What is new development in module M8?

What is the requirement of Hon Minister’s office from MWRD?

Hon Minister has instructed to display following information to the citizens through MWRD portal

To update the information of Ongoing budgeted projects regularly i.e. as and when

change/additions take place

To upload the photographs of all the live works under ongoing projects

To upload the reports/documents related to site visits by Dignitaries, Field officials,

important decisions taken etc.

To fulfill the above requirement, ‘Ongoing Project Tracker’ has been developed under which new

form/report has been developed in module M8 and is now made available to

citizens/beneficiaries/farmers through MWRD Portal

1) How to enter data related to Ongoing Project Tracker

1. Login by using the User ID of circle office only

New form is available only to the circle office’s login ID

To ensure validation and authenticity of the data to be uploaded

2. The form is available for those projects only whose project status = Ongoing budgeted

3. For other status of projects, this form will not be seen

4. To enter data, first select the project status of project as ‘Ongoing budgeted’ as shown

below:

5. After selection of the project, new form ‘Important Documents/Photo Gallery’ is seen under

‘Properties’ as below. Please click on this form.

6. The below screen is seen. Then please click ‘New’ button to enter data

7. Please select date of event/activity for which data is to be entered. This field is mandatory.

You may enter back dated details also.

There are 5 fields under the section ‘Important documents’

General instructions:

User can attach any of the 5 documents or all the documents at a time as per the

date of event/activity.

After attachment of single document, please click ‘Save’ button so that next

document can be attached.

Maximum limit of documents in each field is restricted to 5 for the same date

Important Guidelines for attaching any document in the 5 fields

A. Document of Important Decisions

1. The document should be attached in the form of pdf only

2. The name of the file should be such that it should clearly indicate the event or by the

designation of dignitary

3. Attach all such documents where

Important decisions regarding project has been taken e.g. Meeting with public

representative/ Minister etc.

Minutes of Meeting with higher officers of project

Report of AA/RAA

Report of decision under Land acquisition, forest clearance, CWC clearance,

environmental clearance etc

B. Attach documents of Quality control Results

Monthly/Quarterly/Yearly quality control reports- contract wise

Summary Report

C. Attach documents of Inspection Reports

Monthly/Quarterly/Yearly Inspection report

Pre/Post monsoon inspection reports

Site visit by SE and above

D. Attach Reports of details of event/activity

Any important report describing the event/activity (commencement or

completion of work, project etc)

Visit by dignitary such as Minister, public representatives etc

Visit by higher officials

E. Attach Photos

General instructions

User can attach photos through mobile also by opening this form through

mobile

Attach clear photos highlighting the work/site

There is limitation of attaching photos as follows:

a) For Major/Medium projects – Max. 5 photos

b) For Minor projects – Max. 2 photos

The total size of all photos is restricted to 5 MB

c) Attach photos for major/important activities at site

8. Once all the important documents and photos are uploaded, please ‘Save and Return’ option

as shown below

9. The below screen shows the list view

When the data is increased, it will be seen in multiple rows

Reports

A) For MWRD officers

To view the data entered, portlet report is available as below

Under the same report of 38 columns, new column has been added

For easy recognition, colour code is given

Light Yellow colour – projects which have uploaded at least one document/photo

White colour - projects which have NOT uploaded at least one document/photo

When user clicks on ‘View uploaded document’, below report is opened which can be filtered

based on date of event/activity

This report can be exported to excel using Configure button

B) For citizens/beneficiaries/farmers

Non WRD users can view the data through MWRD portal as below

Same 38 column report will be seen in which NEW column has been added for Important

documents/Photos

The same colour scheme (Light Yellow/White) is seen to citizens also

Citizens can NOT configure the report

When clicked on ‘View uploaded documents’ below report is seen

Citizen can filter ‘date of event/activity’ wise
