (please refer to Annex 5);

(b) special question-answer book or question paper in a sealed envelope (if any); (c) a sealed Exam USB Envelope with a USB flash disk; and (d) a reserve USB flash disk in a Spare USB Envelope separately sealed.

Important: i) Normally one packet of normal question-answer book or question paper

(including 10 printed copies) will be distributed to each centre school. ii) Each USB flash disk is labelled with a serial number and contains two electronic

answer sheet templates for MS Word and Pages respectively (see sample in Annex 6).

iii) The reserve USB flash disk serves as a back-up only. It should not be used unless the USB flash disk is not working.

Before the examination 15. Follow the procedures stated in the CS Handbook (SEN centres) for:

(a) admission of candidates; (b) advising candidates to put away their personal belongings, switch off their mobile

phones/electronic devices, etc.; (c) unsealing the question paper packets and checking the number of pages/questions

of the printed copy of the question paper/question-answer book; and (d) distributing the question papers, question-answer books and other examination

materials to candidates (please refer to Annex 5). 16. Print an answer sheet template in the USB flash disk provided by the HKEAA (i.e. either

MS Word or Pages version) to ensure that the printer is functioning properly.

(Note: A printer may be shared among two or more examination rooms on the same floor.)

17. Before announcing the start of the examination, assist each candidate in creating an

answer script file and setting the auto-saving function: (a) create a folder named ‘HKDSE’ in the desktop of MacBook Air; (b) open the STT software; (c) insert the USB flash disk; (d) choose ONE of the answer sheet templates (i.e. either MS Word or Pages version)

and save it in the ‘HKDSE’ folder using a designated file name [i.e. using candidate number, subject abbreviation and paper number] as his/her answer script file (please refer to Annex 7);

(e) open the answer script file and type the candidate number in the header of the first page only; and (Note: Do NOT type the candidate number again in the header of the following pages as default setting has been made in the file.)

(f) set the auto-saving function to every 3 minutes for MS Word, if applicable (see the steps and details in Annex 1). (Note: For Pages, the auto-saving function should be activated automatically.)

18. Before announcing the start of the examination, allow the candidates to practise the

dictation function and to edit the text with the keyboard and/or allowable Chinese character input method(s) for a short while (e.g. 10-15 minutes). Clear all the words dictated in the MacBook Air after the familiarisation exercise.

19. Remind the candidates that:

(a) they are normally NOT allowed to withdraw from using the software after the start of the examination;

(b) they must NOT work on the first page (i.e. Instructions for Candidates) of the answer script file;

(c) they should give answers from the second page and start each question (not referring to sub-questions) on a new page of the answer script file and input the correct question number for each question/sub-question;

Important: i) For HMSC Paper 2 which consists of two sections, candidates should give

answers for Section B on a new page of the answer script file. ii) For THS Paper 1 and Geog Paper 1, unless otherwise specified, candidates

should give answers on the MC answer sheet for Section A and complete other section(s) using the speech-to-text software.

(d) they need NOT input the page number as default setting has been made in the file; (e) they must NOT amend the preset format/margin of the file; (f) in case they are seriously ill and unable to speak well enough for using the software

or cannot use the software due to technical problems, they should work on the normal/special question-answer book and/or answer sheet in handwriting; (Note: The CS should contact the HKEAA (Tel: 3628 8917) and the incident should be reported in Report Form SR4g.)

(g) the answer script will be printed for submission at the end of the examination.

They are NOT allowed to work on the printed answer script after the end of the examination;

Important: If a candidate requests to edit/write on the printed answer script, he/she may be allowed to print the answer script during the examination. However, he/she will NOT be allowed to use the software again and the time spent on printing will NOT be compensated.

(h) though the auto-saving function has been set, candidates should also save the file

periodically to avoid any loss of answers due to technical problems; and (i) any misuse of the allowable ancillary aids during the examination will risk a mark

penalty. 20. Please contact the HKEAA (Tel: 3628 8917) if there is any problem. During the examination 21. Candidates should operate the STT software on their own during the examination. 22. If an examination room/hall accommodates more than 1 candidate, all the candidates are

required to put on BOTH headphones with microphones (e.g. Apple EarPods) and noise-blocking earmuffs (with Noise Reduction Rating of 29-30 dB) during the examination. They may take off the equipment temporarily when going to the toilet or during the supervised breaks.

Important: Candidates are strongly recommended to take a short rest by taking off the above equipment during the 5-minute supervised break (i.e. per 45 minutes for examinations). Schools should practise the arrangements for the candidates concerned in internal examination(s).

23. 15 minutes and 5 minutes before the end of the examination, the CS/Invigilator should

gently remind the candidates about the examination time left with the Time Reminder Notices.

24. In the event of software problems/computer breakdown that necessitates the computer to

be re-booted or replaced OR the software to be re-started, the CS/Invigilators should confirm whether the candidate will choose: (a) to continue answering in handwriting on the question-answer book, answer book or

supplementary answer sheet WITHOUT compensation for examination time; OR (b) to pause the examination during the re-start/re-boot period until the

software/computer is available for use again, and continue the examination using the software after the technical problem is fixed. If the problem still persists, the candidate should continue the examination in handwriting on the question-answer book, answer book or supplementary answer sheet. The CS/invigilator should record the duration of pause(s). Before asking the candidate to resume working, the CS/invigilator should adjust the examination finishing time based on the duration of pause(s) and write down the actual examination finishing time on the candidate’s examination timetable.

Note: The CS should contact the HKEAA (Tel: 3628 8917) and the incident should be reported in Report Form SR4g.

End of examination Handling of Answer Script file 25. The CS/Invigilator should ensure that the final version of the answer script file is saved

in ‘HKDSE’ folder of the MacBook Air. 26. Export the final answer script file in PDF format and copy it to the USB flash disk

provided by the HKEAA using the same designated file name created in the ‘HKDSE’ folder. Select the ‘Best’ option for the image quality and no password should be defined for the PDF file (see the steps and details in Annex 7).

27. Instruct and supervise each candidate to print a hardcopy of his/her final answer

script file in actual size (set ‘100%’ for ‘Scale’ option) on single-sided pages. Handling of Printed Answer Script and Examination Material 28. Check the printout to ensure that each candidate has (i) his/her candidate number, (ii)

question and/or sub-question number(s), and (iii) page number on each page of the printed answer script.

29. If the CS/Invigilator discovers that (i) the candidate number and/or page number

is/are missing on any pages of the printed answer script and/or (ii) the page numbers are missing/printed in a wrong sequence, the candidate may write/amend the candidate number and/or page number on the printed answer script under the supervision of the CS/Invigilator.

30. Check and confirm with each candidate that all pages of the answer script file (including

the first page ‘Instruction to Candidates’) have been printed and there are no missing pages.

31. Instruct and supervise each candidate to affix the barcode label in the designated box

on the first page of the printed answer script. Staple the printed answer script, if applicable. Important: i) Do NOT sign on any pages (including the first page) of the printed answer script. ii) For papers where question-answer books are used (i.e. LS Paper 1 and HMSC

Papers 1 and 2), instruct each candidate to affix a barcode label in the designated box on the first page of the attempted question-answer book (normal or special version) after the end of the examination for submission to the HKEAA.

iii) For HMSC Paper 2 which consists of two sections, the printed answer script of Section B should be placed in the corresponding answer script envelope pre-printed with Section B. Please instruct and supervise the candidate to stick the barcode label in the space at the upper right corner on the top page of the printed answer script for Section B.

iv) For THS Paper 1 and Geog Paper 1, the candidates’ MC answer sheets for Section A should be placed in the MC Answer Sheet Folder.

32. Any supplementary answer sheet with the candidate’s answers on should also be collected for submission to the HKEAA. Affix a barcode label on the answer sheet.

33. Mark the serial number of the USB flash disk assigned to the candidate, the candidate

number and the subject/paper sat on Annex 9. 34. Permanently delete all the answer script file(s) from MacBook Air after performing a

final check on the candidate’s printed answer script. 35. Return the materials below to the HKEAA after the last examination session of the day:

(a) USB flash disk, the report form (Annex 8) and the USB record form (Annex 9) in the original Exam USB Envelope;

(b) (i) printed answer scripts, (ii) attempted question-answer books (normal or special version), answer book, supplementary answer sheet, question paper with MC answers circled, and (iii) item (a) above sealed in the Answer Script Envelope;

(c) Candidates’ MC answers (on normal/enlarged MC answer sheet) in the MC Answer Sheet Folder which should then be placed in a clear plastic bag. The plastic bag should be sealed with security adhesive tape. Do not bend or tie the folder;

(d) reserve USB flash disk in the Spare USB Envelope; (e) any rough work in the Rough-work Sheet Envelope; and (f) other examination materials as listed in the CS Handbook (SEN centres).

Annex 1 Recommended Computer Facilities and Configuration for using Speech-to-Text Software 1. Recommended computer facilities

Apple MacBook Air 13” * • 1.4GHz Dual-Core Intel Core i5, or above • 8GB 1600MHz LPDDR3 SDRAM • 128GB PCIe-based Flash Storage • Headphones with microphone (e.g. Apple EarPods) • Mouse * or the latest basic model of MacBook Air, e.g. MacBook Air (Retina) with 1.1GHz dual-core Intel Core i3 Remarks: 1) For matters relating to the purchase of MacBook Air, schools can contact Special

Education Support 4 Section of the Education Bureau at 2307 0265. 2) Speech-to-text software in MacBook Pro may also be considered.

Others • A local network printer(s) for A4-size papers with new ink/toner cartridge to ensure

good printing quality. • Chinese character input methods (e.g. Cangjie, Quick, Pinyin, Stroke and Q9)

(optional) Remark: If an external writing pad is used, the request should be considered by the

HKEAA on a case-by-case basis. The school/candidate should provide evidence that the writing pad supports MacBook Air and it can be operated with the word association functions disabled.

• MS Word 2011, 2016 or 2019 (applicable to candidates using the electronic answer sheet in MS Word)

• External CD Drive (applicable to candidates who are allowed to use Screen Reader software but there is no CD Drive in the computer).

2. Configuration

(a) The MacBook Air used for examination must be disconnected from any network

and connections, including wired/wireless connection (e.g. un-plug and remove the network cable attached to the computer; stop/disable the Network Adapter(s) from Control Panel).

(b) The following functions of the speech-to-text software might affect the fairness or

appropriateness of the software and they must be removed or disabled prior to the software being used in the examination: • trackpad for editing the text; • calculation, autotext, predictive text, dictionary/translation, spell check,

grammar-check and thesaurus;

• the word association functions for dictation/voice recognition and input methods; and

• choice of words with identical pronunciation by the user.

(c) In System Preferences, the energy saver preference should be set to ensure the MacBook Air is always on.

3. Suggested steps for disabling network connection (a) Click the System Preferences icon. (b) Click the Network icon.

(c) Click the ‘Wi-Fi’ tab.

If the Wi-Fi is turned on, click the ‘Turn Wi-Fi Off’ button.

(d) Click the ‘USB Ethernet’ tab.

Ensure that no Ethernet network connection is shown. Un-plug the network cable if the Ethernet network is found.

4. Suggested steps for removing templates/document files and disabling undesirable functions in public examination (e.g. Spell and Grammar, Auto Correct, etc.)

Using Pages (a) Delete all files inside the folders ‘Template Previews’ and ‘Templates’ under the

template folder locations (except “Blank” and “BlankLandscape”) (e.g. Applications > Pages.app > Show Package Contents > SharedSupport).

(b) Follow the steps for disabling the undesirable functions in public examination (e.g.

Spell and Grammar, Auto Correct) as illustrated in the DVD training manual「使用

中文語音轉換文字軟件 – 訓練課程」.

Using MS Word (a) Clear unnecessary document files and templates from the MacBook Air (i.e. search

and delete all .doc, .docx, .dot, and .dotx files except ‘Normal.dot/Normal.dotx/Normal.dotm’ and empty the Recycle Bin).

Delete all files inside the folders ‘My Templates’ under the template folder locations (except “Normal.dot” or “Normal.dotx” or “Normal.dotm”) (e.g. ~/Library/Application Support/Microsoft/Office/User Templates/My Templates).

MS Word 2016

Delete all files inside the folders ‘Templates’ under the template folder locations (except “Normal.dot” or “Normal.dotx” or “Normal.dotm”) (i.e. ~/Library/Group Containers/UBF8T346G9.Office/User Content/Templates).

(b) Set ‘Always ON’ under Windows Power Options and inactivate screen saver. (c) Disable Spell Check, Dictionary, Translation and Auto-correct functions.

(i) Click Word > Preferences > Spelling and Grammar/ AutoCorrect (ii) Uncheck all boxes as shown to turn off Spell Check, Dictionary, Translation

and Auto-correct functions.

5. Suggested steps for setting auto-saving function in MS Word

(a) Create a folder named ‘HKDSE’ in desktop

(b) Change auto-recovery file location

(i) Click Word > Preferences > File Locations

(ii) Under File locations, click AutoRecover files, and then click Modify.

(iii) Input the new file location /Users/<Login Account>/Desktop/HKDSE.

(iv) Click Choose.

(c) Adjust the time for auto saving

(i) Click Word > Preferences > Save

(ii) Adjust Save AutoRecover information to every 3 minutes.

(iii) Click OK.

Auto Recovery of files in MS Word and Pages

When the MS Word/Pages application or the MacBook Air is terminated accidently, the computer will perform auto recovery of last document when the application is run again.

When Voice Control is enabled, you will see an onscreen microphone representing the mic. To pause Voice Control and stop it from listening, say “Go to sleep” or click Sleep. To resume Voice Control, say or click “Wake up.”

Open Pages or MS Word. Click to place the cursor in a documents or other text field. Press the ‘Fn’ (Function) key twice. A microphone icon will appear on the screen to show that your computer is listening. You can now start dictating. To stop dictation, press the ‘Fn’ (Function) key again or click the ‘Done’ button underneath the microphone icon.

Annex 4 Special Seating Arrangements for Candidate(s) using Speech-to-Text Software

To ensure that all candidates are equitably assessed under suitable conditions, special seating arrangements should be made for candidates being granted the use of speech-to-text software so as to avoid disturbing other candidates.

Scenario 1

If feasible, it should be conducted in a single room for individual candidates. Scenario 2

More than 1 candidate is accommodated in an examination venue: Recommended examination venue • Standard Classroom (to accommodate a maximum of 2 candidates); • Function Room (with the size of around 2 standard classrooms; to accommodate a

maximum of 4 candidates); and/or • Hall (to accommodate 5 or more candidates) (suggested layout is given in Annex 4a).

Special requirements • A minimum of 5 metres’ distance between candidates’ seats is required. • Noise-blocking partitions or notice boards should be erected between candidates (a

sample partition with suggested specifications is given in Annex 4b). • Each candidate is required to put on BOTH headphones with microphones (e.g. Apple

EarPods) and noise-blocking earmuffs (with Noise Reduction Rating of 29-30 dB) during the examination.

• No seat should be arranged near the air-conditioner which would be switched on during the examination.
