PowerPoint presentations help you to share information by displaying your message visually.

Lesson 1: PowerPoint Basics


As you plan your PowerPoint presentation, ask yourself the following questions:

• Who is my audience?• How can I make my presentation interesting to my audience? • What will keep their attention? • What do they already know, and what do they need to know?

The Ribbon is a panel that organizes commands into tabs and groups.

Each tab contains several related groups, and groups contain closely related buttons.

Each group is organized according to the functions of the commands.

Commands that affect the appearance of text are contained in the Font group.

Text commands are grouped under the Home tab.


The Slides and Outline tabs are on the left.

PowerPoint automatically opens presentations in Normal View, which divides the screen into two sections.

4Instead of storing all of your presentations in one place, you can store them in specific folders.


Organize your presentations by grouping related presentations together in a folder.

To create a new folder, click the Office Button and choose Save As to open the Save As dialog box.


The Slides and Outline tabs show you different ways to view your presentation.

The Slides tab shows you a miniature version of each slide in your presentation.


The Outline tab displays the content of your presentation in outline form. You can use both panes to move around in your presentation.

In the Outline tab, click the slide icon next to each slide to move among slides.


Use the Slides tab to organize the slides in your presentation.

You can cut a slide from one location

You can also drag a slide from one position and drop it in another.

and paste it into another location.


Slide Sorter View shows you small images of all the slides in your presentation in the slides pane.

You can use Slide Sorter View to add more slides or change the order of slides in a presentation.


To move from slide to slide, use the scroll bar on the right edge of the screen.

The Next Slide and Previous Slide buttons also help you move among slides.

When a word is selected in a slide, the Mini toolbar appears.

The Mini toolbar contains many common commands available in different groups on the Home tab.


You can set up a slide show to run automatically, or you can manually move from slide to slide.

To run a slide show manually, use the Set Up Show dialog box.


Use the Set Up Show dialog box to identify the slide numbers you want to include in your presentation.

Use Set Up Show to hide specific slides in a presentation or to loop your presentation from the last slide back to the first.

You can choose to show only selected slides instead of an entire presentation.


You can print any number of slides—from a single slide to the entire presentation.

Select the slides you want to print in the Print dialog box.


Instead of printing slides, you can print handouts, which have one or more slides on each page and space to take notes.

Handouts allow your audience to follow your presentation, and they provide a record of the items discussed.
