Staff FAQ’s

What happens throughout the week at Greene Street? What do your staff members do on a daily basis in between Sundays? It’s a story worth telling, especially since multiple new people are connecting with us regularly. Many organizations call these “FAQ’s – Frequently Asked Questions.” I’ll do my best to answer some in this space, specifically concerning our wonderful staff.

What does the pastor do throughout the week?

According to the United Methodist Book of Discipline (¶ 340, pp. 250-253) I am responsible for four broad areas of mission and ministry in the local church:

Ministry of the Word, such as preparing and leading corporate worship gatherings, counseling individuals and visiting persons as needed, and officiating at weddings and funerals.

Ministry of the Sacraments, such as preparing individuals for baptism and administering Holy Communion.

Ministry of Order, ensuring that organizational concerns are addressed, empowering lay leaders in the congregation to use their gifts and appointing leaders to teams responsible for specific ministries, and communicating clearly the vision and mission of the church.

Ministry of Service, by serving alongside others in the trenches of daily life.

I report to a committee called SPRC – Staff/Parish Relations Committee, represented by 7-9 congregational members who hold me accountable and field any congregational concerns people may have regarding my leadership. I also provide a detailed timelog to each member of your Administrative Board, which meets no less than six times per year. I average just over fifty hours per week to ensure the above responsibilities are carried out. I am happy to share these timelogs with you should you be interested in learning what your pastor does on a daily basis.

What does our support staff do Monday – Friday?

Our Office Manager, Jennifer Sweetman, is the welcoming face and voice of Greene Street Church. Her role as Office Manager brings her into daily contact with many people from our congregation and community, both in person and on the telephone. One of her primary roles is helping me complete necessary tasks so I may do my job to the best of my ability.

Jennifer is responsible for all in-house publishing, keeping us all up-to-date with the exciting things happening in the life of the church. This includes the creation and printing of the weekly worship bulletins, this monthly Chimes newsletter you are reading, and any other special mailings. Jennifer regularly updates our Social Media outreach through Facebook and our web site, tracks church membership and attendance, manages the church calendar, and produces weekly worship slides. In addition to all her church related duties, she also assists the Daycare by answering phone calls, taking payments, and calculating daycare timecards for payroll.

Our Treasurer, Sherry Heath, works part-time to attend to the many financial concerns of the congregation and daycare and preschool ministries. The financial responsibilities include the posting of members’ contributions (after a separate group of counters have prepared the deposit), maintaining pledge information, providing contribution information, and reporting financial status of church funds to various committees and Administrative Board.

She also prepares and processes payroll for 38 church and day care employees on a bi-weekly basis, while filing monthly payroll reports to city, state, school, and federal agencies. Sherry oversees the disbursement of withheld funds for pension and United Way.

Page 3

Sherry processes all credit card, electronic contributions, and payments, posts and reconciles monthly bank statements, and generates checks to vendors and individuals involved in church purchases. Sherry’s responsibilities also extend to maintaining adequate records to support all the mission and ministry of the church. Payroll will be outsourced beginning October 1, and the treasurer’s hours will be reduced to reflect this change.

In addition, we have hundreds of children entrusted to our care up to twelve hours a day, five days a week in our daycare and preschool ministries. These children and their staff are led by Debbie Frazier, our full-time Director who spends hours each day caring for an average of 130 children each day, providing transportation to an average of 65 school-agers to and from school, helping parents with needs or concerns, serving as a referral agency when parents need additional help, providing discipline when children are having trouble following the rules in the classroom, and making the decision about what should be done with a child who is ill.

Debbie also oversees the daycare and preschool staff, ensuring qualified adults are available to meet the needs of all the children based on the ODJF licensing rules. Scheduling staff is also one of her jobs and providing coverage for those who are vacationing or ill. Debbie opens up her heart to new families that might stop by for a tour and shares the outreach of the church in meaningful ways.

As director, Debbie manages a variety of daily concerns, which requires lots of juggling many hats. She could be managing a group of children or managing the staff of thirty, all while the phone is ringing and future families are walking in the door. Or, she could be helping with a child who may have had an accident or cleaning up an overflowing toilet. When other staff are unavailable, Debbie receives payments from parents and ensures people are paying their bills in a timely manner. She also oversees billing for families who get assistance from with their bill though job and family services.

Are there any future staff plans?

I hope you’ve enjoyed reading about the day-to-day tasks and responsibilities of our highly-gifted staff. I am proud of each one’s commitment to God, to the church, and to each of you. But as you can imagine, managing the growth we have experienced over the previous two years has squeezed our support staff, spreading us thin. As a result, your Staff-Parish Relations Committee, in conjunction with the Childcare Committee, is pleased to announce the creation of a new part-time Receptionist position that will alleviate the constant interruptions our staff face on a daily basis in addition to helping close the daycare and preschool each weekday. Thanks to Sherry Heath, who voluntarily reduced her hours and the financial assistance from our Daycare and Preschool budget, we are able to hire this crucial position without additional funds, which means there is little to no impact on our general budget for 2014.

If you are interested in knowing more or applying for the position, contact the church office for a job description and application. We will open this to the congregation for two weeks, and then post to the wider community if necessary. We will close the job posting for congregational applicants on October 14 with the hopes of a person beginning November 3, if not before. We are excited about all God has in store, and humbled to be part of his good work at Greene Street!

Together with You In Christ,

Rev. Kenneth A. Stewart

Trunk or Treat!

Thursday, October 30st

6-8 p.m.

Greene Street Parking Lot

Decorate your car trunk, truck bed, or back hatch for Halloween and join us in the parking lot for our fourth annual “Trunk or Treat”. Children will travel from vehicle to vehicle on the city’s Beggar’s Night dressed in their Halloween costumes and go “Trunk or Treating”. Bring your decorated vehicle and candy (or pencils, toothbrushes, McDonald’s coupons, stickers, etc.) to share.

There are a total of eleven parking spaces in our lot. Contact Michelle Underwood (214-1255) or the church office (773-5313) for more information and to reserve your parking place. Everyone is welcome to dress in costume and be a part of the fun! If you want to watch the fun and need a ride to church, call the office and we will come and get you!

Last year we “treated” over 400 children!! If you would like to donate a bag of goodies to be distributed October 30st, it would greatly be appreciated! You can leave your contribution in the church office or in the narthex.

In case of rain, we will move indoors to the hallway outside the church office.

Guidelines for Trunk or Treat

Arrive anytime after 5 p.m.

Be ready to “treat” by 6 p.m.

Be prepared for up to 400 Trick or Treaters. Greene Street will provide some of your candy.

Candy you distribute must be individually wrapped and child safe.

Pencils, erasers, toothbrushes, McDonald’s coupons are acceptable substitutions for candy.

Vehicle decorations should be appropriate for a church setting.**

Avoid fire (lit candles) and sharp objects in your decorations.

Dress in an appropriate costume!

**Decorations should focus on things that are made by God, such as spiders and spider webs, bats, black cats, etc. We want to avoid violent or gory images of Halloween.

As you can see, a few Sundays are without a leader. Contact Michelle Underwood if you would like to help. (93-214-1255) Curriculum is provided.

Backpack Drive

The backpacks have been distributed to eight Piqua schools. Thank you from my heart for your generosity! We collected 45 fine quality, good sized packs. I’m sure they will be appreciated by a child whose zipper broke on their other one (this has al-ready happened at Nicklin) or when a new family enrolls their child and they don’t have a backpack, nor can they afford to buy one.

The backpack ministry is a favorite of mine because the schools staff so appreciates being able to easily go to their storage closet and hand a child in need a brand new backpack!

God Bless Greene Street Church for helping our com-munity’s children through your kindhearted, giving spirits.

In His Love,

Susan Hopkins
