WApHC Board Meeting - Teleconference

June 12, 2012 Attendees: Nick Beil, Lisa Krueger, Kim Klinkner, Toni Pflieger and Tina Mahloch Board Members not present: Christy Schoen, Jess Fale, Sandy Truntz and Stephanie Jacobson Meeting called to order at 7:15 PM Treasurers Report

Nick will report via email as he is driving right now. We have approximately $6,000 right now in our account.

June Show

For helpers we have: o Office – Nick, Chelsea, Sheri Voeltz o Ring Steward – Toni o Gate – Dave Pflieger o Other misc helpers – Sue Klinkner, Lisa Krueger’s mom (sorry I’m not

sure of her name) and Tina Country Catering – Beth Miller is our food vendor. She will be there about 6 or

6:30 AM on Saturday and will stay until about 3 or 4 PM. Hours will be about the same on Sunday.

Cattle: o Nick talked with Richard Schlough and he will be bringing in the gates

and equipment on Friday night. o Roger Johnson may be bringing in the cattle. o Johnson’s are all for the cattle being done in the indoor arena.

Nick will have the patterns from John Gay and he will be making copies to sell at the show.

Class entry fee on show bill is listed as per judge/per class. Nick brought up if because this is 3 judges, one being a double pointed judge, do we charge for 3 judges entry fee or 4 judges entry fee. It was decided that since we did not change our package fee that we would charge for 3 judges per class for the entry fee and 4 judges for the national point fee because people are still getting 4 sets of points.

Hi Points: o Discussion was had whether or not we do high points for each show or if

the hi points are for a combination of both shows. It was decided on doing hi points for each show.

Page 6: L ˆ&$˙ ˛ P %˚ˇ!waphc.org/newsletter/August 2012.pdf · 2014. 3. 9. · 2012 WA#HC O˙˙˚˘ˆ$% Tina Mahloch- President 22430 Hwy 10 Brillion, WI 54110 (920) 756-3013 Stephanie

o Tina wants to have hi point awards for all the different categories (non-pro, novice non-pro, masters non-pro, youth 14-18, youth 13 & under, etc.)

o Tina has duffle bags that just need to be embroidered and Nick thinks that we should have them done at Towsley’s with the logo that was done on the jackets. Kim will check on the price for this and email the board.

o Nick is going to check on getting some horse buckets and he will be spray painting the logo on them. These would be given away as random giveaways. Nick will email what he finds out on prices.

o We still have can coolers left from last year that will also be used as random giveaways.

August Show

Toni has booked Scooters Catering for the August show. They will be there on Friday and Saturday.

Miscellaneous

Nick needs to renew the Horse Show computer package which is $175. Toni made motion to renew the computer program at $175. Kim made 2nd. All are in favor.

Next Meeting – July 22nd at 7 PM via teleconference. Meeting ended at 7:50 PM.

WApHC Board Meeting - Teleconference

July 26, 2012 Attendees: Nick Beil, Kim Klinkner, Toni Pflieger, Tina Mahloch, Stephanie Jacobson and Jess Fale Board Members not present: Christy Schoen, Sandy Truntz and Lisa Krueger Meeting called to order at 7:05 PM Treasurers Report

$8,720.80 is in our account right now. Nick will be paying the full amount of $1,890 for the grounds rental for the

August show this week. June Show

We profited $1,296.00 at the June show. Nick paid Sherry Voltz $50 to cover her fuel for helping at the show. We did not lose or make any money on the cattle classes.

August Show

Toni has booked Scooters Catering for the August show. They will be there on Friday and Saturday.

o Toni contacted Scooters Catering and is having them contact Cedarburg so they get their needed info into the city.

Per Sandy’s email it sounds as though we will not be having cattle at this August show due to lack of interest.

o Nick will contact Johnson’s & Chwala’s & Tina will contact Marty Jones to make sure that they will not be coming for showing cattle.

We will be charging $35 for the stall fee for people to pay for the weekend unless they jump out of their trailer. The show bill says $50 for weekend.

For helpers we have: o Office – Nick, Sheri Voeltz ? o Announcing – Nick? o Ring Steward – o Gate – o Other misc helpers – Wally & Christy Schoen (after halter), Sue Klinkner,

Daryl & Tina Mahloch o Possible helpers still checking if it will work out – Toni & Dave Pflieger,

Jess Fale

Page 8: L ˆ&$˙ ˛ P %˚ˇ!waphc.org/newsletter/August 2012.pdf · 2014. 3. 9. · 2012 WA#HC O˙˙˚˘ˆ$% Tina Mahloch- President 22430 Hwy 10 Brillion, WI 54110 (920) 756-3013 Stephanie

We have 6 buckets left over from the June show to give away at the August show. o Nick makes a motion that the club purchases 50 buckets to giveaway at the

show and one bucket will go to every horse showing. 2nd made by Toni. All are in favor.

o Nick will be taking care of getting the buckets. Hi point awards – Discussion was made on how many hi points to do for the

August show. o Kim makes motion to only have 3 hi point awards for this show. They will

be open, non pro and youth. 2nd made by Steph. All are in favor. o We currently have two hi point awards still from the last show so Tina will

take care of picking up one more. Futurity

The futurity chair has turned over all of the money and info to Tina Mahloch as she no longer wants to continue taking care of this and she will not be able to attend this show. Tina will be taking care of this for this show.

There were a few people that had filled out futurity forms but there were no other entries in those classes so those people got their money back. Steph and Kim are the only people in the two non pro futurities so the $250 that was raised for the futurity will be used in these two non pro futurity classes.

Nick will be getting a small fun gift for the winner of the two futurity classes. Miscellaneous

NEWPHA – we will need two new delegates to attend the meetings this year if we want to continue hosting the NEWPHA open show.

We need to try to get more people involved in helping to run our shows as it is the same people all the time. It was brought up that since we are getting our account looking a little bit better, that maybe next year we could offer some sort of incentive if you help out for the day.

Regional year end awards – we discussed how these awards are working out and what we may want to do next year. There are only 6 people that signed up for these for this year. Either we need to get more people to sign up or we maybe will look at not having this. Possible way to get more to sign up would be to allow them to sign up at the first show. To be discussed further at a later date.

Hi point awards – we discussed possibly doing something more next year for high points. Possibly we would go back to having larger awards but they would be given to the highest point earner at the combination of shows, not just the one show. To be discussed further at a later date.

2013

Tina wants to get things going for 2013 right away before things book up and she thinks we need to have more shows for 2013.

Kim wants to wait to book things until after the August show in 2 weeks to see how things go before we go making big plans.

Tina commented that for the last few years we have not been able to make any money at the August show so she feels that we should move that show into July.

Page 9: L ˆ&$˙ ˛ P %˚ˇ!waphc.org/newsletter/August 2012.pdf · 2014. 3. 9. · 2012 WA#HC O˙˙˚˘ˆ$% Tina Mahloch- President 22430 Hwy 10 Brillion, WI 54110 (920) 756-3013 Stephanie

Kim commented that she thinks we still can make money on an August show but not one like we will be having this August.

Tina wants to have an App/Open cattle show at Bounds this year because she believes this could be a big money maker for our club.

Below is what was decided: o Open NEWPHA show:

This show is always the Sunday of Memorial weekend which is May 26. Toni will be calling the Manitowoc Expo to reserve the facility for this date so that it is ours to host the open show.

o June Regional Show: We had a good turnout and made a profit at the June show this year

in Cedarburg so we would like to try to host another show at that facility for 2013. Tina said that due to the Youth Worlds/National show being moved up earlier in the year we really need to have this show the beginning of June. The weekend that would work best for us is June 1 & 2. Kim will contact Cedarburg to see if we can reserve this weekend right away.

o July Regional Show: Tina wants our August show moved to July and she also wants to

have this at the Jefferson facility. The dates would be July 27 & 28.

Nick made a motion to go ahead and book Jefferson for July 27th & 28th. 2nd was by Toni. In favor are Nick, Toni, Steph, Jess and Tina. Not in favor is Kim. Motion passed.

o Appaloosa/Open Show: Tina wants to have a cattle show at Bounds Arena which would

have an Appaloosa judge so App people can get points but it would also be open to all breeds. The weekend Bounds has open is May 4th & 5th.

Not sure if this would be strictly a cattle show or if it would also have pleasure classes. This could be decided later.

Nick made a motion to go ahead and book the facility for a show on May 4th & 5th. 2nd was by Tina. In favor are Nick, Tina, Steph, Jess & Toni. Not in favor is Kim. Motion passed.

Motion was made by Nick at 8:45 PM to end the meeting. 2nd was made by Kim. All are in favor
