How To Use Wellborn’s
Co-op Program

INTRODUCTION
The Co-op program accrues at 2% of the net invoices.
Home Concepts orders do not accrue Co-op funds and are not eligible for reimbursement.
Accruals are calculated from January to December of each year. Credits can be issued from
January through the following March based on January through December net sales. This
gives you a three month grace period to submit claims for calendar year purchases.
Each year the Co-op deadline is March 31st. All claims must be received by this date to be
issued from prior year funds. All Wellborn Cabinet orders must be received by your
company’s cut off on the last week of March to qualify. All funds that are not used by the
deadline are forfeited.
All claims submitted must be within the calendar year that your funds accrue. A deduction
CANNOT be made to any Wellborn Cabinet invoices prior to receipt of credit memo. If your
submission is more than what you have accrued into your Co-op account, we will hold onto
the claim and check monthly to see when we can issue the credit.

You have the ability to view your Co-op balance and the amount issued as a credit here.
If you click on the dollar amount given as your Co-op Balance, you will be taken to your
Co-op Statement to see detailed usage.

VIEWING THE CO-OP CLAIM FORM
This is a Co-op Claim Form. Most of the
information on the form must be completed by
the dealer. It is very important that we have
the company’s account number and contact
information. Please add a check or an X by the
category you are sending a claim to go under
also.
The field that is asking for an agreement
number is only used internally by Wellborn
Cabinet. You will not need to add any
information here. There is a quick reference at
the bottom to help remind everyone on the
required materials to send in with each
category.

FILING A CO-OP CLAIM
When sending in a Co-op Claim, complete a Co-op Claim Form to put with your
submission. You can find this form on the WAY Site by going to Programs, Co-op and then
choose Co-op Claim Form.
Make sure to include the documentation required to issue your credit.
There are 3 options to filing a Co-op claim:

EXPENDITURES NOT ELIGIBLE FOR CO-OP
The following items and charges CANNOT be claimed for a reimbursement:
• Design Centers
• Wall Mount Door Displays
• Showroom Displays
• Production or preparation costs for locally or national produced advertisements
• Business forms, letterhead and business cards
• Advertisement in any fraternal or political activity or program
• Travel costs related to attending a local or national sales meeting or convention
• Advertising agency commissions
• CAD programs and annual support fees

PRODUCT SAMPLES
The Co-op program has many items that are covered under our Samples category, and
all are eligible for a 100% Co-op reimbursement.
Some of the items you can find in this category include:
• Sample Front Kits
• Sample Mini Base and Inset Mini Sample Kit
• All Brands Customer Start Up Kit
• Finishing Touches Kit
• Sample Chips, Sample Chip Display Trays and Sample Chip Kit

DESIGN CENTER AND WALL MOUNT DISPLAY DOOR REPLACEMENTS
While the display units are not eligible for a Co-op reimbursement, the replacement
items are 100% eligible. The replacement items that are eligible for 100% Co-op include:
• Display Doors
• Decals & Stickers
• Drawer Graphics
• Hanging Graphics
• Brass Marketing Items
• Sample Chips Display Trays
• Moulding Samples Display Trays

Specification catalogs at Premier-12-11 to Premier-12-13.

PRODUCT LITERATURE
The entire list can be found in the Marketing Materials section of your Price catalog and
Specification catalogs at Premier-12-20 to Premier-12-25.
There are many types of brochures and catalogs that are available to give out to clients
or to display in your showroom, and all are eligible for a 100% Co-op reimbursement.
Some of the items you can find in this category include:

• Wellborn Closets Brochure
• Elegant Bath Collection Brochure
• Home Concepts Brochure
• The Essence of Cabinetry Brochure

ADVERTISING
Media and Print Advertising
This advertising is eligible for up to 100% Co-op reimbursement with the promotion we
have running this year, as long as you are advertising exclusively Wellborn Cabinet. If
other vendors are present, the 100% promotion is void and the ad will be prorated.
Media advertising includes magazine, newspaper,
catalog, circular, yellow page, internet advertising
(such as banner ads) and flyers and postcards
designed to be included inside a newspaper
for distribution as an insert.
To receive a credit, submit a copy of the advertisement along with the Co-op claim form
and invoice. If the ad is in color, we will need a color copy of the ad.

ADVERTISING
Radio and Television Advertising
Radio and Television advertising are eligible for up to 100% Co-op reimbursement with
the promotion we have running this year, as long as you are advertising exclusively
Wellborn Cabinet. If other vendors are present, the 100% promotion is void and the ad
will be prorated.
Requirements:• Radio advertising must mention Wellborn Cabinet on the voiceover.
• Television advertising must have the Wellborn Cabinet logo appear on the screen at
any point on the ad and must mention Wellborn Cabinet on the voiceover.
To receive a credit, submit the affidavit and script along with a Co-op claim form.

ADVERTISING
Indoor and Outdoor Advertising
Indoor and outdoor advertising are eligible for up to 100% Co-op reimbursement with
the promotion we have running this year, as long as you are advertising exclusively
Wellborn Cabinet. The Wellborn Cabinet logo must be present. If other vendors are
present, the 100% promotion is void and the ad will be prorated.
The list below shows some of the items that are included:
• Billboards
• Outdoor signs
• Truck Decals
• Photographic Services (Photo prints, Duratrans & Wall Graphics)
To receive a credit, submit a picture of the billboard or signage along with your Co-op
claim form and Invoice.

PREMIUM ITEMS
Promotional Products
Promotional products ordered through a local company or through New Leaf Marketing
are eligible for a credit up to 50%. This list includes hats, shirts, jackets, cups, pens/pencils
and many other items that can be used as a giveaway. The Wellborn Cabinet logo must be
present on the item to be eligible. If other vendors are present, the claim will be prorated.
To receive a credit, submit a picture of the item purchased along with your Co-op claim
form and Invoice. If the item was ordered through New Leaf Marketing, we will only need
the Co-op Claim Form and the invoice.

ADVERTISING
Direct Mail
If a direct mail campaign is done to target a particular group or a large mailing for your
area, this is eligible for up to 100% Co-op reimbursement with the promotion we have
running this year, as long as you are advertising exclusively Wellborn Cabinet. The
Wellborn Cabinet logo must be present. If other vendors are present, the 100%
promotion is void and the ad will be prorated.
The items to submit to receive a credit include:
• Co-op Claim Form.
• Printout of the piece mailed. The item mailed must prominently feature the
Wellborn Cabinet name and have the approved Wellborn logo sized to be
comparable to the advertiser’s logo.
• Invoice for the printing and distribution stating the number of pieces mailed
with postage cost if it applies.

ADVERTISING
E-Mail Marketing
If an e-mail campaign is done to target a particular group or a large mailing for your area,
this is eligible for up to 100% Co-op reimbursement with the promotion we have running
this year, as long as you are advertising exclusively Wellborn Cabinet. The Wellborn
Cabinet logo must be present. If other vendors are present, the 100% promotion is void
and the ad will be prorated.
The items to submit to receive a credit include:
• Co-op Claim Form.
• Printout of the sent e-mail campaign showing the e-mail title and date message
was sent. The e-mail must prominently feature the Wellborn Cabinet name and
have the approved Wellborn logo sized to be comparable to the advertiser’s
logo. Wellborn must be mentioned at least as many times as the advertiser’s
name.
• Media provider’s invoice indicating email marketing charges and campaign dates.
• Tracking report detailing the email subject line, number of emails sent and date
emails were sent.

SOCIAL MEDIA ADVERTISING
Advertising the Wellborn Cabinet product through Google AdWords and Houzz is the most
popular and used form of Social Media advertising. To make these eligible for up to 100%
Co-op eligible within the guidelines of the promotion for the year, use these guidelines.
Google AdWords Requirements• The campaign must include the Wellborn Cabinet name along with the approved
Wellborn Cabinet logo.
• Include the printout of the search engine ad dated during the time of the
purchased campaign period.
• Media provider invoice detailing media cost, campaign activity, statistics on
click-thru’s and sites the media was placed.
Houzz Requirements• Provide the link to the Houzz Pro Site.
• Create a project labeled Wellborn Cabinet and use this to keep the Wellborn
Cabinet projects located.
• When using Wellborn Cabinet in projects, make sure to add Wellborn Cabinet in
your keyword or description of the project photos where Wellborn cabinetry is
shown.

Website
If a Webmaster created your website (like Surefire Social), this is eligible for up to 100%
Co-op reimbursement. The amount of funds that can be applied to a website will be
determined by the amount of pages that your website has and how many of those
pages has the Wellborn Cabinet logo present.
As with the print advertising, if there are any other vendors present, we will prorate the
website. The vendors mentioned includes other cabinet companies, countertop
companies, window companies, etc.
The monthly fee from the Webmaster for updates to the website is eligible for a Co-op
credit as part of website maintenance.

TRADE AND CONSUMER SHOWS
Participating in a trade or consumer show in your area is eligible for up to 100% Co-op
reimbursement with the promotion we have running this year, as long as you are
advertising exclusively Wellborn Cabinet. If any other vendors are present, the claim
will be prorated. If a display was built for the show using Wellborn cabinetry, this can
be submitted for a 50% credit after submitting the proper paperwork.
The items to submit to receive a credit include:
• Co-op Claim Form
• Booth rental agreement
• Pictures of booth
• If a display was built, the Wellborn invoice and layout is needed

ASSOCIATION DUES, OPEN HOUSE/BUSINESS MEETINGS AND 2020 AIM FEE
Association Membership Dues
Yearly membership dues are eligible for a 50% Co-op reimbursement. This includes NARI,
NAHB Remodeler Council & NKBA local dues. To receive a credit, submit the invoice from
the association along with a Co-op claim form.
Open House and Business Meetings
An Open House and Business Meeting are eligible for up to 50% of the cost of the
meeting space, refreshments and invitations associated with the event. To receive a
credit, submit any bills, a Co-op claim form and photography to show Wellborn products
present. Prior Approval from your Territory Manager is required.
2020 Application Integration Module (AIM) Fee
The yearly renewal invoice from 2020 for the AIM fee is eligible for a 100% Co-op
reimbursement. 2020 does not send us a copy of these invoices automatically. To receive
a credit, submit copy of the invoice along with a Co-op Claim Form.

MODEL HOME AND PARADE OF HOMES
A model home or parade of homes is eligible for a 50% Co-op reimbursement.
Prior approval from your Territory Manager is required.
The items to submit to receive a credit include:
• Co-op Claim Form
• Wellborn Cabinet invoices
• Cabinet layouts
• Pictures of the installed cabinetry
• The name of the subdivision
• The number of homes within the subdivision

WELLBORN ACADEMY CLASSES
The Wellborn Academy class fees can be submitted to come from Co-op funds at time of
registration, if the funds are available at that time. The only class that is not eligible to
come from Co-op funds is the Authorized Contractor training. The Dealer Host can
submit travel charges for a Co-op credit, but no charges can be submitted for the
Authorized Contractors attending the class.
Wellborn Academy expenses eligible for 100% Co-op reimbursement include:
• Registration Fees – cost of the class.
• Airfare – submit the flight itinerary for a credit.
• Hotel cost – submit the bill received from the hotel.
• Mileage – submit the mileage driven to attend the class at 39 cents a mile.
There are items such as parking fees, luggage fees, car rental and meals that are not
covered under the Co-op program.

Question and Answers:Question: I’ve already placed an order for brochures. Can I still apply that to my
Co-op?
Answer: Yes, this just has to be done by March 31st if you are trying to use prior
year funds. Complete the Co-op Claim Form and submit it along with the invoice
for a credit.
Question: When do the earned Co-op dollars post to the balance shown on WAY?
Answer: The Co-op dollars accrued from an invoice is posted to the balance on
WAY the following day.
Question: Can I use Co-op credits to purchase a truck wrap?
Answer: No, Co-op cannot ay the invoice received from the company the truck
wrap come from. The truck wrap invoice can be submitted to receive a credit.
Send in the Co-op Claim Form, invoice and picture of the truck wrap for a credit.
Question and Answers:Question: Other than literature, how do I use my credits?
Answer: When you receive your credits for any submissions sent in, you can use
it toward any open invoices. Contact the Credit Dept to have your credits applied
to an open Wellborn invoice. Let them know the credit memo number and the
invoice number that the credit needs to be applied to.
Question: Who do we contact to pay open invoices with Co-op dollars?
Answer: Contact the Credit Dept and let them know the credit memo number
and tell them which open invoice the credit needs to be applied to.
