Welcome Congratulations on your successful sponsorship proposal with the Warburton and
Yarra Junction Community Bank® branches and the Upper Yarra Community
Enterprise. Our aim is to support local community endeavours that foster a sense of
unity and prosperity. We wish you well with your activities.
Your sponsorship proposal has also been assessed on its effectiveness to help
promote the Community Bank® and encourage patronage. In this way we seek to
establish an alliance with our fund recipients that supports locals supporting locals.
As indicated in your proposal, this alliance is strengthened by the way you market
your event, activities or organisation making best use of the Community Bank®
brand. This guide provides a comprehensive overview of some of the key ways you
can build exposure for both your event and the Community Bank® brand. Different
tasks will require different approaches so select the best fit for your activity. There
will be many other possibilities specific to your activity that are beyond what is
detailed here.
We are always available to provide approvals or comment on your ideas and final
artwork. These branding opportunities are important components of your acquittal
submission, which is a post-event summary presented to UYCE that details your
event, financial reconciliation and branding achievements. (download here

Style guide
Using the Community Bank® logos
Please take care that the logo isn’t stretched or cropped in any way. The height by
width dimensions of the logo must not be altered.
The logo as supplied cannot be recoloured. The correct PMS colour is 201.
The logo should be straight and no part is to be obscured by other artwork. Make
sure the logo is clear, a fuzzy outline may indicate you are using the wrong size of
file.
The words ‘Proudly sponsored by’ may be added as shown:

For some applications a strip horizontal version can be used. Please contact us to
discuss, or to request artwork.
Important note: As we have streamlined our branding, we are no longer incorporating the ‘gumleaf’ UYCE cobranded logo into new design work.
Placement of the Community Bank® logo The ideal placement for the logo is top left corner or bottom right corner of any
printed materials such as posters, flyers, postcards etc. However we understand
design will vary across different uses and invite you to contact us with your drafts or
ideas for comment.

File formats:
• Low resolution files (72dpi) are suitable for online/digital use • High Resolution files (200dpi+) are suitable for hardcopy and large scale print reproduction
Files can be supplied in PDF or JPEG formats. The written word Adding logos is just one way of showcasing your sponsorship. We also have a terrific
story to tell about the role the Warburton and Yarra Junction Community Bank® branches play in our towns and the reason why it is so important to support local
initiatives such as your event/organisation and to bank locally. We can supply, on
request, pre-prepared text that you can add to your materials that tells this story.

The spoken word
There will be situations where you have the opportunity to acknowledge your
sponsorship in a speech or presentation. Suggested wording is:

branches for their support. More than $3.6 million dollars has been invested in our
community’s sustainability and prosperity since 2000. This, and many other projects

in our towns may not have happened without such resource support and
encouragement.
Printed materials Flyers, postcards, business cards, brochures, posters and other printed materials
specific to purpose all provide an ideal opportunity to feature the Community Bank®
logo.
You may be preparing programs, event schedules, taking advertising space in local
community newsletters, school newsletters, or the local paper – these all provide
excellent opportunities to promote your sponsorship by including our logo.
Flyers/posters/brochures etc can be distributed through an abundance of local pick
up points with a little legwork on your part. Check out cafes, public spaces,
community centres, arts centres, tourist destinations and any businesses where your
supporters are likely to go.
Clothing, sports and other uniforms, banners, protective gear, equipment and so on
can also provide visible opportunities for promoting your sponsorship.
Signage Banners Banners are a popular way to highlight upcoming events. They can be designed and
printed locally – please ask us for our recommendations for a preferred supplier.
Please request up-to-date logos.
The Yarra Ranges Council runs a free program for banner display at over 20 Yarra
Valley locations. A booking form and further info can be found on their website.

There is also a ‘Warburton Celebrates’ community banner which is available to
borrow free of charge. The banner has an interchangeable panel that can be printed
with your details for a modest fee. Enquire with Jeff Gill printing.
Permanent Signage
Permanent signage should ideally be located at the entrance of the venue/site or in
the most prominent location. We will assist with the design and production of
permanent signage so please contact us.
Signwriting
A-frames, corflute and laminated signs can also provide excellent short-term
exposure and can be easily printed with our logo.
Framed cheques or certificates, plaques etc
These can be supplied on request and personalised with your sponsorship details.
Community Bank prebranded merchandise and promotional
support
We have a supply of promotional items that can be used or borrowed for events.
These include:
• 3 x 3 metre Marquee (two) • 6 x 3 metre Marquee • Pull up Community Enterprise banners • Standard hanging banners – Warburton • Standard hanging banner – Yarra Junction • Hi Visibility branded vests (20 in various sizes) for event marshalls etc
These can be pre-booked and borrowed from us for a period of 2 days (or via
negotiation). Contact us to request a booking form.

• Badge making machine – also makes keyrings, can be borrowed from
us. You will need to order and pay for the cost of badge components ( 2 sizes
44 and 58 cm) but use of machine is free of charge. Order components from

• A broad range of pre-branded promotional materials, including
balloons, pens and pads (A4 and A5), can be accessed. Please discuss your
ideas or needs with us.
Digital and Social Media including Facebook
Our website
Please supply us with digital versions (JPEG or PDF) of your flyers or artwork so that
we can support your event or organisation via our digital media presence.
We can add your information to:
o The digital billboard network in our branches and at Warburton
newsagents and Yarra Junction Optometrists
o The ‘News and events’ section of our website
o Our Facebook updates in the lead up to your event
Your website
The Community Bank® logo should be shown on the home page of your website so
it is seen by visitors when they first arrive on your site. It can be featured in a side bar
or as part of the footer of your website, or in another suitable location.
We can also be mentioned and our logo presented on any thank you,
acknowledgment or sponsorship pages that form part of your website.
A simple, free-of-cost website can be set up using a platform such as Wordpress,
Blogger, Weebly or Wix, for example. There are many other options to choose from
and several web developers in the valley that will be pleased to help you.

Facebook Facebook (FB) is an excellent way to connect with local people in our community.
There are several ways to approach building a FB community.
1. Your own page – set up your own FB page and invite people to your events
2. The W&YJ Community Bank® branches page – post to our wall or send us info so we can upload and promote your event or organisation. See https://www.facebook.com/pages/Warburton-and-Yarra-Junction-Community-Bank-Branches/273622449355090
3. Others pages – While posting on others walls can be seen as ‘spamming’
there are FB pages in our region that welcome your information as part of a
information sharing service. When in doubt you can always send your info in
a message and ask the page administrator to post it.
Use the search tool on FB to find like-minded pages/groups that you can
communicate with. For example, an arts-based event may access local pages
such as:

• The Upper Yarra Community Trading Post

• Happening in Healesville

The ins and outs of FB are broad ranging and ever-changing. The best way to learn
is simply to get involved and start posting. See appendix for our SOCIAL MEDIA

Some key points to remember are:
o Post approximately twice a week – you can increase frequency closer
to your event
o Develop content that is useful – don’t just sell, give people ideas and
inspirations that are relevant to your goals and SHARE worthy
o Explore the new tools FB offers for marketing such as scheduled
posts, events, group messaging
o Like and comment on other pages relevant to your goals/mission
where people are populating
o Be friendly and responsive
o Link back to your website as often as you can
o Include photos – they add lots of interest
o Be aware of the difference between personal profiles and business
pages. They function differently and may provide different
opportunities.
It is worth noting, however, that not everyone you will want to know about your event
or organisation will be reachable via Facebook. You can plan to reach a broad base
of people by using a variety of approaches (of which Social Media is one element) in
an integrated way.
VISIT VICTORIA event listing service - free
One of the most important things you can do to promote your event, activity or
organisation is to upload your details on www.atdw-online.com (previously
www.eventsvictoria.com)
This is a free service that takes your information and lists it on more than 50 websites
locally and nationally giving you exceptional exposure. You event will not only appear
on the visitvictoria website but will automatically appear on sites such as
www.visityarravalley.com.au and www.visitwarburton.com.au and many more (which
also tweet highlight events). It’s easy to do and it’s free – plus it saves you loads of time!

Other Social Media
Depending on the nature of your event, you may also explore:
o Instagram
o Twitter
o Blogging
o Pinterest
o Google+
Many of these platforms can be integrated with your website and FB activities so that
when you post to one, the content is delivered across several social media outlets.
This list is by no means exhaustive but represents some of the more popular options
at the moment.
Our Digital Community Noticeboard
UYCE have four digital noticeboards that offer free advertising opportunities to
community groups and sponsorship recipients. These noticeboards are located in the
Warburton Newsagency window, Warburton Community Bank branch, Yarra
Junction Community Bank branch and the Yarra Valley Optometrist in the Safeway
arcade, Yarra Junction. Content is updated fortnightly on a Tuesday. Slides
(prepared in 16:9 format in Powerpoint) should be emailed to
[email protected], or send logos, images and text and we can create a
slide on your behalf. Dated events will be removed once passed but organisations
can have general slides to promote themselves year round.
Local and daily newspapers The Upper Yarra Mail, as our local community newspaper, is an excellent resource.
Possibilities include pre-event and post-event coverage via an article or editorial. A
press release can help generate interest with journalists.

You can also get a free of charge listing in the ‘Community Diary’ or ‘What’s on’
section of the newspaper and post your event to their own Facebook page. Other local publications include:
• Local Life – our own twice yearly newsletter
• Tourist News (part of the Upper Yarra Mail network)
• ‘Local’ – Shire of Yarra Ranges
• Yarra Valley & Ranges magazine

You will need to be aware of lead times, which can be several months in advance.
‘What’s on’ style listings are also available with other print publications.
Daily newspapers such as the Herald Sun and The Age can be relevant for some
events especially those with a tourism focus. Check each newspaper for the most
relevant section and/or journalist and make a targeted approach.
Radio Yarra Valley FM is a keen supporter of our community and the Friday morning
community shows ‘Community Connection’ with Loretta and ‘On the Job’ with Bob
are well worth making contact with;; however, there are many other shows in the
program that may also provide you with an interested audience. Email
You can discuss an interview, radio promotions, advertising or developing content for
programs. Community Service Announcements may also suit some events or
organisations. You can then link to your interview podcast on your own website for
added exposure.

Depending on your event other radio stations may also be appropriate. Consider
both community radio stations and mainstream stations.
Other tactics A press release is a useful way of communicating the main story about your event to
the media. An acknowledgement of your sponsorship alliance can be included in the
text and a logo shown in the sign off. There are many websites with tips for writing
press releases you can access online. Think about what makes your event unique
and why your story is news. Press Releases can be uploaded to a mass distribution
service such as www.prwire.com.au which may provide extra potential coverage.
Correspondence, letters and so on can acknowledge your thanks for sponsorship.
Email signatures are an effective way to raise the profile of your event and
sponsorship. You can create both text and image for your email address that is
automatically added to every email you (and your people) send.

Additional marketing tips for Special Effort Program Special Effort Fundraising (SEP) is a joint fundraising initiative that encourages
members of an organisation to bank with us, while helping that organisation achieve
its objectives.
It is specifically targeted at groups, schools and organisations who are part of our
Annual Sponsorship program but have additional funding needs for significant
projects.
Organisations receiving SEP will typically have existing marketing initiatives in place
based on their Annual Sponsorship commitments;; however, the provision of SEP will
create additional marketing needs and obligations.
In considering your SEP proposal, you should refer to this guide for promotional tips
and ideas.
Some additional SEP promotional ideas include: The SEP flyer – we will provide a personalised DL promotional flyer for you to hand
out to members. The DL has a tear of section that your members can take into the
branch to advise us of their participation and your reward.
An important challenge is to keep your SEF project top of mind with your members
during the project period. Please include the Warburton and Yarra Junction
Community Bank® branches logo in as many places as possible.
Here are a few ideas:
Ø Prepare posters, flyers, brochures etc about your project for distribution
Ø Use an existing or build a database to direct market the project to members
Ø Feature the project on your website as a main page and news item (Provide
links to our site www.upperyarra.net.au so we can cross promote.)
Ø Create a tally board and ensure it is visible in a publicly accessed/members
area – regularly update your totals to reinforce achievement
Ø Communicate targets and totals regularly in newsletters, and in any
correspondence going to members, including your organisation’s email
signature

Ø Use your Facebook (FB) networks (and other relevant Social Media) to your
advantage. Tell the story about your project and let people know how you are
going. Consider setting up a Special Effort FB page or closed group if that is
useful.

Additional marketing tips for Club/School Rewards The Club/Schools Rewards program is an additional fundraising stream that rewards
your club or school for new customers at Warburton or Yarra Junction Community
Bank® branches who are part of your community.
Participating clubs will be provided with a Club/School Rewards DL colour brochure.
This can be distributed to members, uploaded on your website and distributed via
your newsletters and other correspondence.
Other promotional tips for this program include:
• Identify new members of your club or community who are also new to the
area, and may need a change in banking or new mortgage arrangements.
• Set up a specific project to which this funding will be applied and
communicate regularly how Community Banking is helping to achieve the
goal.
• Keep a running tally of Rewards dollars that your club/school has benefited
from and keep this top of mind via noticeboards etc.
• Spread the word about the Rewards opportunity via your Social Media
network.
• Pop a flyer into information packs for newcomers.
• Acknowledge the many ways your club or school has benefitted from
sponsorship funding in the past – in particular the importance of supporting
local Community Banking so that it continues to support you.
• Give a short presentation/reminder about Club/School Rewards to
club/school members at the start of each year/season.
• Encourage other supporters/suppliers to bank with the Community Bank and
keep it ‘all in the family’.
• Tell good news stories (and tell us so we can share them too!) about people
who have earned Club/School Rewards for your Club/School.
• Set up a thank you/acknowledgment board in public area and update
regularly with the names (with permission) of those who have given their
support.
