FICO uses Box to enable secure collaboration, power a central workflow app and keep data safe.

The Challenge

Known widely as the company behind the FICO® Score, the standard measure of consumer credit risk in the United States and the score that lenders use most, FICO is an analytics software company that works with more than half of the top 100 banks in the world to help manage risk, battle fraud, build profitable customer relationships and comply with government regulations. FICO also serves 95% of the largest financial institutions in the United States and all 100 of the largest credit card issuers in the country, so the stakes are high—and security is paramount for any platform that touches any FICO content.

With nearly 3000 employees and 25 offices on six continents, FICO has a highly distributed workforce and countless connection points with external collaborators. Unfortunately, with legacy on-premise content systems like SharePoint in place, FICO was struggling to share information both internally and externally, and employees were turning to unsanctioned solutions to share outside the firewall.

Legacy infrastructure at FICO led to other problems, including:

intranet, FICO uses Jive with Box, with Box as the backend content platform. In fact, when the team at FICO was searching for workflow apps, one of the reasons they chose Jive was that its integration with Box was so compelling.

• Faster time to market for Sales and Marketing: Before Box, field reps had limited VPN access to marketing collateral, demos and product information. As a result, the data they referenced was frequently outdated. Box enables Sales to have 24/7 access to the latest version of whatever they need, wherever they are. And when they don’t have Internet access, Box Sync keeps them current and productive. Meanwhile, on the Marketing side, Box has centralized sharing with external vendors like photographers, designers and writers, which has resulted in smoother collaboration and faster time-to-market.

• Increased security and governance: When FICO audited collaboration solutions, “Box had the best answers to the questions our security team came up with,” says Director of IT Carl Samberg, citing the SSAE 16 audits and the Box administrative tools that enable 100% visibility. FICO has also added a data leak protection layer via the CipherCloud integration, which scans all content flowing in and out of Box. “It automates the process, so we can proactively identify and respond to any potential problems,” Samberg shares.

• Boost in mobile productivity: Secured mobility was a key driver for FICO in selecting Box. “SharePoint is not a mobile solution,” says Samberg. “And lots of solutions out there still aren’t.” Box, on the other hand, allows workers at FICO not only to easily preview files but to share, view, edit and save them back to Box. That’s a huge boon for productivity.

• Reduce time on IT maintenance: FICO did have a propriety file system for collaborating with clients, but administration was labor-intensive. “Box has replaced that with a self-service solution,” Samberg says. And from a support perspective, Box is significantly less demanding than SharePoint. “We did a little bit of training up front, and that was mostly it,” says Samberg. “Now, Box saves me plenty of time, because I’m not getting the requests I used to.”

Box is a critical component in Rosetta Stone’s new cloud strategy.

The Challenge

• A learning technology company with offices on four continents, Rosetta Stone had operated with Windows file servers distributed in local offices for most of its 20-year history. But when the earthquake hit Japan in 2011, and the company’s Tokyo team needed access to their on-premise files, CIO Pradeep Mannakkara and his team became keenly aware of the risks of housing infrastructure locally. They decided to initiate a move of all of Rosetta Stone’s productivity apps to the cloud—and all of their documents to Box.

• With offices around the world and employees who regularly travel internationally, Rosetta Stone had to ensure not only that its employees have access to their files from wherever, whenever, but also that they can engage with those files in a productive manner, on their desktops, laptops, and mobile devices.

• Because two of Rosetta Stone’s offices are in San Francisco and Tokyo, the company had to have air-tight (i.e., earthquake-proof) disaster recovery plans.

• Email attachment size limits were small, and were a burden on Rosetta Stone’s servers. To get around that limitation, employees were turning to unsanctioned and ungoverned consumer services like Dropbox to share content with third parties, which was a security risk.

• Issues around collaboration and versioning were also slowing productivity. With no central repository for files and no standard means of tracking versions, employees were wasting valuable time searching for the correct file.

• Rosetta Stone is a global organization without a global IT team. Mannakkara’s help-desk crew of 15 people in Virginia and India had to oversee 1,500 employees and contractors around the world.

The Solution

• When they first decided to implement a document management solution that would enable global remote access, Mannakkara and his team looked at LAN acceleration software, but it would have required that they build additional (and complex) internal infrastructure. Then they turned to cloud-based solutions, reviewed the landscape, and landed on Box.

Okta keeps work flowing by allowing employees to sign on just once to all of those apps, including Gmail, Concur, Workday, Salesforce, DocuSign, Xactly, and Box.

• Thanks to Box, Rosetta Stone’s files are no longer stored on-premise in Tokyo, San Francisco, or any of the company’s offices. Instead, the files are in the cloud, with multiple layers of redundancy, protected from disaster.

• Rather than share large files via email, Rosetta Stone employees now simply include a link to the file on Box, unburdening the company’s servers while also keeping intellectual property centrally located and secure. Additionally, Box is now the company’s official solution for sharing files with third parties.

• Box now serves as Rosetta Stone’s central storage facility, allowing employees not only to quickly locate the latest version of a file but also to share and collaborate with other offices. For instance, product groups distributed in Austin, San Francisco, Seattle, Boulder and Virginia use Box to share and distribute their documents. Other groups, including IT, have established project folders in Box and are using them to collaborate.

• Cloud-based apps tend to require far less administration than on-premise solutions, and Box is no exception. At Rosetta Stone, two IT team members split Box administration for 1,500 employees and contractors. There are no hardware set-up or maintenance costs, either.

The Results

• 60-70% of Rosetta Stone’s IT is in the cloud—and that number will continue to rise.

• Rosetta Stone is transitioning off their internal servers and moving file storage to Box.

• As the company’s data center footprint shrinks, so do the time and costs required to maintain it.
