INFORMATION ABOUT EXTERNAL VENDORS

Services contracted through external vendors must adhere to the schedules and regulations set by the hotel in terms of setup and removal activities related to the equipment and other items. All equipment must be removed at the end of the event, and cannot be left overnight.

Please confirm the installation schedules permitted for the different areas throughout the hotel with the Banquet’s Manager.

Two percent of the event’s total cost for equipment safeguarding purposes shall apply if the equipment is not removed immediately after the event.

All equipment taken in and out of the property must be inventoried by our Security Department, both upon entry and departure.

An appointment must be scheduled with the Maintenance Department through the Banquet’s Manager the day before the event to discuss specific set-up details and avoid last-minute problems.

The equipment must be turned over to the hotel staff properly assembled and clean, maximum 90 minutes before the scheduled start of the event. In case of tent installations, these must be installed the night before the event, to be delivered in the morning of the day of the event. The tents must be clean and in good condition. If the equipment requires electrical power for operation or installation purposes, the vendor must be asked to provide its own extension cords and cables to connect all equipment related to the event. The available power outlet is 110 volts, with a 70-amp breaker. Special 220 volt jacks are available upon request when ordered in advance, specifying the amperage.

All power cables must be installed at least 30 centimeters under the sand to prevent accidents during the event. Once the installation is completed, it must be turned over for supervision by the hotel maintenance staff, who must authorize the vendor to leave.

The following requirements must be met to confirm and guarantee the space requested in our meeting rooms and/or hotel facilities:

1. Service agreement duly signed by both parties

2. 40% percent deposit of the total cost upon booking the event

3. The 60% balance must be paid 15 days before the event

All additional or extra services not mentioned or referred to in the contract, must be paid at the end of the event. No exceptions are allowed.
